The purpose of this form is to record and maintain details of people (students and applicants) associated with a particular prize. Through the Person Prize Status field, the level of evaluation for a person can be indicated. A person can be assigned one of the following person prize statuses:

• POTENTIAL
• INELEGIBLE
• ELEGIBLE
• RECIPIENT

This form also allows the recording of the date, reason and person who approved the person prize status.

At the person prize level, it is possible to override some values defined at the prize detail level; these values are the prize value and the correspondence criteria.

This form is accessed from the main menu.

The Person block contains:

• Person ID
• Sex
• Date of Birth

The Person Prize block contains:

• Prize Year
• Prize Code
• Prize Status
• No System Evaluation check box
• Nominated by

Rules/Notes:

Use this form to record a person's prize details. The information recorded is in context of a person.

Person Prize Block

• Prize Year - The academic year for which the prize is awarded
• Prize Code - The code for the prize being awarded. The prize code is recorded in PRZF0100 (Maintain Prize Detail)
• Prize Status - The prize status. The prize status is recorded in PRZF0030 (Maintain Prize Status)
• Select the No System Evaluation check box to suppress system evaluation of the person prize record (at present there is no system evaluation functionality)
• Nominated By - Identifies if someone nominated the person for the prize

Authorised Tab

• Authorised By - Identifies the staff member who authorised the person to be awarded the prize
• Authorised Date - The date the authorisation was given
• Authorised Reason - The reason for authorisation being given

Award Received Tab

• Select the Award Received check box to indicate the person has received the prize
• Award Date - The date the prize was awarded )typically the date of an award ceremony)

Prize Value Tab

• Prize Type - Information about the prize type is recorded in PRZF0130 (Maintain Prize Detail Type)
• Description - The information about the prize type description is recorded in PRZF0130 (Maintain Prize Detail Type)
• Prize Value - The prize value is recorded in PRZF0140 (Maintain Prize Value)
• Override Prize Value - Insert a value here to override the prize value recorded in PRZF0140 (it may be necessary to override the prize value if more than one person received the prize in the same year and the total value is split between them)

Correspondence Tab

• Correspondence Criteria - This information is recorded in PRZF0110 (Maintain Prize Criteria)
• Override Correspondence Criteria - An alternate description of the prize can be inserted here to override that which is recorded in PRZF0110

This information is used in correspondence sent to donors and recipients.

Comments Tab

The Comments tab is used to record any additional information pertaining to the person associated with the prize

Rules/Notes:

Only Prize Codes with a system status of ACTIVE can be inserted.

A Person Prize record cannot be processed if the effective Prize Details Date Alias does not exist for the given prize year.

If the Authorised indicator is set for the Person Prize Status, the Authorised Date and Authorised By details must be entered (in PRZF0030 - Maintain Prize Status).

An Authorised By person must be a staff member.

An Award Date can only be set if the Person Prize status has a system status of RECIPIENT.

The Received indicator can only be set if the Person Prize Status has a system status of RECIPIENT.

If the Prize Detail prior recipient check indicator is set, the same Person ID and Prize Code combination cannot be recorded.

Person ID and Nominated By cannot be the same if Prize Detail Application Allowed indicator is set to N.

An Override Prize Value can only be set if the Person Prize Status has a system status of RECIPIENT.

A Person Prize record with a status that is mapped to a System Person Prize status of INELIGIBLE, ELIGIBLE or RECIPIENT cannot be set to a status that is mapped to a system status of POTENTIAL.

A Person Prize record with a status that is mapped to a System Person Status of RECIPIENT can only be changed if the award date has not yet been reached.

A Prize Value cannot be overridden when the Prize Value doesn't exist for the prize code.

A Person Prize record cannot be deleted unless the System Person Prize status is POTENTIAL.
