FIELD NAME

DESCRIPTION

Achievable Credit Points

 

the number of credit points awarded upon successful completion of the unit. If blank, this number is assumed to be the same as enrolled credit points. If zero, no credit points are awarded. The value may be overridden for an individual student if the Override Credit Points indicator is set.

Administrative indicator

 

specifies whether the unit set is administrative or academic in nature. Setting the checkbox (ticked) classifies the unit set as administrative. Administrative unit sets typically no not appear on official documents such as transcripts or other statements of results.

Allow Intermission

 

indicates whether intermission is allowed for the course version.

Alternate Code - Course Offering

 

a code by which the course offering may be easily identified in order to simplify data entry.

Alternative Exit

 

students satisfying the course completion requirements of another course version recorded in the System may be able to exit their enrolled course with the award for the alternative exit course version.

Annual Load Value

 

the standard load, in credit points, used to calculate EFTSU for the nominated year of the course, e.g., the standard annual load for Year 1 of the course may be 96. Used only where the annual load is not constant over all years of the course.

ARTS CourseType   is for reporting to the ARTS file for VET course types.

Assessable

 

indicates whether the unit is subject to assessment.

Attendance Mode

 

describes the mode of attendance by which a student undertakes a course. Each attendance mode must be mapped to a government attendance mode (DEST element 329). Examples of attendance mode are 'on campus', 'off campus'.

Attendance Type

 

describes whether or not a student is classified as being full-time or part-time, based on their study load in the reference year. Each attendance type must be mapped to a government attendance type (DEST element 330).

Authorised By

 

is the person who authorises the unit set, for inclusion in the student's record (if authorisation was required for selection of the unit set) or authorised the removal of the unit set from the student's record (if the unit set was specified as part of an admissions offer).

Authorisation Required indicator

 

specifies whether authorisation is required before a student can select a unit set as part of their course. Setting the checkbox (ticked) enforces authorisation. Example: approval to select an advanced Major may be required from the faculty on a student by student basis.

Award Code

 

a unique identifier for an award offered by the institution. Examples of awards are Bachelor of Arts, Graduate Diploma of Education.

Award Course

 

a course for which successful completion leads to an award.

Award Course Only

 

an indicator which specifies whether the unit is available only to award course students. Selecting the checkbox restricts enrolment to award course students.

Award Title

 

the name of an award offered by the institution. Examples are Bachelor of Arts, Graduate Diploma of Education.

Calendar Type

 

a calendar type is the institution defined name of a type of calendar used within the organisation. In this subsystem, the academic calendar type in which the course is offered.

Confirmed Offering

 

an indicator which specifies whether the offering detail has been checked and confirmed subsequent to being rolled over from a previous version of the calendar. The confirmed checkbox can be selected by default or left for manual checking.

Contact Hours

 

the minimum number of contact hours required of the student for completion of the course.

Count in Progression

 

an indicator which specifies whether the advanced standing details are to count towards the student's completion/progression requirements for the course. Selecting the checkbox allows the details to be counted.

Course Annual Load

 

the number of credit points which constitute a full time load for each year of a course version.

Course Annual Load Unit Link

 

the linking of unit versions to course annual loads for the purpose of calculating EFTSU. In particular, a unit version may be linked to the load for a particular year of a course.

Course Categorisation

 

provides a means of grouping a diverse set of courses which cannot easily be selected via common attributes, enabling inquiry, reporting and manipulation of courses by category.

Course Category

 

a institution defined name identifying a particular classification of courses. For example, courses of the institution which include the study of Chinese language could be grouped for the purpose of managing students' academic progression in an institution defined course category 'CL - Chinese language'.

Course Code

 

the unique identifier for a course.

Course Group

 

used to link courses with institution defined common properties. They may be used for purposes such as student progression and permitted double degree combinations.

Course Group Code

 

the unique identifier for a group of courses. Course groups are used to link courses with institution defined common properties. They may be used for purposes such as student progression and permitted double degree combinations.

Course Group Member

 

a course version which is a member of a course group.

Course Group Membership

 

belonging to a course group.

Course Group Type

 

assigned to course groups to give them further definition. Some examples are: 'course equivalent', 'available double course', 'common entrance requirements'. Each course group must be mapped to a system course group type.

Course Note Type

 

defines the purpose of a course note. For example, institutions may define HANDBOOK note types as items for publication in the institution's official handbook.

