The purpose of this function is to select records from the GOVT_STUDENT_REVISON and GOVT_EXT_STUDY_LOAN_REVISION tables to create a Revisions File (SR) and an OS-HELP Revisions File (OR).

This job produces an SR and an OR file. The SR file reports Load Liability changes and the OR file reports OS-HELP changes. SR and OR have the same structure and contain a Revision Reason Code indicating why the record was included. The actual details of additions and changes are included in accompanying Revised Load Liability (RL) and/or Revised OS-HELP (RO) files that are submitted along with the Revisions file as part of a Revisions submission.

The Revisions file reports changes to Element values that were submitted in prior Load Liability (LL) and OS-HELP (OS) files created as part of a prior submission.

This form is accessed via the main menu.

Select either:

• Log Creation Date (LOV)

Or a combination of the following parameters:

• Revision Submission Year (LOV)
• Revision Submission Number (LOV)

Rules/Notes:

If a Log Creation Date is not entered, the Revision Submission Year and Revision Submission Number are mandatory fields, therefore values must be entered for both fields.

The following will cause this job to fail:

• The Output file name is not supplied
• The KEEP directory is not defined
• The Output file name cannot be opened (correct path defined)
• Local institution information is not recorded
• Local institution address information is not recorded.

The following will cause Exceptions to be generated:

• The SCA Government Student Status Code is not made up of three digits
• EFTSL for a unit of study is more than 9999999999 in length
• Birth date is not defined for the student
• Student does not have an ACTIVE or PROVISIONAL CHESSN
• A student's Tax File Number is not supplied.

Rules/Notes:

The file name is: HHHHXXYYYY.PNNNNN
where:

• HHHH = Higher Education Provider Code - (Institution code)
• XX = File Type abbreviation code i.e. SR or OR (File Type is not case sensitive)
• YYYY = Reporting Year - (always 0000)
• P = Reporting Period - (always 0)
• NNNNN = Submission Number - (00001 – 99999)

For example, 1234SR0000.000001

The Submission Number used in the file name is the Submission Number defined in STAF1350 – the Government Snapshot Control form.
The Submission Number must follow sequentially from the last Revisions file you submitted, for example, if you have already submitted eight Revisions files to Government, the first Revisions file submitted to HEPCAT will have a Submission Number of 00009.
