STAJ0120 - Copy Government Stats/Centrelink Files from Secure Area

Purpose To copy Government Statistics extract files from a secure directory to a directory where users can access them.

This job copies Government Statistics extract files from a secure directory to a directory accessible by users.

The secure directory and the user directory are specified by the 'KEEP' and 'USER' environment variables respectively. (For more information, see your System administrator.)

The function uses the filename to recognise the files that need to be transferred.

Run Details

This job is run in batch mode only.

It would be run when access to the output files produced by the extract jobs is required. This is typically for:

  • Loading these files into HEPCAT or AVETMISS
  • Extracting information for 'in-house' statistics

Note: The process to copy files to/from a secure area for HE Government reporting also includes VET FEE-HELP reporting.

 This job is accessed via the main menu.

 

The Copy Govt. Stats/Centrelink files from secure area block contains:

  • Submission Year
  • Submission Period - (1 or 2)
    1 - (1/1 to 30/6)
    2 - (1/7 to 31/12)
  • Submission Number
    A number value ranging from 1 – 999.
  • File Type
    Possible files types are:
    • CENTERLINK
    • GOVERNMENT HE
    • GOVERNMENT VET
    • VET FEE-HELP
  • Extract Files
    Leave the Extract Files parameter value as 'ALL' to copy all files for a submission.
    Alternatively, enter specific file types separated by a space to copy just those files (for example, LL EN CO or 010 020).

Rules/Notes:

All parameters are mandatory.

For AVETMISS files - select 'Government VET' for the File Type parameter.

The Submission Year parameter is the Reporting year. This field is mandatory.

The Submission Period is the Reporting period. Values are 1 or 2.

 

Job parameters are used to:

  • Identify files based on a Submission Year, Submission Period and a Submission Number for which the files are to be copied (up to 999).
    The filename convention for Government files is:
    • (For Student Data Collection files - EN, LL, DU, OS, CO, CU, PO, PS): HHHHXXYYYY.PNNNN
      where:
      HHHH = HE Provider Code (i.e. Institution Code),
      XX
      = File type abbreviation code (not case sensitive),
      YYYY
      = Reporting year (must be >=2011),
      P = Reporting Period (1 or 2), and
      NNNNN
      = Submission Number (00001-99999).
    • (For Commonwealth Scholarship files): HHHHXXYYYY.NNNN
      where:
      HHHH = HE Provider Code (i.e. Institution Code),
      XX = File type abbreviation code (i.e. SS) (not case sensitive),
      YYYY
      = Reporting year (must be >=2011), and
      NNNNN
      = Submission Number (00001-99999).
    • (For Revision files - SR, RL, RD, RO): HHHHXXYYYY.PNNNN
      where:
      HHHH = HE Provider Code (i.e. Institution Code),
      XX = File type abbreviation code (not case sensitive),
      YYYY
      = Reporting year (always 0000),
      P
      = Reporting Period (always 0), and
      NNNNN
      = Submission Number (00001-99999).
  • Elect to transfer either all files, or particular files by specifying one or more file types. Multiple file types are specified by listing the required File Abbreviation codes separated by spaces (for example, LL EN CO).
  • Note. For processing involving SA-HELP extract files:
    For a submission Year/Period when the File Type is GOVERNMENT HE and Submission Number 1, the SA-HELP file will be among those copied.
    When the File Type is GOVERNMENT HE and Submission Number 2 and higher, the SA-HELP Revisions file will be among those copied. See STAJ0180 for more information about SA-HELP files.

Note that extracts for SA-FILE and SA-FILE REVISIONS can only be copie as part of ALL (All GOVERNMENT HE files). They cannot be copied as separate files

    • SR - SA-HELP Revision file

     

    • VLL - Student Load/Liability file
    • VRL - Revised Student Load/Liability file
    • VEN - Student Enrolment file
    • VCU - Unit of Study Completions file
    • VCO - Course of Study file
    • VCC - Course Completions file
    • VDU - Commonwealth Assisted Students file
    • VRD - Revised Commonwealth Assisted Students file
    • VPO - Electronic Commonwealth Assistance Form file
    • VSR - Revisions file

Note: VET FEE-HELP file types are: VLL, VRL, VEN, VCU, VCO, VCC, VDU, VRD, VPO, VSR.