Course Offering

 

is the association of a course version with a calendar type. An association with a different calendar type constitutes a new course offering.

Course Offering Instance

 

a specific occasion on which a course is offered, defined by specifying the particular calendar instance in which the course version is being offered.

Course Status

 

specifies the state of activity (or availability for use) of a course version.

Course Type

 

institution defined, course type indicates the type of higher education course. Examples are: 'higher doctorate', 'diploma', 'non award course'.

Course Type Group

 

aggregation of course types used for internal estimations of census date enrolment statistics. Examples are: 'higher degree by research', 'other postgraduate'.

Course Type Group Code

 

unique code for an institution defined grouping of course types.

Credit Point Descriptor

 

the institution defined name for credit points.

Credit Points Req

 

the minimum number of credit points required to complete course requirements.

Crs Total EFTSU

 

the total EFTSU for the course.

DEST

 

Federal Department of Education, Training and Youth Affairs. (Previously DEETYA).

Default - Funding Source

 

describes whether a funding source is the default for students being enrolled in the course. Only one funding source can be the default for a course.

Description

 

the description or name represented by the code with which it is associated.

Discipline Group

 

describes the field of academic learning or endeavour into which a unit of study can be classified.

EFTSU

 

Equivalent Full Time Student Unit, represents the student load for a unit or part of a unit expressed as a proportion of the workload for a standard annual program for students undertaking a full year of study in a particular year of a particular course.

End Date - Course Offering Instance

 

the date on which a course offering instance ceases to be effective

End Date - Course Version

 

the date on which a course version is completely ended. All students will have completed or been transferred to other versions. No more students may be enrolled in the version.

End Date - Unit Version

 

the date on which a version of a unit closed. No students can be enrolled in a closed unit version.

End Date - Unit Sets

 

the date on which the unit set version is finally closed. All student unit sets must be completed or ended before an end date can be entered.

End Time - Unit Class

 

the time a unit class finishes.

Enrollable

 

specifies whether the course offering pattern is available for student enrolment. Selecting the checkbox makes the course offering pattern available.

Enrolled Credit Points

 

the number of credit points in which the student is considered to be enrolled.

Enrolment Quota

 

restricts the number of students that may be enrolled in a particular unit offering.

Entry Point

 

indicates whether the offering option is available as an entry point through admissions.

Exit Course Code

 

the course code of the course which is an approved alternative exit. Students satisfying the course completion requirements of another course version recorded in the System may be able to exit their enrolled course with the award for the alternative exit course version.

Exit Version Set

 

the valid version numbers of the alternative exit course. This information will be used by the Progression subsystem.

Expiry Date - Course Version

 

the date on which the course version expires. Students already enrolled may remain in an expired course version. New students are not normally enrolled in an expired course version unless they are also granted an amount of advanced standing which would enable them to complete course requirements before the version is due to end.

Expiry Date - Unit Version

 

the date on which the unit version expires. Students already studying this unit version may remain enrolled. No further enrolments are normally allowable.

Expiry Date - Unit Sets

 

the date on which the unit set version expires. This date would be entered as part of the process of expiring one version and creating a new one. Students may still exist in expired unit set versions until the time when the version is finally ended. No new students can select an expired unit set.

External Limit - Advanced Standing

 

the maximum amount of advanced standing which can be granted in the course for studies undertaken outside the institution.

Field of Study

 

a classification of courses based on similarity in terms of the vocational field of specialisation or the principal subject matter of the course.

Forced Att Mode

 

specifies whether the student course attempt attendance mode is forced or restricted. Selecting the checkbox causes the System to highlight the student course attempt attendance mode should the derived attendance mode conflict with the forced attendance mode.

Forced Att Type

 

specifies whether the student course attempt attendance type is forced or restricted. Selecting the checkbox causes the System to highlight the student course attempt attendance type should the derived attendance type conflict with the forced attendance type.

Forced Location

 

specifies whether the student course attempt location (or campus) is forced or restricted. Selecting the checkbox causes the System to highlight the student course attempt location should the derived location conflict with the forced location

Funding Index

 

Some institutions allocate financial resources to their teaching organisational units according to a formula which takes account of the resources required to teach certain units. (WEFTSU = EFTSU * discipline.funding_index * unit_course_level factor) The funding index is a factor reflecting this proportional allocation of resources and is institution defined. Current permissible range is 0.0 to 1.7.

