Use this form to create and maintain institution-defined Applicant Portal Transfer Statuses.

Each Transfer Status is mapped to a System Transfer Status. Each System Status should have one Transfer status set as its default. A Transfer Status is assigned to an Applicant Portal application to denote the different outcomes of the process.

These Transfer statuses are also used by administrators to identify which records may need issue resolution and which records should not be loaded into SMS from App. Portal.

This form is also used to set an institution-defined Transfer status (that is mapped to a System Transfer Status of PENDING) as the Web Service Default Transfer status. This Transfer status applies to applications that are successfully transferred from an agency's system (via a web service) to SMS Applicant Portal tables belonging to an institution to which the agency is associated. Once an application is successfully transferred to the Applicant Portal tables, the Transfer Status of the application is set to the institution-defined default marked as the Web Service Default, or, if no Web Service Default exists, to the System Default Transfer Status.

Note that statuses mapped to a System Statuses of NOT-APPLIC or PENDING need to be defined in this form in order to avoid problems with Applicant Portal processing.

Rules/Notes:

The Applicant Portal Transfer Status is used to record the institution-defined Transfer Status. This status must be mapped to a System Applicant Portal Transfer Status.

The 'Web Service Default' check box is used to indicate the institution-defined Transfer Status to be used as the Web Service Default Transfer status for applications that are successfully transferred from an agency to an institution's SMS Applicant Portal tables. Only Transfer Statuses with a System Transfer Status of PENDING can be set as the Web Service default.

The Explanation field is optional. If text is entered in this field it is available to the Applicant Portal.

 

Validations:

  • The Web Service Default indicator can only be set for an Applicant Portal Transfer Status that has a System Applicant Portal Transfer Status of PENDING.
  • Only one Web Service Default indicator can be set for a System Applicant Portal Transfer Status of PENDING.
  • The Web Service Default indicator cannot be set for a closed Applicant Portal Transfer Status.

 

To record an Applicant Portal Transfer Status:

  • Record an Applicant Portal Transfer Status and Description.
  • Select a System Applicant Portal Transfer Status.
  • If appropriate, select the System Default checkbox.
  • If required, add text to the Explanation text box.
  • Save the record.

Rules/Notes:

You are unable to select a System Applicant Portal Transfer Status that is closed.

One, and only one, System Applicant Portal Transfer Status must have the System Default check box selected. If a second Applicant Portal Transfer Status is set to be the System Default value, then an error message displays.

If a System Applicant Portal Transfer Status has the System Default check box selected, then it cannot be closed.

Once used in the System, Applicant Portal Transfer Statuses cannot be deleted. Select the Closed check box to prevent further use.
