GRDJ5800 - Delete Potential Graduand Records

To delete Potential Graduands

A job will delete all the potential graduand records that have not been approved or rejected.

i.e It will delete any records that have statuses that are mapped to the following System Graduation Evaluation Statuses:

  • NOT-EVAL
  • APPR-COND, and having no missing or incomplete results
  • PENDING.

Potential Graduand Evaluation Statuses are defined in GRDF5200.

It physically deletes all Potential Graduands and their child records, where the Potential Graduand:

  • Only has Potential Graduand Course Outcome or Potential Graduand Unit Set Outcome records that are not APPROVED or REJECTED
  • Has no Potential Graduand Course Outcome or Potential Graduand Unit Set Outcome records with conditional units with missing or incomplete results.
    Missing > STDNT_UNIT_ATMPT_OUTCOME.FINALISED_OUTCOME_IND = N 
    Incomplete > S_RESULT_TYPE for Grade is INCOMP in GRADING_SCHEMA_GRADE

The following is recorded in the run log:

  • Number of Potential Graduand records deleted
  • Number of Potential Graduand records skipped - non-matching Org Unit(s)

This job may be run in Schedule ASAP or Scheduled mode.

The job is accessed from the main menu.

 

The Delete Potential Graduand Records block contains:

Parameters Tab

  • Graduation Period
  • Earliest Graduation Period Cleanup Date
  • Course Code
  • Organisational Unit Code

Rule/Notes:

The Graduation Period field is mandatory.

Graduation Periods without dates defined for the date alias Potential Grad Clean Up Date Alias value in GRDF1000, will not be available for selection in the Graduation Period LOV.

The Earliest Graduation Period Cleanup Date is derived by evaluating the value of the Potential Grad Clean Up Date Alias instance for the Graduation Period instance entered.

The Date Alias used for Clean Up Date Alias is set in GRDF1000.

A warning 'Job should be scheduled on or after the Earliest Graduation Period Cleanup Date' is displayed if the job is scheduled before the Earliest Graduation Period Cleanup Date value or if the derived value of that date is in the future.

Potential Graduands will be deleted only if all their Outcome Instance Org Units satisfy the entry for the Organisational Unit Code parameter (or any descendants).
If a potential graduand has multiple Org Units and one or more do not match the entered Organisational Unit (or descendants), a warning will be logged, the potential graduand skipped and processing continued. If a potential graduand would have been deleted except for this then a message 'Potential Graduand <person_id> skipped - non-matching Outcome Instance Org Unit(s)' is written to the run log.

Enter Course Code and/or Organisational Unit Codeparameters, to restrict the Potential Graduand Records affected by this job.
