Overview
This is the Precedents 'landing' page - a gateway to creating and reviewing Advanced Standing and Course Entry Precedents.
From this page you can:
- Click the Search button to find an existing Precedent via the Search Results page. The retrieved Precedent is opened at the Summary Overview step (PRDW0410).
- Click the Create New Precedent icon to create a new Precedent, starting at the General Details step (PRDW0410).
You can create the following types of Precedents:
- ADMISSIONS - (used for entry into a course)
- ADVANCED STANDING - (used for an exemption from a requirement to pass a unit or a unit level)
- PREREQUISITE - (used for a prerequisite requirement for a course)
A Precedent is created by linking two items (for example, an internal curriculum item to a related curriculum item). The following categories of Precedents are available:
- External Course to Internal Course
- Internal Course to Internal Course
- External Course to Course Type Group
- External Unit to Internal Unit
- Internal Unit to Internal Unit
- Admission Band to Internal Course
- External Course to Admission Band
To use this functionality, it is expected that you are an administrator who is authorised to create Precedents.
If searching for an existing Precedent, you can perform the following actions from the Search Results page:
- Find a Precedent from the list of returned records by:
- Sorting records in the table by any of the column titles.
- Performing a quick search (via the Search icon) or an advanced search (in the Advanced Search section), and entering specific search criteria. (For more information, see the Working with Lists overview Help page.)
Note: The default sort order for records when you first access this page is by Precedent ID, in sequential and descending order - with the most recent Precedent first. Both open and closed Precedents are listed.
If required, you can add additional search criteria to the Advanced Search by selecting a criteria from the Add Fields drop-down list of values, such as 'Updated By', 'Updated On' or 'Approving Staff Member'.
- Click the New icon to open the General Details step from where you can create a new Precedent.
- Double-click a required Precedent ID to open the Precedent at the Summary Overview step from where you can make changes to the Precedent.

The Precedents (Landing) page (PRDW0400) is accessed directly from the main menu.
Navigation to and from the page is shown below.

Advanced Security Functions
The following Security functions apply to the Precedent pages:
- PRD-DELETE - Only system users who have been granted the PRD-DELETE Advanced Security function (in SECF0062 and/or via a Security Role in SECF0063) are able to delete Precedents.
- PRD-VIEW - System users granted the PRD-VIEW Advanced Security function (in SECF0062 and/or SECF0063) are able to view Precedents only, i.e. they cannot create or delete Precedents.
The PRD-VIEW role has precedence over the PRD-DELETE role (above).
If a system user is assigned both the PRD-VIEW and PRD-DELETE Advanced Security functions, then PRD-VIEW overrides the PRD-DELETE function and the user can only view Precedents and cannot delete them.
Field Descriptions - Landing Page
The following table describes each field on the Precedents landing page.
These fields are optional and can be used to enter specific search criteria to find an existing Precedent.
Enter a value in one or more fields, then click the Search button to view a list of records on the Search and Results page. Alternatively to view a list of all Precedents, leave these fields blank and click the Search button.

Precedent ID |
Enter the required Precedent ID number. This must be the exact ID number to return a result.
The Precedent ID
is a unique number automatically generated when the Precedent is created on the New Precedent page (i.e. at the General Details workflow step).

Internal Curriculum Item |
Enter the full or partial value of the title and/or code of the Internal Course, Internal Unit (To), Course Type Group or Admission Band(s) belonging to the required Precedent.
The list of search results will vary depending on whether this field is used on its own, or in conjunction with one or more of the other fields on this page.

Select an institution-defined Precedent Type from the drop-down selector on this field.
These are Precedent Types defined in PRDW0010 and mapped to one of the following System Precedent Types:
- ADVANCED STANDING
- ADMISSIONS
- PREREQUISITE

Select an external institution from the list of values on this field to search for a Precedent with an associated curriculum item owned by the selected external institution.
This field is only valid for Precedents of the following Precedent Categories:

- External Course to Admission Band

Search Results List
The following table describes the columns that display by default in the Search Results table. The set of columns can be modified by clicking on the View button and adding or removing columns as required. Additional columns are listed below in the .
If Oracle Meta Data Services (MDS) features are enabled in your system, when you exit from PRDW0400, the current array of columns is retained and will be displayed upon re-entry to this page. For more details regarding MDS, refer to the most recent JSF Installation Guide in the Callista Product Centre on the Callista wiki.

This field is a dynamic field. The values displayed here depend on the Precedent Category value, for example:
- If the Precedent Category is 'External Course to Internal Course', 'Internal Course to Internal Course', or 'Admission Band to Internal Course', then an internal course is displayed in this field.
- If the Precedent Category is 'External Course to Course Type Group', then a Course Type Group is displayed in this field.
- If the Precedent Category is 'External Unit to Internal Unit' or 'Internal Unit to Internal Unit', then an internal unit is displayed in this field.
- If the Precedent Category is 'External Course to Admission Band', then Admission Bands are displayed in this field.

