This form is navigated to from the Person Inquiry form (INQF1A00) via the 'Academic History' or the 'Enrolled Courses' buttons and is divided into three blocks: If the 'Academic History' button is selected, then all Student Course Attempts for the student are queried. If the Enrolled Courses button is selected, then only ENROLLED Student Course Attempts for the student are queried.

About This Screen

This form is navigated to from the Person Inquiry form (INQF1A00) via the Academic History button and is divided into three blocks:

 

Student Course Attempt

Shows details of an 'unconfirmed' course or a course which the student has attempted. If the student has more than one course recorded, use the Next Crs and Prev Crs buttons to view them. For students with more than one Course Attempt, the ability to display all Course Attempts in this screen depends on how this screen is entered. If it is entered:

Queries cannot be performed in this block. To retrieve the records of other students, return to the Person Inquiry screen (by clicking on the Exit button , as many times as required, to scroll back through previously viewed screens) and perform a query there, or return to the Class List (by clicking on the Drill Up button ) and select another student.

Information lamps and icons are displayed at the top of the screen where applicable. These lamps and their meaning are:

ACADEMIC Encumbrance - The student currently has an Academic Encumbrance that restricts or constrains their Enrolment in the context course. Details of the Encumbrance are maintained in the Basic Person Encumbrance Detail form (ENRF6310). A zoom can be created to ENRF6310 - access depends on Callista security roles.

ADMINISTRATIVE Encumbrance - The student currently has an administrative Encumbrance that restricts their access to services provided by the institution. Details of the Encumbrance are maintained in the Basic Person Encumbrance Detail form (ENRF6310). A zoom can be created to ENRF6310 - access depends on Callista security roles.

LOAD-CAL-1 01/01/06 30/06/06 - This lamp is only illuminated if the student is enrolled in the context course, and displays the Load Calendar used to derive their current Attendance Mode and Type. The Student's derived Attendance Mode and Type may differ from the Attendance Mode and Type values of the Course Offer made to the student. These values are displayed in the Student Course Attempt block of the Person Inquiry screen

Values derived from the Inquiry Student Indicator View. It will display up to 22 characters. It will truncate the result when 22 characters are exceeded. When truncated, selecting the lamp with the cursor will display the full data.

Alternate Exit Icon - Indicates the student has taken an Alternate Exit from the course.
Graduated Icon - Indicates the student has Graduated from the course.
Alternate Exit / Graduated Icon - Indicates the student has taken an Alternate Exit and Graduated from the course.
Note Icon - Indicates that a Student Course Attempt Note(s) exists for this Student Course Attempt. The icon only displays if the current user has access to view the particular NoteType(s).

The buttons in this block are described in the 'Where to from Here?' section.

Student Unit Set Attempt

Displays basic details of the Student's Unit Sets for the context course. Unit Sets typically describe the majors, minors, streams or specialisation pursued by the student. Queries can be performed in this block to refine the set of information displayed. Unit Sets are displayed in rank order with any Primary Unit Sets displayed first.

A Note Icon to the right of the Student Unit Set Attempt record indicates that at least one Note (that the current user is not restricted from viewing), exists for that Student Unit Set Attempt.

Student Unit Attempt

Shows details of the units which form part of the context Course Attempt. Queries can be performed in this block (on all fields except Mark and Grade) to refine the set of Unit Attempts displayed.

A Note Icon to the right of the Student Unit Attempt record indicates that at least one Note (that the current user is not restricted from viewing), exists for that Student Unit Attempt.


Where to From Here?

Return to the previous screen - by clicking on the Exit button .

End your inquiry session - by selecting Exit Forms from the Action menu.

Return to the Person Inquiry screen - by clicking on the Exit button, as many times as required, to scroll back through previously viewed screens.

View additional details of the Student's Course Attempt - by clicking on the Details button. These include:

View progression details for the displayed Course Attempt - by clicking on the Progression button.

View Advanced Standing details for the displayed Course Attempt - by clicking on the Adv Stnd button. (The button is disabled if the student has no approved or granted Advanced Standing.)

Select one of the Student's Unit Attempts and view a class list of all students who are attempting/have attempted the unit within the same class - by clicking on the Drill Up button next to the Unit Code of the selected Unit Attempt.

Toggle between Academic and Administration details for the Student's Unit Attempts - by clicking on the Academic/Administration button. (Note: the button's label changes depending on which details are currently displayed.)

Detail in This Form

Person ID - The identification number of a person recorded in Callista. A person may or may not be a student.

Course - The Course Code and version of a Course Attempt recorded for a student. e.g. The course 'M300.2' is version 2 of course M300. An iconic lamp is displayed if the student has taken an Alternate Exit, Graduated or both for this course.

Status (Course Attempt) - Indicates the current status of a Student's Course Attempt. Possible values and their meaning are:

Calendar Type - Displays the Calendar Type of the Academic Period in which the Course Attempt was applicable. This is relevant to institutions which operate more than one Academic Calendar. e.g. Institutions with a campus in another country may have an Academic Calendar specifically for that campus.

Location Code - The location (usually a campus) at which the course was offered and the student enrolled. Units may have been undertaken at locations other than the Course's Location.

