PRDW0020 - Precedent Statuses

Overview

This page is used to create and maintain institution-defined Precedent Statuses that are used to indicate the status of a Precedent (PRDW0400) and at what stage it is at in the approval process.

An institution-defined Precedent Status must be mapped to one System Precedent Status: ACTIVE, REVIEW, DRAFT, REJECTED or CLOSED.

For each System Precedent Status there must be one (and only one) institution-defined Precedent Status set as the default value.

Institutions can control who can access the institution-defined Precedent Statuses by applying Security Roles (SECF0063) against a Precedent Status.

This page is a Reference Data page that is used to set up data required for Precedents. Precedent Statuses created on this page appear in the List of Values for the Precedent Status field located in the Summary Overview step in Precedents (PRDW0400).

To use this page, it is expected that you will be an administrator who is authorised to establish Reference data for Precedents.

Field Descriptions

The following tables describe each field on the New Precedent Status pop-up page and the fields in the Security Role Restrictions section on the PRDW0020 page; including applicable Table values.

An asterisk (*) indicates the field is mandatory when creating a new Precedent Status.

Precedent Statuses Section

Use this section to view or create a Precedent Status.

If creating a new Precedent Status, when you click the Create button to save the new record, the Search and Select Security Role popup page is displayed. This section is used to add one or more Security Roles to the Precedent Status. For more information see the Security Role Restrictions section, below.)

*Precedent Status

Institution-defined Precedent Status. The name entered here must be unique.

Short description of the Precedent Status.

*System Precedent Status

The System Precedent Status to which a Precedent Status is mapped.

One System Precedent Status must be selected from the list of values.

The following System Precedent Statuses are available:

  • ACTIVE - Indicates the Precedent is active and has been reviewed.
  • REVIEW - Indicates the Precedent is under review.
  • DRAFT - Indicates the Precedent has been created. Precedents with this System Status cannot be published (i.e. you cannot change the Published indicator to 'Yes' (selected) in the Summary Overview step of Precedents (PRDW0400)).
  • REJECTED - Indicates the Precedent has been rejected.
  • CLOSED - Indicates the Precedent is closed.

If a Precedent Status has been applied to a Precedent (in PRDW0400), then you cannot map the Precedent Status to a different System Precedent Status.

*System Default

Select this check box to indicate that the System Precedent Status to which the institution-defined Precedent Status is mapped, is the default.

There must be one (and only one) System Default for each type of System Precedent Status (ACTIVE, REVIEW, DRAFT, REJECTED, CLOSED) to which a Precedent Status is mapped.

Only System Statuses to which an Open Precedent Status is mapped can be set as a System Default.

*Publish Precedent Default

Select one of the following values from the drop-down list for the Precedent Status:

  • Yes
  • No
  • No Change

The value selected here for a Precedent Status controls whether the Publish Precedent indicator in the Summary Overview step for a Precedent (PRDW0400) will automatically update when the status of the Precedent is updated in PRDW0400.
For example:

  • If a Precedent Status of REJECTED has a Publish Precedent Default of No then when the status of a Precedent is updated (for example) from ACTIVE to REJECTED, the Publish Precedent indicator in the Summary Overview step of PRDW0400, automatically changes from selected (Yes) to deselected (No). (However, you can manually override this, if required.)
  • If a Precedent Status of REVIEW has a Publish Precedent Default of No Change, then when the status of a Precedent is updated to REVIEW in the Summary Overview step, the Publish Precedent indicator remains the same as it was for the previous Precedent Status (i.e. it does not change).

The Publish Precedent indicator in the Summary Overview step of PRDW0400 determines whether the Precedent will be shown to the public (for example, published on the institution's website) - i.e. students applying for admission to a course via the website. If the Publish Precedent indicator is selected, the Precedent will be published. If it is deselected, the Precedent will not be published.

Note: It is possible to manually change the Publish Precedent indicator, if required.

Closed

Select this checkbox to close the Precedent Type.

'Closed' Precedent Types cannot be assigned to Precedents (PRDW0400).

Security Role Restrictions Section

This section is optional. Use this section to find and add a Security Role (SECF0063) to a selected Precedent Status (in the section above), or to remove an existing one from a selected Precedent Status.

If a selected Precedent Status has a Security Role assigned to it then only system users with this Security Role can change the status of a Precedent in the Summary Overview step of PRDW0400 to the selected Precedent Status.

If no Security Roles are listed for a selected Precedent Status, then all system users are able to change the status of a Precedent to the selected status.

Field: Description:
Security Role

Select a Precedent Status from the Precedent Status section above, then enter the Security Role (SECF0063) in this field. (Alternatively, search for the required Security Role via the Search icon or Advanced Search.)

Only system users with this Security Role can change the status of a Precedent in PRDW0400 to the selected Precedent Status.

Leave this field blank to enable all system users to change the status of a Precedent (PRDW0400) to the selected status, if required.
