This form is used to create and maintain unit set details. The form does not attach units to unit sets. Unit Set Rules are established in the Maintain Unit Set Rules form (CRSF4230).

Unit sets are used to define a student's nominated path of study and to assist in the assessment of progression and completion of the student's course attempt. A unit set can be defined as academic or administrative. Academic unit sets do not have the Administrative indicator selected. Academic unit sets are those that further define a student's path of study, for example: Majors and Minors. Administrative unit sets are used to define progression components of a course, or to restrict the set of academic unit sets that a student can pursue.

Unit sets can be created, and existing unit sets queried and updated in this form.

To create a unit set:

  • Enter a unique unit set code and title.
  • Select a unit set category and status from the LOV's. These are maintained by the Maintain Unit Set Category form (CRSF4120) and the Maintain Unit Set Status form (CRSF4130).
  • Record a short title and abbreviation.
  • The above mentioned fields are mandatory.
  • Optionally map the unit set to an academic organisational unit. It is recommended that all unit sets should be mapped to an academic organisational unit.
  • Optionally select the Administrative indicator and/or the Authorisation Required indicator.
    • The Administrative indicator is used for unit sets that direct a student's path of study but may not constitute the Major studied. For example: core unit sets or streams. An administrative unit set cannot be selected as a Primary Set within the Maintain Student Unit Set Attempt form (ENRF3252).
    • The Authorisation Required indicator requires students selecting the unit set to be approved.

There are four date fields for a unit set. The start date is inserted by the System when creating the unit set. The other three are:

  • Review Date, can be used as an indication of when a unit set should be reviewed and updated.
  • Expiry Date, used to prevent any further selections of a unit set while keeping the unit set active for current student. Unit sets that have an expiry date set display a lamp when highlighted on all relevant screens.
  • End Date, when set prevents any further use or alterations of the unit set.

Unit sets can be restricted to selected course types in the Unit Set Course Type Restriction block. For example: Bachelor's Pass, Master's by Research. Selecting a course type from the LOV restricts the unit set to the selected course type(s). If no course types have been selected, the unit set is available for ALL course types.

Unit sets can be rolled over to create new versions. To roll over a unit set it must first be expired. Create a new record and select Duplicate Record Above from the Edit menu.

There are four navigation buttons available. The Unit Set Fields of Study button navigates to the Maintain Unit Set Fields of Study form (CRSF4240). Units Set Fields of Study are recorded for DEST reporting purposes. The Unit Set Notes button navigates to the Maintain Unit Set Notes form (CRSF4210). The Apply to Course Offering button navigates to the Apply Unit Set to Course Offering form (CRSF4201). The Unit Set Rules button navigates to the Define Unit Set Rules form (CRSF4230), where units are applied to the unit set.

Rules:

  • Once used in the System, unit sets should not be deleted. Record an expiry date to prevent further enrolments.
  • Only one version of a unit set can have an unspecified expiry date.
  • When setting an end date, the unit set status must be changed to INACTIVE in the same transaction. Similarly, when setting a unit set status to INACTIVE, an end date must also be recorded in the same transaction.
  • The end date/unit set status INACTIVE combination cannot be set where there are active students within an offering of the unit set.
  • The details of a unit set version cannot be altered once the unit set status is INACTIVE. To make changes, reset the unit set status to ACTIVE, delete the end date and save before performing changes.
  • The unit set category can only be altered where the unit set status is PLANNED.
  • A unit set status cannot be reset to PLANNED once it has been changed to ACTIVE or INACTIVE.