Derived Attendance Mode/Type - For a Student's ENROLLED course(s) only, displays the derived values for the Course Attempt's Attendance Mode and attendance type. These are derived from the Student's Unit Attempts and may differ from the nominated Attendance Mode/Type of the Course Attempt as shown in the Person Inquiry screen. The values displayed are the institution defined Attendance Mode/Type values. A lamp (e.g. LOAD-CAL-1 01/01/05 30/06/05) in the top right of the screen indicates the Load Calendar used to determine the inclusion of Unit Attempts in the derivation calculations.

Commencement - The Commencement Date of the Student's Course Attempt. This field can be blank where the student is yet to confirm their Enrolment in the course.

Details Button - Clicking on the button displays the Course Attempt Details screen containing further details of the Student's displayed Course Attempt, including:

Progression Button - Clicking on the button displays the Course Progression screen containing a course progression summary and limited course completion details.

Adv Stnd Button - Clicking on the button displays the Unit Advanced Standing screen containing details of Advanced Standing in specific units which have been applied for/granted to the student. Navigation to the Unit Level Advanced Standing screen is via the Unit Advanced Standing screen.

Acad Report Button - Clicking on the button activates the Academic History Report. The report produces a comprehensive listing, for the context Course Attempt, of Advanced Standing granted and units of study undertaken by the student. The report also lists details of any current Academic Encumbrances.

Course Fees Button - Clicking on the button displays the Student Course Fee Inquiry screen containing details of the Student's Fee Assessments for the context Course Attempt .

Exam Timetable Button - Clicking on the button displays details of Exam Timetables for the student in the Student Exam Inquiry screen (INQF1300).

Next Crs Button - Refer to About the Information on This Screen.

Prev Crs Button - Refer to About the Information on This Screen

Notes Button - Selecting the button displays the Student Course Attempt Notes (ENRF3080). The button is only enabled when Note record exists for the Student Course Attempt.

Acad Encumbrances Button - Selecting the button displays the Person Encumbrances (ENRF6310). The button is only enabled when Encumbrance records exist for the Student Course Attempt (It will display only Encumbrances of Category ACADEMIC).

Res Supervisors Button - Selecting the button displays the Maintain Research Supervisors (RESF3250). The button is only enabled when Research Supervisor records exist for the Student Course Attempt.

Activity Timetable Button - Selecting the button displays the Student Activity Timetable Inquiry (INQF1500). The button is only enabled when the client has the Callista Attend product installed and Activity records exist for the student.

Unit Set - The code by which a Unit Set is identified. Unit Sets describe majors, minors, streams or specialisation being undertaken by the student.

Title (Unit Set) - The name of the Unit Set.

Selection Date - The date the student selected the Unit Set.

Category - A classification into which a Unit Set is placed. Typical Unit Set Categories include MAJOR, MINOR, STREAM, STRAND.

Rank - The relative ranking (1 being highest) of the Unit Set Categories. For example, a MAJOR may have a higher ranking than a MINOR.

Status (Unit Set Attempt) - Indicates the current status of a Student's Unit Set attempt. Possible values and their meaning are:

Primary Set check box - This identifies the Unit Set or sets which form the major part of the Course Attempt. The Primary Unit Set will be the highest ranked of a Student's Unit Sets.

Period - The period in which the unit is undertaken. This is a combination of the academic year and the teaching period. Note: The values used to identify periods of time may be different for different institutions, but, a typical example might be 2003/1, representing first semester in 2003.

Unit - The Unit Code and Version of a Unit Attempt recorded for a student. e.g. The unit 'MAA101.3' is version 3 of unit MAA101.

 

Academic Details

Title (Unit) - The name of the unit.

Status (Unit Attempt) - Indicates the current status of a Student's Unit Attempt. Possible values and their meaning are:

Enrolled CP - The number of credit points in which the student is considered to be Enrolled, for the Unit.

Mark - The mark recorded for an Assessed Unit. Marks are optional, therefore some completed units may not have a mark recorded against them.

Grade - The Grade awarded to the student.

Achieved CP - The number of credit points achieved by the student for passing the unit. Where a student has not passed or is yet to pass the unit, the value will be zero. The value may still be zero if the student has repeated and passed the unit but the unit is not one which is allowed to contribute multiple credit toward the satisfaction of course requirements.

 

Administration Details

Location - The code of the Location, typically a Campus, at which the student is deemed to be studying/have studied the unit.

Unit Class - The code of the class in which the student is deemed to be studying/have studied the unit. Class codes are institution defined and often include embedded day, time and/or location information.

Status (Unit Attempt) - Indicates the current status of a Student's Unit Attempt. Possible values and their meaning are:

Enrolled CP - The number of credit points in which the student is considered to be Enrolled, for the Unit.

EFTSL - The fraction of an Equivalent Full Time Student Load generated by Enrolment in the unit. The Student's aggregated EFTSL is used to derive their Attendance Type and frequently to assess liability for tuition and other fees.

Mark - The mark recorded for an Assessed Unit. Marks are optional, therefore some completed units may not have a mark recorded against them.

Grade - The Grade achieved, by the student, in the unit. The Grade for a Unit Attempt may have been keyed, derived from a keyed mark or allocated by the System (where the unit was discontinued).

Achieved CP - The number of Credit Points achieved by the student for passing the unit. Where a student has not passed or is yet to pass the unit, the value will be zero. The value may still be zero if the student has repeated and passed the unit but the unit is not one which is allowed to contribute multiple credit toward course requirements.

Academic/Administration Button - Toggles the display in the student Unit Attempt block between Academic and Administration details related to the Unit Attempt. The label of the button changes to the name of whichever details are not currently being displayed.
