The Precedents functionality provides institutions with the ability to create course entry and advanced standing Precedents.
The following types of Precedents can be created:
Precedents are created manually, via the Precedent steps (PRDW0410), by linking:
Precedents can also be created via the 'precedent' Web Service by running the updatePrecedent method which creates the Precedent in PRDW0400.
Precedents are created, reviewed and maintained by authorised administrators only. It is expected that a number of different administrators will create and/or maintain Precedents depending on their assigned Security Role and whether or not they have the PRD-VIEW and/or PRD-DELETE Advanced Security function assigned to their Role. Security can also be controlled by assigning a Security Role to one or more institution-defined Precedent Statuses in PRDW0020.
Note: Advanced Standing recorded against a Precedent differs to Advanced Standing recorded against the student in SMS Forms in that Advanced Standing is recorded against the Precedent; not the student. Once a Precedent has been created in the system via the Precedent PRDW0400 page, the Precedent's Advanced Standing details can then be attached to a student via the ADVF2000 or ADVF4200 SMS forms. Workflow Steps
A Workflow train is displayed at the top of the page when creating and reviewing Precedents. It provides a graphic representation of the main steps in the process used to create a Precedent.
-----------------------------------------------------------------------A step in the workflow may be unavailable depending on which step you are at in the train and the Precedent Type, for example, the Advanced Standing step is only available if the selected Precedent Type is mapped to a system Precedent Type of ADVANCED STANDING, otherwise it is disabled.
Fields at each step may be unavailable if you have the PRD-VIEW security level, or the Precedent has a status other than DRAFT.
If you are modifying a Precedent, the Summary Overview step is first displayed, which displays all details added for the Precedent, including the General Details, Advanced Standing and Relationships. This enables you to review all details from one page, then update the Precedent Status and/or Publish Precedent, if required.
If creating a new Precedent, the General Details step is the first step.

Main Steps
The main steps involved in creating and reviewing Precedents are described below.
1. Set Up Reference Data
Before commencing, reference data must be set up in the following pages, as required.
- Precedent Configuration (PRDW0100)
- Precedent Types (PRDW0010)
- Precedent Statuses (PRDW0020)
- Precedent Sources (PRDW0050)
- Admission Bands (PRDW0700)
- English Language Proficiencies (PRDW0750)
- Statements (GRDW0300)
2. Add AQF Levels, Rejection Reasons and Requirement Satisfied Values to Tables
AQF Levels (used in the External Course page (PRDW0510), Rejections Reasons (used in the Summary Overview step) and Requirement Satisfied values (used in the Direct Admissions Course (ADMF3240) form) must be set up in the following tables:
- GOVT_AQF_LEVEL - Add Government AQF Levels (as provided on the Australian Qualifications Framework (AQF) website).
- AQF_LEVEL - Add institution-defined AQF Levels (i.e. for each Government AQF Level in the GOVT_AQF_LEVEL table). These values constitute the list of values for the AQF Level field in the External Course page (PRDW0510).
- PRECEDENT_REJECTION_REASON - Add institution-defined Rejection Reasons for the reasons that a Precedent can be rejected or closed. These values constitute the selector values for the Rejection Reason field on the Summary Overview workflow page, for a Precedent.
- REQUIREMENT-SATISFIED - Add institution-defined Requirement values to this table for course admission application Precedents in ADMF3240 and ENRF3000. These values constitute the list of values for the Requirements Satisfied field which is located in the Admission Basis T-List item in the 'Direct Admissions Course (ADMF3240) form or the Student Course Attempt form (ENRF3000).
3. Create a Precedent
Creating a Precedent involves:
- adding all required Precedent data at the General Details workflow step;
- creating Relationships (for example, adding at least one external course (PRDW0500), internal course, external unit (PRDW0600), internal unit or admission band) at the Relationships workflow step; and
- (if the Precedent Type is Advanced Standing) adding Advanced Standing units/unit levels at the Advanced Standing workflow step.
New Precedents can also be created automatically by running the updatePrecedent method of the precedent Web Service. However, this is only possible if the Precedent's child records (i.e. external and internal course(s) or unit(s) and advanced standing unit(s) and unit level(s)) already exist in the system. (External courses and units can be added to the system via PRDW0500 and PRDW0600 respectively.)
You can also create a new Precedent by copying an existing Precedent at the Summary Overview workflow step and making required changes.
4. Review and Edit a Precedent
You can modify an existing Precedent it if has a status mapped to a system status of DRAFT. This involves finding the required Precedent via the Precedents (PRDW0400) page, and making required changes, starting from the Summary Overview workflow step, then updating its status.
Changes made to Precedents are recorded in the Precedent History tables, see below.
5. (Optional) Publish a Precedent
The Publish Precedent indicator located on the Summary Overview page, is used to indicate whether or not a Precedent is to be published, for example on the institution's website.
Precedents with a status mapped to a System Status of ACTIVE or REVIEW can be published.
Add Advanced Standing Precedent Details to a Student
Once a Precedent is created in the system via the PRDW0400 page, you can attach the Advanced Standing details to a student. You do this by adding Precedent Advanced Standing Unit and/or Unit Level records into the ACAI Advanced Standing Details form (ADVF2000) or the Student Advanced Standing form (ADVF4200), via the Find Precedent (PRDF1100) form.
Alternatively, you can run the advStndPrdAcai or advStndPrd Web Service to automatically insert Precedent Advanced Standing details into ADVF2000 or ADVF4200 respectively.

Add Admission Precedent Details to a Student's Admissions Course Application
A Precedent of Precedent Type ADMISSIONS can be added to a student's admission course application in ADMF3240, if required. This is done by adding the Precedent to the course application via the Find Precedent icon which is located under the Admission Basis T-List item in ADMF3240. The Find Precedent icon opens the Find Precedent (PRDF1100) form from where you can find and insert an Admissions Precedent to the course application.

Add Precedents to Course Structure Timelines
A Precedent can be linked to an INCOMPLETE Timeline (CRSW2650) belonging to a Course Structure (CRSW2600). For example, this may be required in the situation where an internal or external course associated to the Precedent counts as entry into the context course, or is a prerequisite requirement for the context course.
The Precedent must have a system status of ACTIVE or REVIEW, and a Precedent Category of: 'Internal Course(s) to Internal Course', 'External Course(s) to Internal Course', or 'External Course(s) to Course Type Group'; where:
- the Internal Course code (and version number, if provided) matches the Course Code and version (if specified) of the Course Structure to which the Timeline belongs; or
- the Internal Course Type Group matches the Course Type Group of the course of the Course Structure to which the Timeline belongs.

Update Precedent Status Job
The Update Precedent Status job (PRDJ0200) can be scheduled to run nightly to automatically update the status of a Precedent based on its Next Review Date and End Date values.
