- SCA Graduation and Completion Details Inquiry
This screen displays the following details for a Person:
- If the form is accessed from the Main Menu - courses/Student Course Attempts for the Person.
- If the form is accessed via the Person Inquiry form (INQF1A00) - details of a selected SCA.
- Graduation
details for a SCA.
- Alternate Exit details for a SCA.
This form is accessed from the Main Menu, or from the Person Inquiry screen (INQF1A00) via the Award Details button for a selected Student Course Attempt (SCA).

The form is divided into
the following blocks:
- Person
-
Displays information about a
Person.
- Student Course Attempt
- Displays a list of the student's
courses/SCAs (if the form was accessed via the Main Menu), or details of a selected SCA only (if entered via INQF1A00).
- Graduand - Displays Graduation
and Award details for a selected SCA.
- Student Course Approved
Alternate Exit - Displays Alternate Exit details for a selected SCA. Access to Maintain Course Awards form (CRSF1250) is provided via the Award icon.
Person Block
If the form is accessed from the Main Menu, queries can be performed in this block
to retrieve a particular Person record. Displays information about the
Person selected by the query. If more than one Person was selected by the query,
the Person Query Summary screen is displayed, where
one of the records can be selected. Alternatively, click on the Find Person
icon to display
the Find Person screen where more complex
queries can be used to locate a person.
If the form is accessed via the Person Inquiry screen (INQF1A00), details of the Person inquired on in that form are displayed.
Field Details:
- Person
ID - The identification number of a Person recorded in Callista. A Person
may or may not be a student. If the Person ID is known, this is the quickest and
most reliable search criterion. Once
the Person ID is found the Person's name is also displayed.
- Find Person Button - Displays
the Find Person screen that is used to specify detailed query criteria to assist
in locating the record of a Person.
- Date of Birth - Displays the selected person's Date of Birth.
- Gender - Displays the gender of the selected Person.
- Email Address - The 'internal to the institution' email address of the person. Note when using this field for query criteria, it is case sensitive.
Student Course Attempt Block
If accessed via the Main Menu, this block displays a list of all the student's courses/SCAs. If entered via INQF1A00, this block displays details of the selected SCA only.
Access to Maintain Course Awards form (CRSF1250) is provided via the Award icon.
- Course and Short Title - The Course Code and Version of a Course Attempt recorded for a student, for example, the course 'M300.2' is version 2 of course M300.
- Calendar Type - Displays the Calendar Type of the Academic Period in which the Course Attempt was applicable. This is relevant to institutions that operate more than one Academic Calendar. For example, Institutions with a campus in another country may have an Academic Calendar specifically for that campus.
- Location Code - The location (usually a campus) of the Course Offer made to the student. Units may have been undertaken at locations other than the course's location.
- Qual. Issued (check-box) - Indicates that a qualification has been issued for the completed VET SCA (as recorded in PRGF4170).
- Attendance Mode - The Attendance Mode of the Course Offer made to the student. Typical modes are On-Campus, Off-Campus and multi-modal (a combination of On and Off-Campus).
(Note: the student's derived Attendance Mode, based on their current enrolment, may differ from the value reported here. To see the Student's Derived Attendance Mode, click on the Course Details button for the selected course.)
- Attendance Mode and Type - The Attendance Type of the Course Offer made to the student. Typical Attendance Types are full-time and part-time. This is not the student's Derived Attendance Type.
- Course Attempt Status - Indicates the current status of a Student's Course Attempt. Possible values are:
- UNCONFIRM - Course to which the student has been admitted (pre-enrolled or offered a place), but has not yet confirmed their intention to accept the place and enrol.
- INACTIVE - where the student has accepted the offer and confirmed their intention to enrol, but has no enrolled units.
- ENROLLED - Course in which the student has ENROLLED units.
- INTERMIT - Course from which the student is currently intermitted (has leave of absence). Once the intermission has expired, the status reverts to INACTIVE or ENROLLED.
- LAPSED - Continuing (returning) student has failed to confirm their Unit Enrolment within the designated time frame.
- DISCONTIN - Course from which the student has been withdrawn.
- COMPLETE - Course in which the student has satisfied the completion requirements.
- Requirements Completed Date - The date on which Course Requirements were deemed to have been completed.
- Completed Source Type - Describes whether completion of Course Requirements was detected by the system following evaluation of rules, or set manually.
- Alternate Exit Button - Displays the Student Course Approved Alternate Exit block.
- Graduand Button - Displays the Graduand block.
- Award icon - Navigates to the Maintain Course Awards form (CRSF1250) for a selected SCA.
Student Course Approved Alternate Exit Block
Displays Graduation and Award details for a selected SCA.