Funding Source

 

an institution defined source of funds.

Guaranteed - Entry Assessment Score

 

an entry assessment score which, if achieved, guarantees an applicant a firm offer of admission to the course offering.

Generic Course

 

attribute of a course which indicates that students in the course can transfer to any of the courses in the related group at any point during their enrolment. Unlike non-generic courses in the group, a generic course cannot be a transfer destination.

Government Attendance Mode

 

(DEST element 329). identifies the mode of attendance by which a student undertakes a course. Examples are 1 - Internal Mode of Attendance, 2 - External Mode of Attendance.

Government Attendance Type

 

(DEST element 330). identifies whether a student is classified as part-time or full-time in the course, based on their study load in the reference year.

Government Course Load

 

(DEST element 350). the aggregate EFTSU value for a course, expressed in tenths, (e.g. 3.0 is represented as 30).

Government Course Type

 

(DEST element 310). describes types of higher education courses. Each institution defined course type is mapped to a government course type. Examples are: 01 = Higher Doctorate, 11 = Graduate Certificate, 21 = Associate Diploma.

Government Discipline Group

 

(DEST element 336). describes the government defined field of academic learning or endeavour into which a unit of study can be classified.

Government Field of Study

 

(DEST element 311). a classification of courses based on similarity in terms of the vocational field of specialisation or the principal subject matter of the course.

Government Funding Source

 

the unique identifier for the government funding source. Not in current use.

Government Special Course Type

 

(DEST element 312). identifies courses of special interest to DEST. Examples are: 1 = Not a Course of Special Interest, 11 = Basic Nurse Education Course.

Grad Students

 

describes whether or not students may graduate after completing this course. Selecting the checkbox enables students to graduate upon completion of course requirements. The indicator is not set for non-award courses.

Include Deleted Relationships

 

causes deleted relationships to be displayed when a query is executed.

Industrial

 

the EFTSU value for a unit of study or part of a unit of study is generated by a work experience in industry component (DEST element 337). Reported in the Student Load File.

Internal Limit - Advanced Standing

 

the maximum amount of advanced standing which can be granted in a course for studies undertaken at the institution.

IVRS Avail

 

specifies whether the unit offering option is available for enrolment via the Interactive Voice Response System (IVRS). Selecting the indicator enables students using the IVR System to enrol in the unit offering option.

Location - Maximum Cross Credit Points

Location Code

 

the code of a physical location owned or used by an institution. Each location has a location type, such as CAMPUS, which defines its use in the System.

Lower Load Limit

 

the lower end of the enrolment load range (in credit points) which defines the attendance type. The range specified by the lower and upper load values is used by the System to derive the student course attendance type in an academic period. For example, a lower range value of 0.001 CP and an upper range value of 5.999 CP might be used to define the attendance type PART-TIME in a standard academic year.

Major Field - of study

 

describes which of the nominated fields of study is the major one under which the course should be reported to DEST.

Max Intermission (months)

 

the total intermission duration (in months) allowed to a student over the period of a course.

Maximum Cross Credit Points

 

the maximum number of credit points in which a student may enrol, in an academic calendar, outside of their enrolled course location or mode. For example, a part-time student may not be able to enrol in more than two credit points at another campus in an academic year.

Minimum - Entry Assessment Score

 

the minimum entry assessment score, required by an applicant, to be considered for an offer of admission to a course offering pattern. A course offering pattern assessment score takes precedence over a minimum entry assessment score established at the course offering instance level.

Min Submission Perc

 

the percentage of total effective full-time days which must pass before a research thesis can be submitted. This value is used in the calculation of submission dates for a research candidature.

Note Format Type

 

a system defined note format, including OLE and text type notes.

Note Type

Number Units Before Intermission

 

the number of units a student must complete before being allowed intermission.

Offered

 

specifies whether the unit offering option is available for offering.

Only as Subordinate indicator

 

specifies whether the unit set can only be selected as a subordinate unit set within the related course offering. If checked, the unit set must always be selected within an already selected or completed parent unit set. Example: a particular Minor may always need to be selected within a particular previously selected Major.

Org Start Date

 

the date from which the organisational unit is effective. The organisational unit is uniquely identified by the combination of its code and start date.

