Correspondence and Communication Glossary
The terms used in the Correspondence and Communication Subsystem are described below. The relationships between data and concepts used in this Subsystem are explained in detail in the Understanding Correspondence and Understanding Communication Online Help pages.

Advanced Queue | Advanced Queue (1) stores the information from the DBMS JOB database, passes it through Read Email Account in JAVA and Advanced Queue (2) sends information back into the Callista SMS system (Record Incoming Correspondence). |
Autonomous Process | The process that runs autonomously in the background and processes Communication Templates to create Communication Items, such as letters, emails and sms. |
Indicates whether generation of the Correspondence Item is blocked when the recipient is encumbered. |

Identifies the Calendar Instance to which the correspondence is related - this usually applies when a Calendar Instance is specified as a System job parameter but may also be manually recorded here. |

The code of an institution-defined Correspondence Category. Used to define sets of system-generated and non system-generated Correspondence/Communicaiton Items that are due to be sent to a student. |

Correspondence/Communication Delivery Type | The media or device for sending and receiving Communication Items, for example, letter, email, sms. Delivery Types are defined in CORF2600. |
Correspondence/Communication Items Wizard | The Correspondence/Communication Items Wizard (CORW2000) allows users to:

Correspondence/Communication Registry | A table in the database that holds a record of all Communication Items that have been created and sent through the system. It includes items that were created but were rejected on review by an authorised user. This register is accessed via the Correspondence/Communication Items Wizard (CORW2000). |
Correspondence/Communication Template | Templates are defined using the 'Correspondence/Communication Template Wizard' (CORW0550). |
Correspondence/Communication Trigger | An event (on an insert/update/delete event in the database) that can generate Communication Items. A number of Callista tables have system Correspondence/Communication Triggers associated wiht them for which conditions can be defined that will 'trigger' the generation of correpondence. See the Correspondence Trigger Registry for a list of the tables and their system triggers. |
The code of an institution-defined type of correspondence/communication. Correspondence/Communication Types may include system-generated documents such as enrolment forms, fee invoices and certificates of results, together with non system-generated documents, such as university handbooks and teaching and learning materials. |

Identifies the course version to which the correspondence is related - this usually applies when a course version is specified as a System job parameter but may also be manually recorded here. |

The format in which a copy of a Correspondence Item is saved. |

Is the file location of a copy of a Correspondence Item saved externally to Callista. |

Letter Parameter |
The code of an institution defined parameter, that is mapped to System defined Letter Parameters. |
Letter Phrase |
The code of an institution-defined phrase, that contains text. |
Letter Templates |
The Microsoft Word document used by a System Letter, for the creation of correspondence. |
Processed Email Action | Determines what action to take when the email has been processed (mark as READ or DELETE). |
A system-generated reference number that identifies the Correspondence Item. |

Applies to system-generated correspondence and identifies the job output that produced the Correspondence Item. This permits the job output to be located and Correspondence Items to be reproduced. |

Subject | The Message Subject for a Messaging Correspondence Type. |
Substitution Tag | SQL queries that returns data from the Callista database and enables it to be drawn into Communication Items. Substition Tags are defined in CORW0400. They are inserted into the Template as part of the content. |
Specifies whether the Correspondence Type is system-generated or non-generated. System-generated Correspondence Types must be linked to one or more Correspondence Type job outputs. |

System Letters |
The Correspondence Type and reference number of a letter. System Letters contain institution-defined Letter Parameters, and Letter Template filenames. |
The identification number of the tracking item created to monitor this Correspondence Item. |

The status of the tracking item created to monitor this Correspondence Item. |

Identifies the unit version to which the correspondence is related - this usually applies when a unit version is specified as a System job parameter but may also be manually recorded here. |
