PAAW1120 - Proposal Content

Overview
This function enables the user to view proposal or curriculum item content while creating/ editing or reviewing a proposal.
This page allows you to view the proposal or curriculum item content while creating/ editing or reviewing a proposal.
You will use this page if you wish to:
- View the structure and content of a proposal or curriculum item
- Create a proposal based on an existing proposal or curriculum item
- Update and submit a draft proposal that you are creating or editing
- Review a proposal
- Edit DRAFT proposal instances and you are an administrator.
What's on this page?
Toolbar
The Print, Email and Generate File buttons, always display on this toolbar. While the display (or not) of the other toolbar buttons depends on what you are doing on the page (see Rules and Notes below).
Note: The Generate File button generates a zip file containing the proposal's details and attachments.
Proposal Details
The proposal details are displayed in the shaded header at the top of the page.
Proposal Structure
The Elements in the Proposal are displayed in a list which can be expanded or collapsed.
The Expand All button displays all Elements and Items.
The Collapse All button
displays only the Elements
Individual elements can be expanded or collapsed by clicking on the expand or collapse icon for the Element.
When expanded, the Items within an element are displayed, together with their assigned values.
Multi-record items are listed one after the other, within the element.
A Proposal Item that has been closed in PAAW0300 is not displayed unless it was included in the Proposal Instance before the item was closed.
Views
The 'View' drop down list allows the selection from three options for the display: Options are:
- Show Proposal Sections - Displays only the elements defined in the proposal.
- Show Changes – Displays the View Proposal Changes (Comparison ) Screen.
- Show Everything - Displays the full definition of the object (e.g. If the context proposal is a unit, this will display all the Elements and Items defined for the Unit Proposal with the Full Definition check box selected in PAAW0200).
The Definitive Instance Proposal Type is determined according to the following:
For Course and Unit Proposals (and USERDEF course and unit proposals):
- If there is a Definitive Instance defined in PAAW0200 for the Proposal Instance's Sector, then that Proposal Type is the Definitive Instance
- If the sector of the Proposal Instance does not have a Definitive Instance defined in PAAW0200, then the default Definitive Instance in PAAW0200 will apply.
- If the sector is not included in the Proposal Instance then the 'default' Definitive Instance (the one with no Sector defined) will always apply.
- If the Proposal Instance is cross sector then the 'default' Definitive Instance (the one with no Sector defined) will always apply.
For other Proposals the 'default' Definitive Instance (the one with no Sector defined) will always apply.
The options available in the 'View' drop down list are determined by the Display Mode of the page.
e.g. When viewing an existing Unit, Unit Set or Course only Display Everything is available, whereas in Submit or review mode for a proposal, all options are available.

Icons
The following icons may be displayed for elements on this page. Some of these only display in some modes.

