About The Information In
This Screen
The screen is divided into two blocks:
- Fee Assessment - shows the context fee assessment for which transactions
are displayed in the Fee Statement block.
This screen can only be entered in context
from either the Student Course Fee Inquiry
screen or the Student Fee Calendar
Inquiry screen. Queries cannot be performed in this block.
To retrieve fee transaction details for other student fee assessments,
return to the previous screen (by clicking on the Exit button
) and select another fee assessment record or
perform a new query there.
Information lamps
are displayed at the top of the screen where applicable. These
lamps and their meaning are:
- ENCUMBERED
- displays when the student currently has an encumbrance of any
type. Administrative encumbrances can be checked in the Maintain
Basic Person Encumbrance Detail form (ENRF6310).
Academic encumbrances can be checked via the Maintain Student
Progression Rule form (PRGF6600). A zoom
can be created to these forms - access depends on Callista security
roles.
- DECEASED -
displays where the student has been recorded as deceased.
- Fee Transaction
Detail - displays details of all fee
transactions for the context fee assessment. A summary of fee
transactions for a fee assessment can be viewed in the Student
Course Fee Statement screen.
Where To From Here?
- Return to the previous screen - by
clicking on the Exit button .
- End your inquiry session - by selecting Exit
Forms from the Action menu.
- Return to the menu - by clicking on the Exit
button, as many times as required, to scroll back through
previously viewed screens.
Detail in this Form
- Person ID - the identification number of a person recorded
in Callista. A person may or may not be a student.
- Fin Period - the financial period in which the fee assessment
occurred (includes the following start and end date fields).
- Calendar - the fee period in which fees were assessed. FEE-SEM2
01/07/2000 31/12/2000 indicates that fees were assessed in the
semester 2 fee period of 2000.
- Fee Type - the type of fee assessed.
- System Fee Type - the system fee type of the selected fee assessment.
System fee types HECS and TUITION are used by the system to distinguish
the fees that must be reported to the Australian Government in
DEST returns. A system fee type of OTHER is used for non-reportable
fees.
- Fee Trigger
Category - the system fee trigger
category for the selected fee assessment. The student will have
been assessed for the particular fee when the fee assessment
routine matched their course and/or unit set and/or unit(s) to
a trigger defined for the fee. Valid values for the system fee
trigger category are COURSE, INSTITUTN, UNIT, COMPOSITE and UNITSET.
- Course Code - the course code for the course attempt which is
the subject of the fee assessment. This field is blank where
the fee trigger category is INSTITUTN
- Fee Category (course attempt) - the fee category for the course
attempt. The fee category is assigned to the course attempt at
admission or enrolment.
- Include Deleted
Items (checkbox) - selecting this
checkbox and performing a query in this block will cause all
records which match the query criteria, including those which
have been logically deleted, to be displayed. Logically deleted
records are generally those which have been reversed. They are
identifiable by the presence of a value in the Deletion Date
field when the record is selected.
- Transaction
Date - the date the transaction was
recorded.
- Transaction
Type - the System
defined type of the transaction. Values and their meanings are:
- ASSESSMENT - an automatically
generated transaction recording a fee assessment
- MANUAL ASS - a manual transaction
recording a fee assessment
- TAX DEBT - the amount of
tax incurred on an ASSESSMENT, MANUAL ASS or MANUAL ADJ transaction.
- PAYMENT - a transaction recording
a fee payment
- TAX PYMNT - the amount of
the tax component of a PAYMENT transaction
- DISCOUNT - a transaction
recording the application of a discount
- TAX DSCNT - the amount of
tax applicable to the applied discount
- MANUAL ADJ - a transaction
recording a manually entered adjustment
- RETENTION - a fee transaction
resulting from a retained amount following a reduction in a liability
- WRITEOFF - a fee transaction
recording a debt that will not be pursued
- TAX WRTOFF - the amount by
which tax is reduced as a result of the writeoff of debt
- DEFERRED - a transaction
recording the amount to be reported to government as deferred
HECS
- Transaction
Amount the amount, in the displayed
currency, which relates to the transaction.
- Exchange Rate
- the exchange rate applicable at
the time of the transaction. The local currency has an exchange
rate of 1. Exchange rates are manually recorded in Callista,
the frequency of their recording being determined by the institution.
- Effective Date - the effective date of the transaction. This is
usually the date the transaction occurred, however assessment
transactions may be backdated.
- Notification
Date - the date the student was sent
official notification of the assessment via a statement of account.
Only ASSESSMENT transactions have a date recorded here.
- Charge Rate
- the rate at which the assessment
was calculated. Only ASSESSMENT transactions have a value recorded
here. A charge rate is not displayed for a differential HECS
assessment. The transaction amount is calculated by multiplying
the charge rate by the charge elements.
- Charge Elements - the number of charge elements used in the calculation
of the assessment. Only ASSESSMENT transactions have a value
recorded here. A charge element value is not displayed for a
differential HECS assessment. The transaction amount is calculated
by multiplying the charge rate by the charge elements. For example,
where a fee is calculated on a PERUNIT basis, a value of 2.000
here means that the charge rate per unit must be multiplied by
2 to calculate the assessed amount.
- Sponsor Code
- displays only for PAYMENT transaction
types, if payment was made by sponsor and for DISCOUNT transaction
types where sponsorship is 100%
- Deletion Date
- applies only to displayed records
which are logically deleted and indicates the date of deletion.
These records are only displayed where a query is performed in
this block after the Include Deleted Items checkbox has been
selected.
- Charge Method - the method for determining the number of charge
elements for use in a fee calculation. The options are FLATRATE,
EFTSU, PERUNIT, CRPOINT.
- Comments - displays comments recorded at the time of the transaction.
