Admissions Glossary

The terms used in the Admissions Subsystem are described below. The relationships between data, and concepts used in this Subsystem, are explained in detail in the Understanding Admissions section.

Field Name or Term

Description

Access and Equity Category Institutions can define Access and Equity Categories available to applicants via the Applicant Portal, for example, Hearing Impaired. Access and Equity Categories are defined in ADMF0610.

Admission

A process by which a person applies for a course in which they have not been previously enrolled.

Admission Application Status

Describes the progress of the application within the Admission Process.

Admission Category

Is used to group a set of applicants whose applications will be processed via a common set of Admission Procedure steps.

Admission Code

Describes the Matriculation Category assigned to an applicant on the basis of their current qualifications. These codes can be optionally mapped to basis for Admission Types.

Admission Conditional Offer Status

Describes whether the conditions attached to the offer of admission have been met.

Admission Documentation Status

Describes the state of the applicant's documentary evidence required by the institution.

Admission Entry Qualification Status

Describes the state of the applicant's required entry qualifications.

Admission Fee Status

Indicates the standing of the applicant in relation to an Admission Fee.

Admission Offer Deferment Status

Describes the progress of a request by the applicant for deferral of their admission.

Admission Offer Response Status

Describes the state of the applicant's response to an offer of admission.

Admission Outcome Status

Describes the progress of the applicant's request for admission.

Admission Process Category

Is where a System Admission Process Category is assigned to an Admission Category. System Admission Process Category example: Course Admission, Course Transfer, Re-admission, Short Admission, Admission to Non-Award Units of Study.

Admission Type

Applicant Portal Web-based means by which an applicant can apply for admission to a course. See Applicant Portal.
Applicant Portal Final Date Alias This Date Alias is set in ADMF02R0 . This date restricts the Admission Periods that are available to an Applicant Portal user.
Applicant Portal Transfer Status Institutions can define Applicant Portal Statuses in ADMF0910. These values are mapped to system transfer statuses and are assigned to an Applicant Portal application and its components to indicate if the application has been submitted.

ARTS

ARTS Teaching Calendar Type Code

Are used to define 'semester enrolled' for the purpose of transferring results data for applicants as requested by the TAC.

Assessment Type

Describes the type of assessment completed by the applicant in their Australian secondary education. For example, HSC, VCE, SACE.

Australian Secondary Education Assessment Type

Australian Secondary Education School

See School Code, School Type.

Automated Results Transfer System

A process used to automatically extract academic records for students for whom this is requested, electronically, by a Tertiary Admissions Centre

Available Date

Is the estimated date for availability of the package item. This is used as an informative guide only and has no functionality attached. Note: this data is required to be manually maintained.

Available check box

Indicates if the package item is available.

Basis For Admission Type

Identifies the main criteria used in granting an applicant admission to a course of study based on their current qualifications/experience. These types can be mapped to Government Basis For Admission Types.

Citizenship Type Institutions can define Citizenship Types whose descriptions are available for selection by applicants via the Applicant Portal. Citizenship Types are defined in ADMF0285.

Conditional Offer

An offer of admission to a course, confirmation of which is contingent on the applicant fulfilling certain requirements. For example, presentation of original documentation.

Correspondence Category

Correspondence Category Mapping

Enables the mapping of Correspondence Categories to Admission Categories.

Course Type

Restrict Admission Categories to particular Course Types.

Deferment Status

eAdmission Web-based means (via Applicant Portal) by which an applicant can apply for admission to a course. See Applicant Portal.

Enrolment Category Mapping

Enables the mapping of Enrolment Categories to Admission Categories.

Entry Qualification

See Admission Entry Qualification Status.

Enquiry Application Number

A sequence number assigned to identify a person's enquiry.

Enquiry Characteristic Type

Is the user-defined types of characteristic of an enquiry.

Enquiry Date

Is the date the enquiry was made.

Enquiry Information Type

Is the user-defined types of enquiry that are likely to be made. For example, Travel, Accommodation, Fees.

Enquiry Package Item

Is the items that can be included in an enquiry package.

Enquiry Source Type

Describes the type of source responsible for an Admission Enquiry being made. For example, newspaper advertisement, school liaison activity.

Enquiry Status

Is the user-defined status of the enquiry.

Fee Category

Fee Category Mapping

Enables the mapping of Fee Categories to Admission Categories.

Force Processing of Incomplete Package

Indicates whether to force the processing of an incomplete package for the person. If set, it will override any limitations placed on the processing routine.

Government Basis for Admission Type

(DIISRTE element 327) is a unique Government defined code identifying the basis for granting Admission to a course of study. For example, 13 TAFE Award, 16 Mature Age.

HECS Option Mapping

Enables the mapping of Student Status to Admission Categories. 

HECS Payment Option

See Course Attempt Student Status (ENRF3110).

Indicated Mailing Date

Is the promised Mailing Date of the enquiry to be used as an alert when packages are not mailed in satisfactory time frames.

Intake Target Type

Is the types of applicants/students that the institution has established targets for when offering courses. For example, School Leavers, Commencing Students, Regional Entry, Returning Students.

