ADMF1211 - Find Person

Explanation

This form can be called from forms in many subsystems. It appears as a pop-up window overlaying the form which calls it.

The form itself is enquiry only, but it can be used in the following ways:

  • To display details of a person already identified in the calling form. Only the relevant record or records are presented initially, though the form can be re-queried.
  • To provide a Person ID to insert as a new entry in the calling form.
  • To provide a Person ID to replace the existing one in the calling form, by re-querying and selecting a new record in this form.

Some people may be known within Callista under more than one name. For example, there may be a record of a person's maiden name, their name before a deed poll change, or an anglicised version of their name. In these circumstances, one name is regarded as primary in the system, and the other name(s) are designated 'person aliases', and indicated as such by a lamp, PERSON ALIAS, in the top right corner of the form. Effective Dates indicate whether this is a former name, a current alternative name, or a name anticipated in the future.

The Alternate Person ID gives details of an identification by which the person is recognised in other systems and/or organisations. Typical examples are: the staff number of a person who is both a staff member and a student at the institution; the identification by which a corporate client is recognised by their professional body.

The Oracle username identifies those people who have access to Callista.

For example, in the Tracking subsystem the Find Person form can be used to query details for a subject whose documentation is being monitored. This could, for instance, be a student whose application for intermission is being tracked.

The form shows the user exactly which records are being queried by the form:

The Staff Member check-box will be ticked and disabled and the Student check-box will be unticked and disabled when this form is forced to be queried on Staff Member. That is, when this form called from:

Rules/Notes:

To inquire on a person other than the one identified in the calling form, using the Find Person for:

In Query mode:

  • Enter search criteria in appropriate fields
  • Optionally, select the Soundex Query check box
  • Execute the query
  • Select OK to return to the calling form with selected person record inserted (where applicable). (Using Cancel button returns without inserting record.)

Rules/Notes:

Search criteria can be either a full field value, or part of the value + wild card character %.

For speed, it is recommended that either Person ID, Surname, Given Names or Alternate Person ID are used as search criteria.

Using the Soundex Query facility causes the system to search for names which approximate the sound of the name entered. For example, a Soundex Query on JOHN JONES might return Jean James, Jan Johanes, Joan Johns, Jan Jones.