This field is a dynamic field. The values displayed here depend on the Precedent Category value, for example:

The institution-defined status that is mapped to a System Status of DRAFT, ACTIVE, REVIEW, REJECTED or CLOSED.

Indicates if the Precedent is able to be published or not.
- 'Y' indicates the Precedent is able to be published on the institution's website for public viewing.

Approval Date |
The date the Precedent was approved.
This field is mandatory if the Precedent Status is set to a status mapped to a System Precedent Status of ‘ACTIVE’.
If the Precedent Status is set to a status mapped to a System Precedent Status of ‘ACTIVE’ and the Approval Date field is empty, then the System Date is automatically entered in this field. If this field is already populated, then it is not automatically updated.
You can change the date manually, if required, but only if the Precedent status is not set to a status mapped to a system status of CLOSED or REJECTED.

Approving Staff Member |
The system user details of the staff member who created the Precedent, or who changed the Precedent Status from one mapped to a System Precedent Status of REVIEW to a Precedent Status mapped to a System Precedent Status of ACTIVE.
In these cases the system automatically sets the value in this field to the system user's details.
It is possible to change the value to a different system user, if required.

The ID of a Precedent that has been deemed a duplicate.
For example, the ID of an existing Precedent created erroneously for the same purpose as the Precedent you are creating.

The reference code for the Precedent (for example, an archive reference number used in an external system).

End Date |
The End Date is used in conjunction with the Start Date to specify the period of time in which the Precedent is valid.
A default value is automatically displayed in this field as set up for the 'End Date' in the Precedent Configuration (PRDW0100) page. However, you can manually change the default value displayed in this field, if required.
Note: If the Precedent Status is mapped to a System Status of ‘REVIEW’ and is changed to a status that is mapped to a System Precedent Status of ‘CLOSED’ or ‘REJECTED’, then the End Date is automatically set to the System Date.
This rule overrides the configuration set in PRDW0100. You cannot manually change the End Date if the Precedent Status is set to a status mapped to a System Status of CLOSED or REJECTED.

The name of the external Institution.

Last Review Date |
This is the date the Precedent was previously reviewed.
This field is null when a Precedent is created.
It is automatically populated with the System Date when the Precedent Status is changed from a status mapped to a System Status of REVIEW to either: CLOSED, REJECTED or ACTIVE.
You cannot manually change the date in this field if the Precedent Status is set to a status mapped to a System Status of CLOSED or REJECTED.

The Next Review Date is the date by which a Precedent must be reviewed.
A default value is automatically displayed this field as set up for the 'Next Review Date' in the Precedent Configuration (PRDW0100) page. However, you can manually change the default value displayed in this field, if required.
You cannot manually change this date if the Precedent Status is set to a status mapped to a System Status of CLOSED or REJECTED.

Validity Period End Date |
This date is used in conjunction with the Validity Period Start Date (above) to specify the period of time in which an external course and units specified for the Precedent are regarded as equivalent to an internal course and units.
A default value is automatically displayed this field as set up for the 'Validity Period End Date' in the Precedent Configuration (PRDW0100) page. However, you can manually change the default value displayed in this field, if required.
Note: You cannot manually change the date in this field if the Precedent Status is set to a status mapped to a System Status of CLOSED or REJECTED.

Validity Period Start Date |
This date is usually used in conjunction with the Validity Period End Date (but it can be used with the End Date or Next Review Date instead) to specify the period of time in which an external course and units specified for the Precedent are regarded as equivalent to an internal course and units.
This date is also used to determine the Admission Band data that is displayed in the Relationship step for Precedents with a Precedent Category of 'Admission Band to Internal Course' or 'External Course to Admission Band'.
This field is automatically populated with the System Date. However, you can change the date manually, if required.
You cannot manually change the date in this field if the Precedent Status is set to a status mapped to a System Status of CLOSED or REJECTED.
If you change the Validity Period Start Date after data has been created in the Relationship step for an 'Admission Band to Internal Course' Precedent, then you may need to update the Admission Band data in that step before proceeding. If this is the case, a warning message is displayed when you attempt to update the status of the Precedent to ACTIVE.
If you change the Validity Period Start Date after data has been created in the Relationship step for an 'External Course to Admission Band' Precedent, and this date is outside the AQF Level date range, then all Admission Band data in the Relationship step is automatically removed and you must re-enter it before proceeding.

Notes
- If you have the PRD-DELETE Advanced Security function, you can delete Precedents from the Search Results page, or from the Summary Overview workflow step, for a specific Precedent, regardless of the status of the Precedent.
