Callista Attend Overview
A. Background Configuration of Callista Attend
Calendar Requirements
- Activity Calendars and Instances are defined in the Maintain Calendar Type form - CALF0220.
- Teaching Calendar instances are made subordinate to Activity Calendars in the Maintain Calendar Instance Relationships form - CALF0330.
- Date Aliases relevant to Activities are defined in the Maintain Date Aliases form - CALF0420.
- These Date Aliases are given Teaching Calendar values in the Maintain Date Alias Instances form - CALF0512.
System Activity Configuration
- Date aliases are assigned to system events and cut offs in the Maintain Activity Configuration form - CRSF2893.
Activity Types
- Activity Types are defined in the Maintain Activity Type form - CRSF2891.
- These values form the LOV in the Maintain UOO Activity Offering form - CRSF2800.
Unit Offering Option Explanations
- Unit Offering Option activity requirements are described in the Maintain Unit Offering Opt Explanation form - CRSF2540.
- These explanations are available via Callista Connect.
Venues
- Activity Venues are defined in the Maintain Venues form - ASSF4200.
- These can be assigned to an Activity Offering in the Maintain Activity Offering Venue form - CRSF2830.
Cohorts
- Cohorts are defined in the Maintain Cohorts form - GENF1000.
- Places in an activity can be reserved for certain Student Cohorts
- Cohorts may have their own cut off dates
B. Defining Activities and Activity Groups
Defining Activity Details for a Unit Offering Option – CRSF2800
- Activity Offerings are displayed for the selected Activity in the context Unit Offering Option
- An Activity Offering ID is generated when the Activity Offering is created
- The Shared By field displays Offering Options for other Units that share this Activity Offering
- Reserved Places displays the number of places reserved for the activity offering by students in various cohorts/courses
- Offering Staff and Offering Venues can be defined for the Activity Offering
- Click on the Offering Instances button to record the weeks in which this Activity occurs.

Defining Activity Groups for a Unit Offering Option – CRSF2900
- An Activity Group is a collection of Activity Offerings which are to be taken together in a unit
- The Activity Offerings which make up the Activity Group are selected in this form
- Students can be allocated to Activity Groups in ENRF4250
- Students may select Activity Groups for themselves in Student Connect - see Online Student Class Activity Allocation

C. Allocation of Students to Activities in Callista SMS
Bulk Allocation of Students to Mandatory Activities with Single Offerings – ENRJ4700
- This job allocates students to Activities which are mandatory and for which a single offering exists (i.e they only have one option available)
- The job parameters limit the range of students affected by this job
- Job Parameters also determine whether clashes will be allowed.
Allocating Students to Activity Offerings – ENRF4200
- In this form, students can be allocated to an Activity Offering, moved between Activity Offerings, or removed from an Activity Offering
- Two lists of activity offerings are displayed for the selected Activity in the context Unit Offering Option
- Selected students can be moved between selected Activity Options and they can also be moved to or from the pool of unallocated students.
- If clashes occur when students are moved using this form, the ability of the user to override the clashes depends on whether they have the appropriate Advanced Security Function(s) granted to them in SECF0062 or to their user role in SECF0063.

Allocating Students to Activity Groups – ENRF4250
- In this form, students can be allocated to an Activity Group, moved between Activity Groups, or removed from an Activity Group
- Two lists of Activity Groups are displayed for the context Unit Offering Option.
- Selected students can be moved between selected Activity Groups.
- They can also be moved to or from the pool of unallocated students.

Inquiring on Students in an Activity Offering – INQF12G0
- This form displays the students in the context Activity Offering
- Click on the Retrieve List button to display a list of students from the context unit offering option who have been placed in the selected Activity Offering
- To display students not allocated for the selected Activity Offering, select UNALLOCATED for Student Selection
- To download the displayed list to an Excel spreadsheet, click on the Download Records button.

Inquiring on Activity Offerings for a Student – INQF1500
- This form displays the Activity Offerings for the Context Student in the selected Activity Calendar
- Click on the Retrieve List button to display a list of students from the context unit offering option who have been placed in the selected Activity Offering.
- To display students not allocated for the selected activity, select UNALLOCATED for Student Selection.
- Click on Download Records to download the displayed list to an Excel spreadsheet.
D. Allocation of Students to Activities in Callista Connect
Initiating Attend for Student Connect
- The Summarise Attend Activity Reference Data job (SSFJ0100) must be run before using Attend. Data will not be viewable in Student Connect until you have done this.
- It is recommended that the Summarise Attend Activity Reference Data job (SSFJ0100) is run before the commencement of student Self-Enrolment cycles.
Activity Offerings in Callista Connect
- In Callista Connect, students can view their Allocated Activities, select Activity Offerings and Groups, and view their own Activity Timetable.
- These applications can be selected from the Callista Connect menu and may also be included as part of the Self Enrolment process.