Org Unit - Ownership of Unit Version

 

the code of the organisational unit that owns (is responsible for) the unit.

Org Unit Code

 

the code for the organisational unit. An organisational unit is uniquely identified by the combination of its code and start date. An organisational unit is a business unit of an institution or organisation. Common organisational units in tertiary institutions are faculties, schools, departments and divisions.

Override Credit Point Increment

 

describes the allowable increments by which override credit points may be specified. This applies to override credit points in the student unit attempt.

Override Credit Point Maximum

 

the maximum credit points allowed for any unit attempt. This applies to override credit points in the student unit attempt.

Override Credit Point Minimum

 

the minimum credit points allowed for any unit attempt. This applies to override credit points in the student unit attempt.

Override Credit Points

 

specifies whether enrolled and/or achievable credit points may be overridden at the student unit attempt level.

Override Title - unit sets

 

allows the user to override the unit set title within the context course version.

Override Title

 

specifies whether the title of the unit can be overridden at the student unit attempt level.

Parent Unit Set

 

indicates that the unit set in context is a subordinate to another unit set. The parent unit set may be a major that is superior to the unit set in context. The parent unit set must be included as part of the student unit set attempt. It may have an open end date, being completed at the same time as the child unit set or it may already have been completed.

Practical

 

specifies whether the unit is classified as a practical experience unit, as described in the Higher Education Student Data Collection Glossary DEST 1997.

Pre-enrol Units

 

specifies whether student unit attempts for the course offering pattern should be pre-enrolled as part of the 'pre-enrolment' function. Selecting the checkbox will cause any units specified for the course offering pattern to be pre-enrolled.

Primary Set indicator

 

when checked, indicates that the unit set is the primary set. Primary unit sets display on official notification. A unit set cannot be set as a primary set if it is of a lower rank than another unit set that exists in the student unit set attempt. Administrative unit sets cannot be set as a primary set.

Qualification Recency - Advanced Standing

 

the time period (in years) for which other studies will be recognised for the purpose of granting advanced standing in a course.

Rank - Unit Sets

 

describes the relative rank of the unit set category in relation to other categories. For example: a Major may have a higher rank than a Minor.

Reference Code

 

an 'other system' reference code for a unit. For example, an IVRS code used to represent a unit.

Reference Code Type

 

the type, or classification, of an 'other system' unit reference code.

Repeatable

 

specifies whether the unit may count more than once towards the satisfaction of course requirements. Selecting the checkbox enables a student to repeat an already passed unit. See also The Repeatable Indicator.

Research

 

specifies whether the unit is classified as a research unit.

Reserved Enrolment

 

a subset of the enrolment quota which is presently reserved.

Responsible OU

 

the organisational unit responsible for a course version or unit set.

Restrict - Funding Source

 

indicates whether students enrolling in the course are restricted to funding sources appearing in this set.

Review Date - Course Version

 

the date on which the course version is due for review. No automatic closure/rollover is implied by this date.

Review Date - Unit Version

 

the date on which this version of the unit is due for review.

Review Date - Unit Sets

 

the date on which the unit set version is to be reviewed. No automated action will result from this date, rather it is expected to trigger notification of the need for review.

Show on Official Notification indicator

 

specifies whether the unit set should appear on official notifications to the student, such as academic transcripts and testamurs. The indicator defaults to checked (ticked) for unit sets which are academic in nature. The indicator defaults to unchecked for administrative unit sets.

Start Date - Course Offering Instance

 

the date from which the course offering instance becomes effective.

Start Date - Course Version

 

the date from which the course version becomes effective.

Start Date - Unit Version

 

the date from which the unit version becomes effective.

Start Date - Unit Sets

 

the date on which the unit set version is created.

Start Time - Unit Class

 

the time the unit class commences.

Std Annual Load

 

describes the load in credit points which a full-time student would normally study in a year if enrolled in the course. This is used to calculate the relative weighting of the units (EFTSU).

Std FT Compltn Time

 

a DEST code which indicates the standard time to complete the requirements of the course on a full-time basis (e.g. 30 = 3 years).

Std PT Compltn Time

 

a DEST code which indicates the standard time to complete the requirements of the course on a part-time basis (e.g. 60 = 6 years).

Subordinate Unit

 

a sub-unit in a superior / sub-unit relationship.

Subordinate Unit Version

 

a sub-unit in a superior / sub-unit relationship.

