ASSF53B0 - Amend Student Unit Attempt Outcomes

Purpose

To allow the amendment of Student Unit Attempt Outcomes.

This form is used to amend the Marks/Grades recorded for a Student's Unit Attempt. It will typically be used to amend results after bulk keying of outcomes in the Mark/Grade Entry form (ASSF5330). These changes may occur before or after results are finalised and published.

'Finalised' outcomes cannot be overridden unless the Finalised check box is changed first (this is not recommended). The normal practice is to create a new outcome record to replace a finalised grade.

'Recommended' outcomes can be amended either by overwriting the existing Grade/Mark (not recommended) or creating a new outcome record to replace the existing Grade/Mark.

If large numbers of amendments to 'recommended' outcomes are required following Boards of Examiners (or equivalent authorities) meetings, ASSF5330 may be used to overwrite outcomes. However, this will only be possible if the form has been configured to allow overwriting of grades in the Maintain Results Entry Configuration form (ASSF01K0). Whilst details of overwritten grades are not displayed in ASSF5330 or in this form, a history record is created which will be viewable in a history form or via the Audit facility (future developments).

Outcome records are displayed in date order, forming a history of outcome changes. The result recording process is fully explained in Assessments for the Subsystem Specialist.

 

The Student Unit Attempt block contains:

  • Person ID

  • Location

  • Unit Attempt Status
  • Course Code.

The Student Unit Attempt Outcome block contains:

  • Mark
  • Grade
  • Outcome Date
  • Translated Grade
  • Creation Method
  • Finalised check box
  • Times Keyed

Rules/Notes:

The Student Appeal button provides access to form ENRF3210 where student complaints and appeals can be recorded.

The Student Appeal button is only displayed for a finalised Student Unit Attempt outcome.

Perform query to locate Student Unit Attempts (top block). Queries can be performed on single fields or on combinations of any field except Name.

Select the Student Unit Attempt.

To add a replacement Student Unit Attempt Outcome (bottom block):

  • Select a new record.
  • Optionally insert a mark.
  • Insert Grade. The System will attempt to derive the grade from the mark if a grade is not entered.
  • The Outcome Date is inserted automatically by the System.
  • Where the Translate Student Unit Attempt Outcome process (ASSJ5390) has been run for the student, the Translated Grade is displayed.
  • The Creation Method indicates that the result has been manually keyed. (For existing results it indicates if they were manually keyed or entered through the Electronic Upload Process or the result of a unit discontinuation.)
  • The Finalised check box of the replacement grade, defaults to the status of the grade being replaced. Amend if required.
  • The Times Keyed field indicates how many times an existing result was keyed in the Mark/Grade Entry form (ASSF5330).

To modify existing outcomes (only recommended to correct incorrectly keyed outcomes):

  • Select Outcome to be changed.
  • Overwrite the existing Mark and/or Grade.
  • 'Finalised' records cannot be modified, either:
    • Create a new record (The Finalised check box is automatically selected.), or
    • De-select the Finalised check box and resave the record before overwriting the existing Mark and/or Grade.

Rules/Notes:

Outcomes can only be recorded against units that are ENROLLED, COMPLETE or DISCONTIN.

A Mark/Grade that has been defined as 'finalised' cannot be updated unless the Finalised check box is not selected and the record saved or the outcome is the result of a unit discontinuation.

Previously entered results cannot be deleted.

A new outcome record will default to the previously entered results status of 'finalised' or 'recommended'.

A discontinued outcome can only be changed by modifying (overwriting) the outcome. In such cases, the creation method remains as DISCONTIN. New (replacement) outcomes cannot be created for discontinued outcomes.

When modifying a Student Unit Attempt Outcome or creating a new outcome, the updated or new outcome is translated if the previous outcome had been translated.

If the grade entered has the Record Grade Only check box selected in ASSF5110, then an error message will display preventing a mark from being recorded with the grade.