Lamps Lamps inform the user on different situations. See ADMF3000 for further details and descriptions.

Latest Processing Date

Is the last date the enquiry was processed by the batch job ADMJ1320.

Mailed Date

Is the date the enquiry package item was mailed.

Number Restriction

Allows the limiting of items relevant to a particular Admission Step. For example, MULTI-OFF allows a maximum number of offers to be established.

Offer Date Response Offset

Is the number of days to be added to an applicant's Offer Date in order to calculate a default Offer Response Date. 

Override Amount Type

Allows an override of the Amount Type for a target.

Perform Admission Step check box

Describes whether or not a role has access to perform an Admission Step in the Direct Admissions process.

Re-admission

A process by which a person seeks to re-enter a course in which they were previously enrolled.

Rejected Applicant

An applicant who has not met the requirements for Admission.

School Code

Contains the code that uniquely identifies an Australian Secondary Education School. For example, 166 - Geelong High School Victoria.

School Type

A System defined type. For example, STATE, INDEPEND, OTHER.

Step Order

Is the sequence in which the Admission Steps are performed. The step order will not apply to certain step group types. 

Step Type

A System defined step in the Admission Process.

Successful Applicant

An applicant eligible to receive an offer.

System Admission Application Status

A System defined status. Each institution defined Admission Application status is mapped to a System status. For example, RECEIVED, COMPLETED, WITHDRAWN.

System Admission Conditional Offer Status

A System defined status. Each institution defined Admission Conditional Offer status is mapped to a System status. For example, PENDING, SATISFIED, WAIVED.

System Admission Documentation Status

A System defined status. Each institution defined Admission Documentation status is mapped to a System status. For example, NOT-APPLIC, PENDING, SATISFIED.

System Admission Entry Qualification Status

A System defined status. Each institution defined Admission Entry Qualification status is mapped to a System status. For example, NOT-APPLIC, PENDING, SATISFIED.

System Admission Fee Status

A System defined status. Each institution defined Admission Fee status is mapped to a System status. For example, EXEMPT, ASSESSED, RECEIVED.

System Admission Offer Deferment Status

A System defined status. Each institution defined Admission Offer Deferment status is mapped to a System status. For example, PENDING, APPROVED, REJECTED.

System Admission Offer Response Status

A System defined status. Each institution defined Admission Offer Response status is mapped to a System status. For example, PENDING, ACCEPTED, LAPSED.

System Admission Outcome Status

A System defined status. Each institution defined Admission Outcome status is mapped to a System status. For example, PENDING, OFFER, COND-OFFER.

System Admission Process Type

Describes the System defined processes available for Direct Admission. For example, Re-admission, Course Transfer. 

System Admission Unit Outcome Status

A System defined status. Each institution defined Admission Unit Outcome status is mapped to a System status. For example, OFFERED, REJECTED.

System Amount Type

Indicates how the intake target type is measured. The available values are EFTSL, PERCENTAGE, PERSON and WEFTSL.

System Default check box

Where more than one institution defined status is mapped to a System defined status, one must be set as the default.

System Enquiry Status

A System defined status. Each institution defined Enquiry status is mapped to a System status.

System Generated check box

Indicates if the enquiry package item is created by Callista or not. For example, Correspondence.

System Intake Target Type

Is the intake target types characterised as having functionality. User-defined intake Target Types are also allowed.

TAC

See Tertiary Admission Centre.

TAC Secondary Education Assessment Type

A code designated by TAC to define Australian Secondary Education Assessment Types. 

Target

Is the minimum target to be reached.

Tertiary Admission Centre

External body which processes applications for admission to tertiary institutions.

Tertiary Admission Centre Admission Code

A code recognised by the relevant Tertiary Admission Centre. Each institution defined admission code is mapped to a TAC admission code. For example, V10 (overseas applicant with VCE or IB).

Tertiary Admission Centre Level Of Completion

A code recognised by the relevant Tertiary Admission Centre. Each institution defined level of completion is mapped to a TAC level of completion. For example, S (successfully completed and obtained).

Tertiary Admission Centre Level Of Qualification

A code recognised by the relevant Tertiary Admission Centre. Each institution defined level of qualification can be mapped to a TAC level of qualification. For example, TBA (Bachelor's Degree).

Tertiary Education Level Of Completion

An institution defined code identifying the level of completion of tertiary education studies assigned to an applicant on the basis of their current qualifications. They can be optionally mapped to a Tertiary Admission Centre Level of Completion.

Tertiary Education Level Of Qualification

An institution defined code identifying the tertiary education level of qualification assigned to an applicant on the basis of their current qualifications. They can be optionally mapped to a Tertiary Admission Centre Level of Qualification. 

Type of Place Institutions can define Types of Places for a course available to applicants via the applicant portal. e.g. Commonwealth Supported and Full Fee Paying. Types of Place are defined in ADMF0600 and associated with a course in CRSF1600.

Unconditional Offer

A standard offer of admission to a course including details of any advanced standing offered.

Unsuccessful Applicant

An applicant who has met the requirements for admission but is not offered admission because of quota restrictions.
