This page is used to approve multiple Potential Graduands' eligibility to graduate, in one batch. A single Course evaluation and Unit Set evaluation is successfully assigned to all Potential Graduands included in the batch, if they have satisfied course requirements.
Records to be included in the batch are selected in the GRDW5300 (List) page prior to accessing this page (GRDW5310).
This page is accessed via the Evaluate Batch icon on the Potential Graduands (List) page (GRDW5300). It is made up of a Course Outcomes tab and a Unit Sets tab, so that an Evaluator can apply a single Evaluation Outcome Status, Reason and Comment to all Course and Unit Set Outcomes in the batch.
Note: Graduation Evaluation Types (GETs) are not evaluated in batch mode (as they are in GRDW5300) as the available Responses can differ across Potential Graduands depending on their context.
The GRDW5310 page is accessed via the Evaluate Batch icon located on the Potential Graduand (List) page (GRDW5300).
This page is used to perform a Course evaluation and/or Unit Set evaluation for all records in the batch, by updating the Status field on the Course Evaluation tab and/or the Status field on the Unit Set Evaluation tab.
Note: If updating the status for both Courses and Unit Sets, then you must enter a status in the Status field on both tabs before proceeding via the Next button.
A Steps Wizard Train is displayed at the top of the page showing the progress of the evaluation.
1. On the GRDW5300 (List) page, select all Potential Graduand records that you want to evaluate in bulk, then click on the Evaluate Batch icon. The GRDW5310 page is displayed.
2. (Optional) Select the Course Evaluation tab, enter the required status in the Status field.
3. (Optional) Select the Unit Set Evaluation tab, enter the required status in the Status field.
4. Click the Next button on either tab. The Summary Overview page is displayed.
This page lists all Potential Graduand Course Outcomes and/or Unit Set Outcomes that will be updated. The current Evaluation Outcome Status is shown for each record. A message at the top of the page states the status that the records will be updated to when you proceed with the update.
5. Click the Update button to proceed with the update of the Evaluation Outcome Status.
6. The final page displays a Summary message stating how many records were successfully updated, and any error messages.
7. Click the Close button to exit the GRDW5310 page and return to the GRDW5300 (List) page.
The following tables describe each field on the GRDW5310 pages, including applicable Table values.
Note: For instructions on how to search for records, see the Working with Callista Lists Help page.
The fields on these tabs are used to update the Status of all Course Outcomes and/or Unit Set Outcomes for the Potential Graduands included in the batch (as selected on the GRDW5300 (List) page).
Note: To update both Course Outcomes and Unit Set Outcomes belonging to the Potential Graduand records, ensure you update the Status field on both tabs before clicking the Next button.
