PRZF0100 - Maintain Prize Detail

The purpose of this form is to record basic information pertaining to a prize. This information is then referenced by other prize related processes throughout the Prizes subsystem, such as Person Prize.

This form is accessed from the main menu.

 

The Prize Detail block contains:

  • Prize Code
  • Prize Name
  • Prize Status
  • Start Date
  • Review Date
  • Expiry Date
  • End Date
  • Governance Type
  • Account Code
  • Testamur Type
  • Permanent check box
  • Prior Recipient Check check box
  • Application Allowed check box
  • Include in ARTS Extract check box

Rules/Notes:

When creating a new prize, the Prize Status must be set to PLANNED. Once all the required detials (criteria, donor, etc) have been defined, it can be set to ACTIVE.

Use this form to record basic information about a prize. The following information is recorded against a prize:

  • Prize Code - A unique code to identify the prize
  • Prize Name - A name by which the prize is identified
  • Prize Status - An institution defined status for the prize (defined in PRZF0030 Maintain Prize Status)
  • Start Date - The prize start date
  • Review Date - The prize review date (if one has been determined)
  • End Date - The prize end date (if one has been determined)
  • Governance type - the institution defined governance type for the prize (defined in PRZF0040 Maintain Governance Type)
  • Account Code - the account code for the prize
  • Testamur Type - the institution defined testamur type for the prize (defined in GRDF1600 Testamur Type)
  • Permanent check box - This indicator is selected to indicate if the prize is permanent.
  • Prior Recipient check box - This indicator is selected to prevent a prior recipient of the prize from being eligible for receiving the prize again.
  • Application Allowed check box: This indicator is selected to prevent potential recipients from applying for the prize themselves.
  • Include in ARTS Extract check box: This indicator is selected to include prize information with this Prize Type as a note in the ARTS results file (refer to TAC Academic Results Requisition process).

Rules/Notes:

A Prize Detail record cannot be set to a status that is mapped to a system status of ACTIVE until the following exist:

  • An effective prize criteria record
  • An effective prize donor record
  • A prize detail type record
  • A prize responsibility record

Only account codes with a system account type of Prize can be associated with a prize detail record.

A prize detail record with a prize status that is mapped to a system prize status of INACTIVE must have the end date set.

A prize detail record cannot have the end date set unless the status is set to a value that is mapped to a system prize status of INACTIVE.

The end date of a prize detail record (if not null) must be greater than or equal to the expiry date.

The end date of a prize detail record may not be set to a date that is less than the start date of the prize detail record.

A prize detail record with a status that is mapped to a system prize status of INACTIVE or ACTIVE cannot be set to a status that is mapped to a system prize status of PLANNED.

A prize detail record that has a status that is mapped to a system prize status of INACTIVE may be set to a status that is mapped to a system prize status of ACTIVE if the end date is removed.

A prize detail record that is associated with a prize type that has the monetary indicator set to Y must have a prize value recorded before the prize can be set to a status that is mapped to a system prize status of ACTIVE.

The review date of a prize detail record may not be set to a date that is less than the start date of the prize detail record.

The expiry date of a prize detail record cannot be set to a date that is less than the start date of the prize detail record.