Navigation
This page contains links to the following pages:
- PAAW1040 - Proposal Timelines accessed via the Change Timeline toolbar button (for proposals only).
- PAAW1180 - Proposal Instance Comments popup accessed via the Comments toolbar button.
- PAAW1170 - Proposal Instance Overview page accessed via the Proposal Overview toolbar button (only available in Submit mode).
- PAAW1140 - About this Proposal page accessed via the About this Proposal toolbar button.
- PAAW1150 - via the Review Steps link when the proposal hasn't been submitted
- PAAW1100 - Proposal Content accessed via the Review and Submit button.
This page also has an Email link which opens an email message addressed to all proposers and editors of the proposal (excluding the current user) and a Print toolbar button which allows you to print the proposal.
Rules/Notes
Searching for a Proposal - VIEW mode*
- Go to PAAW1000.
- Enter Search criteria or click on All Proposals link to go to PAAW0070.
- Select the required proposal from those returned in PAAW0070.
- The proposal displays in PAAW1120, the heading is 'Proposal XX', where XX is the proposal number.
The structure of the proposal can be viewed but cannot be updated. Comments and attachments can be added.
Toolbar buttons: Email, Print, Generate File,Timelines, Comments, About this Proposal.
Note: The behaviour of print functionalty may be affected by Print URL values recorded for the selected proposal's proposal type. i.e. If the proposal type or the definitive proposal type has been configured to have a custom URL, the default Print Proposal functionality will not be used. See information for a Proposal Type Print URL.
- Expand each element to display its items.
- Click on the <Prev button to return to PAAW0070.
*Note: An administrator is able to edit or delete DRAFT Proposals in this mode.
For a person to be a Proposal Administrator, they need to have a System Advanced Function as described below, assigned to them or their role:
- For Unit proposals - System Advanced Function PR-UN-APPR . However if the user is a UV-APPROVE BAP member associated with a particular org unit, then they will only see unit proposals which include UVOWNOU, for their org unit.
- For Course Proposals - System Advanced Function PR-CRS-AD. However if the user a CRS-APPROVE BAP member associated with a particular org unit then they will only see course proposals which include CRVRESPOU, for their org unit.
- For Unit Set Proposals - System Advanced Function PR-US-AD . However if the user is US-APPROVE BAP member associated with a particular org unit then they will only see unit set proposals which include RESPOU, for their org unit.
Creating a proposal - CREATE mode
- Go to PAAW1000.
- Click on a link at the top of the page to create a new proposal.
- Select 'Base Proposal on Existing' for the Proposal Method Selection
- Select the required proposal from the search page PAAW0070.
- The proposal displays in PAAW1120, the heading is 'XXX Content and Section Review' (where XXX is the Proposal Type).
It is 'Display only' - allowing you to select an existing proposal on which to base yours.
Toolbar buttons: Email,Print and Generate File,
- Expand each element to display its items.
- If you wish to base your new proposal on this proposal, click on Create Proposal button to open the Create Timeline page (PAAW1040) and begin the process of creating a new proposal.
Submitting a Proposal - SUBMIT mode
- Select a proposal from the My Proposals section in PAAW1000.
- The proposal displays in PAAW1170.
- Click on an element to open it in PAAW1100.
- When all elements have been visited, the proposal is displayed in PAAW1120, with the heading 'Review and Submit'.
You or your editors can add comments or attachments, or alter values by clicking on the element link and going to PAAW1100.
Toolbar buttons: Email, Print, Generate File, Change Timelines, Comments, Proposal Overview, Review Steps, About this Proposal.
If the proposal has a Proposal
Type in which the Automatic Approval indicator is selected, then the Review Steps button is disabled and a lamp 'Submission will result in automatic approval' is displayed.
- Click on the Submit button to submit the proposal.
On submission workflow steps will be generated including those that are conditional for Proposal Elements and Items.
If the proposal is set for Automatic Approval then no workflow steps will be generated on submission.
For 'UNIT-BULK' Proposals, all the people in BAPs configured against an Organisational Unit that is used by Units that have been included in the proposal will be included in the review. As the definitive instance cannot be applied to this proposal type, the View option for these Proposals is disabled.
This is also accessed after the last element in PAAW1100.
Note: If the Submit button is not available, this could be because:
- The Submit Date has passed
- There are incomplete section(s) in the proposal (indicated by lamp)
- Configuration issues prevent the determination of the proposal outcome (see PAAW0200)
- No data has changed in the proposal.
Reviewing a Proposal - REVIEW mode
- Select the proposal in My Reviews in PAAW1000.
- The proposal displays in PAAW1120, the heading is 'Review Content'.
This mode allows you to examine the proposal and add comments before adding your review result for the workflow step.
Toolbar buttons: Email, Print, Generate File, Comments, About this Proposal
Comments bubbles display
- Click on element name to open that element in PAAW1100.
- Make comments or attach attachments if required.
- Click on the Back button to return to PAAW1120.
- When you are finished reviewing the proposal, click on the Review Proposal button to go to PAAW1150, to record your results for the workflow step.
Importing a Proposal - IMPORT mode
- Select the proposal in My Reviews in PAAW1000.
- The proposal displays in PAAW1120, the heading is 'Review Content'.
This mode allows you to examine the proposal and add comments before adding your review result for the workflow step.
- Toolbar buttons: Email, Print, Generate File, Comments, About this Proposal and Comments bubbles display
- Click on element name to open that element in PAAW1100.
- Make comments or attach attachments if required.
- Click on the Back button to return to PAAW1120.
- When you are finished reviewing the proposal, click on the Review Proposal button to go to PAAW1150, to record your results for the workflow step.
Viewing changes to a Proposal
- In PAAW1120 select the Changes option for the View drop down.
(Only available in some modes).
- Expand the element in which you are interested. The following details are displayed for each item:
- Prompt - Field label for the item
- Approved - Approved value for the element
- Proposed - Current text for the element
- Tracked Changes - New text is added in