Superior Unit

 

a superior unit in a superior / sub-unit relationship.

Superior Unit Version

 

a superior unit in a superior / sub-unit relationship.

Supp Exam

 

supplementary assessment granted to a student in addition to normal assessment for a unit.

Supp Exams Permitted

 

specifies whether or not supplementary examinations or other assessment can be undertaken by students enrolled in this course. Selecting the checkbox allows supplementary assessment to be granted.

System Course Group Type

 

the system defined type of a course group. Each course group must be assigned a course group type. Examples could include: 'equivalents', 'available double course', 'common entrance requirements'.

System Course Status

 

indicates the level of course activity of the course version. A course is established with a status of PLANNED. For students to be enrolled in the course it must be ACTIVE.

System Reference Code Type

 

the name of a reference code type, which defines the use of a course entry point reference code. For example, TAC CODE (Tertiary Admissions Centre).

System Unit Mode

 

a system defined mode of offering of a unit. The options available are ON (on campus) OFF (off campus) and COMPOSITE (a mixture of on campus and off campus delivery).

System Unit Status

 

a system defined unit status. Each institution defined unit status is mapped to a system status. System values are PLANNED, ACTIVE, and INACTIVE.

TAC Course Level

 

the course level for the course type, as recognised by the Tertiary Admissions Centre.

Teaching Responsibility

 

the percentage allocation of teaching responsibility to an organisational unit for a unit of study.

Time Limitation

 

the time limit in years for completion of the course offering option. Students who exceed this limit may be asked to show cause why they should not be excluded from further enrolment in the course.

Unit Categorisation

 

the grouping of units which have a common characteristic, e.g. all units which cover basic computing competencies.

Unit Category

 

used to group units which have a common characteristic, e.g. all units which cover basic computing competencies.

Unit Class

 

a class in which a unit is taught.

Unit Code

 

the unique identifier of a unit.

Unit Grading Schema Precedence

 

specifies whether any grading schema attached to the unit offering option takes precedence over the grading schema attached to the enrolled student's course offering.

Unit Internal Course Level

 

the internal course level grouping of a unit for WEFTSU purposes. WEFTSU = EFTSU * discipline.funding_index * unit_course_level factor

Unit Level

 

the normal year level of a unit. Examples: 1 - a first year unit within a course, 2 - a second year unit within a course.

Unit Mode

 

a means by which units may be studied. Each institution defined mode must map to one of the set of system defined modes of offering. The options available are ON (on-campus) OFF (off-campus) and COMPOSITE (a mixture of on-campus and off campus delivery.

Unit Offering

 

the availability of a unit version for offer to students. Specified by nominating the Teaching calendar in which the unit is to be offered.

Unit Offering Pattern

 

the availability of a unit version in terms of attendance mode and type.

Unit Set Code

 

is the identifying code of the unit set. Unit sets comprise lists of units or rules which constitute a logical sets of units. Unit sets are used to represent concepts such as MAJOR, MINOR, STRAND, STREAM.

Unit Set Category

 

is the code of a category of unit set. Unit set categories are institution defined and may include MAJOR, MINOR, STRAND, STREAM.

Unit Set Status

 

is the institution defined unit set status. The unit set status is attributed to each version to define its currency in the System. Unit set status maps to a system unit set status with its associated functionality.

Unit Set Version Number

 

is used to uniquely identify each version of a unit set. There can only be one version of a unit set within a system with a status of ACTIVE and an unset EXPIRY date.

Unit Status

 

indicates the level of activity of a unit. For example CURRENT, SUSPENDED.

Upper Load Limit

 

the upper end of the enrolment load range (in credit points) which defines the attendance type. The range specified by the lower and upper load values is used by the System to derive the student course attendance type in an academic period. For example, a lower range value of 0.001 CP and an upper range value of 5.999 CP might be used to define the attendance type PART-TIME in a standard academic year.

Voluntary End indicator

 

describes whether the ending from the unit set attempt was voluntary. If not, the student was removed due to a progression breach or other administrative reason.

WAM Weighting

 

the weighting of a course unit level for the purposes of a weighted average mark calculation.

WEFTSU Factor

 

the factor associated with the internal course level grouping used in the determination of WEFTSU.

Year - Course Annual Load

 

the year to which the annual load figure applies. For example, 1,2,3,4.