- Exit Course Version and Title - These are the details of the course the student chose as an Alternate Exit from their original course.
- Requirements Completed Date - The Date on which the exit Course Requirements were complete.
- Completed Source Type - The source of the completion flag. It can be either System applied or manually applied.
- Qual. Issued (check-box) - Indicates that a qualification has been issued for the Alternative Exit (as recorded in PRGF4170).
Graduand Block
Displays Alternate Exit details for a selected SCA. Access to Maintain Course Awards form (CRSF1250) is provided via the Award icon.
- Creation Date - The date and time the Graduand record was created. This value, together with the Person ID, uniquely identifies a Graduand.
- Graduand Status - The current progress status of the Graduand. Examples are POTENTIAL (Course Requirements are not yet completed), ELIGIBLE (Course Requirements completed) and GRADUATED (award conferred).
- Approval Status - The status of the Graduand's approval to graduate. Approval is institution defined. For example, it may be defined as University Council approval of Graduands to graduate, or Academic Organisational Unit confirmation of eligible / potentially eligible Graduands to graduate.
- Calendar Type - The Graduation Calendar Type of the Ceremony Round with which the Graduand is associated. The Ceremony Round may be modified if Graduation is deferred.
- Start Date / End Date - The Start Date /End Date of the Graduand Calendar Instance.
- Graduand Type - The Type assigned to the Graduand, which defines their Graduation 'intentions'. The available set of Graduand Types are:
- ATTENDING - Will attend Graduation Ceremony to receive award.
- INABSENTIA - Wishes to receive Award, but will not attend Ceremony.
- ARTICULATE - Award declined in favour of pursuing studies for a higher award.
- DEFERRED - Wishes to receive Award, but at an undefined Ceremony in a later round.
- UNKNOWN - Intentions not yet advised.
- DECLINED - Award declined for other reasons.
The default Type for automatically created Graduand records is UNKNOWN.
- Conferral Date - The date the Award is conferred. An award may be conferred when Council approves a Graduand for Graduation, or when the Graduation Ceremony is held.
- Award Course Version - The Course Code associated with the Graduand's Award.
This code is typically the same as the Graduand Course Code, but is different if the Award is associated with an Alternative Exit. For example, the Graduand's Course Attempt Code is EA477 (Graduate Diploma of Computing). The Graduand elects not to complete the course and has completed requirements for the Alternative Exit course EA377 (Graduate Certificate of Computing). In this case, the Graduand Course Code is EA477 and the Award Course Code is EA377. An Award Course Code is not required for Honorary Awards.
- Award Code - The code for the award the Graduand is receiving.
- Honours Level - The Honours Level granted to the Graduand.
The Honours Level list of values may contain other levels of achievement in addition to the standard Honours Levels. For example, PASS WITH DISTINCTION and PASS WITH MERIT.
- Surrendered for Course - The code of the course for which the Graduand is surrendering a a received Award, or for which an articulating Graduand is declining an eligible Award. This detail must be provided when the Graduand Status is set to SURRENDER or the Graduand Type is set to ARTICULATE.
- Surrendered for Award - The Award for which the Graduand is surrendering a received Award, or or for which an articulating Graduand is declining an eligible Award. This detail must be provided when the Graduand Status is set to SURRENDER or the Graduand Type is set to ARTICULATE.
To Enquire on a Student's Graduation Details
1. Access the form via:
- The Main Menu, or
- The Person Inquiry screen (INQF1A00).
2. If the form was accessed via the Person Inquiry screen (INQF1A00), details of the Person inquired on in INQF1A00 are automatically displayed.
Alternatively, if the form was accessed via the Main Menu, perform a query in the Person block
to retrieve a particular Person record. If more than one Person is retrieved by the query,
the Person Query Summary screen is displayed from where
one Person record can be selected. Alternatively, click on the Find Person
icon to display
the Find Person screen where more complex
queries can be used to locate a Person.
3. In the Student Course Attempt block, select the required SCA. The graduation details for the selected SCA are displayed in the Graduand block.
You can click on the Awards icon to access the Course Awards form (CRSF1250) from where you can view the awards for the course. Students who satisfy the completion requirements of the Course Version are eligible for the award(s) listed.
To Exit the Form
Perform one of the following actions to exit the form:
- Use the Alternate Exit button to navigate to Alternate Exit block.
- If not
displayed, use the Graduand button to navigate to the Graduand block.
- Click on the
Exit button on the
toolbar to return to the Callista SMS menu. Several screens may need to be closed to return to the menu.
- Select 'Exit
Forms' from the 'Action' menu to end your Inquiry session.
