ENRF3252 - Maintain Student Unit Set Attempt

Use this form to map Unit Sets to Student Course Attempts.

This form is used to maintain Unit Sets for a Student's Course Attempt.

The form can be accessed in three ways:

  • In context, via the Unit Sets button in the Course Attempt screen of the Record Enrolments form (ENRF3000).
  • In context, via the Unit Set Attempt button on the Complete Student Course Attempt form (PRGF4170).
  • Via a menu.

When entering the form via the menu, queries can be performed on Student Course Attempts.

Unit Sets are assigned to a Student's Course Attempt to further define the student's nominated path of study for their degree. For example, the Major the student intends to undertake.

Rules/Notes:

If the user attempts to edit the student unit set attempt details of an approved graduand (S_PTNL_GRDND_OUTCOME_STS = ‘APPROVED’), then the message below will be displayed:
‘The person has an approved potential graduand record for this course. You are proposing a change to the approved course attempt details.
Do you want to continue?’
The user selects YES if they wish to continue processing the change.

Validations include:

  • This module validates that the student_unit_set_attempt.primary_set_ind cannot be set if there exists a unit set of a higher rank within the Student Unit Set. Unit Sets that have been end dated are also excluded
  • When a Primary Unit Set is reinstated, and a Unit Set of higher rank exists (irrespective of whether the higher ranked Unit Set is Primary or not), then error
  • When a Unit Set is reinstated (doesn't need to be Primary), and a lower ranked Primary Unit Set exists, then an error is generated.
  • When inserting a Unit Set, if a lower ranked Primary Unit Set exists, then an error is generated.
  • Unit Set Rules for all unit sets are validated any time a change is made and the record is saved.
  • The Course Wide Enrolment Restriction and Unit Set Rules are checked in the one transaction. This means the system assumes the changes are applied, rules then being checked and if a rule breach occurs, rolling the changes back. The unit set rules will be checked first and then the course rules will be checked.
  • The student will be able to end one primary unit set and add another within the same transaction without breaching a Course Wide Enrolment Rule (CWER) that requires that a single primary unit set be selected.

This form is used to assign Unit Sets to a Student Course Attempt and to modify existing Unit Set attempts. Queries may also be performed on Unit Sets.

The Unit Set Code can be selected in two ways, either by:

  • Entering a known Unit Set Code; or
  • Selecting a Unit Set Code from the LOV. The LOV is restricted to ACTIVE, non-expired Unit Sets that have been assigned to the Course Offering the student is studying.

The Version Number, Unit Set Category and Rank default to those assigned to the Unit Set Code.

Selecting the Confirmed check box confirms a student's Enrolment in the Unit Set. When selected and the record saved, the Selection Date is inserted by the System as the current Date. This can be forward or back-dated if required.

The Primary Set check box is selected to indicate the main Unit Set for display on documentation. Multiple Primary Sets of the same rank, can be selected.

The Include Ended Unit Sets check box can be selected when querying a Students Unit Set Attempts. It allows ended Unit Sets to be displayed as well as current Unit Sets.

The Title displayed can be either the Unit Set's:

  • Default title set in the Maintain Unit Sets form (CRSF4200); or
  • The Override Title, if defined, in the Maintain Course Offering Unit Sets form (CRSF1280).

Title can be overwritten in this form to create a student specific Unit Set title. Where a title has been overwritten in this form, an Override Title lamp is displayed.

When a student has satisfied the requirements of a Unit Set, the completion details can be inserted. The Completed check box is selected and the Completion Date is inserted upon saving the record. A Completion Source is selected. To determine whether the student has satisfied Unit Set requirements, use the Inquire on Course Completion form (PRGF9030) to check the relevant Unit Set Completion Rule against this Student Unit Set Attempt. Unchecking the Completed check box, deleting the Completion Date and setting the Completion Source to the null option can restore a completed Unit Set to an incomplete status.

The Voluntary Ending check box is selected where the student has chosen not to complete the Unit Set. For example, withdrawal. The End Date is inserted upon saving the record. A Unit Set can be restored by deleting the End Date and deselecting the check box or reselecting from the LOV with an open End Date.

When a Subordinate Unit Set has been selected, the Parent Unit Set must be specified. This can be selected from the Parent Unit Set LOV. The LOV is restricted to only those Unit Sets that have a Superior relationship to the Subordinate Unit Set.

The Authorised By details are recorded in two circumstances. They are:

  • When the Authorisation Required check box has been selected for the Unit Set in the Maintain Unit Sets form (CRSF4200).
  • When the Unit Set is being ended and it was part of an Admission Offer. For example, part of a conditional offer.

Selecting the Unit Set Hierarchy button displays an overlay showing the Superior-Subordinate relationships between selected Unit Sets. Subordinate Unit Sets are indented and listed below their Superior Unit Set. The check box indicates the highlighted Unit Set prior to selecting the Unit Set Hierarchy button.

Selecting the Notes button navigates to ENRF3082, where free-form notes can be made for the Unit Set.

Rules/Notes:

Expired Unit Sets can only be selected where the student has previously been enrolled in the Unit Set within the same Course Offering before the Unit Set was expired.

Where a subordinate Unit Set is selected as part of a Student Course Attempt, the Superior Unit Set must also be selected for the Student Course Attempt.

A Subordinate Unit Set (one with the Only as Subordinate check box set in CRSF1280 and a relationship to a superior Unit Set established in CRSF1281) must have a parent Unit Set specified.

The Primary Set check box cannot be selected where a student Unit Set attempt of a higher rank exists.

Unit Sets cannot be deleted where the Unit Set has been completed or ended.

A Student Unit Set Attempt cannot be selected where the same Unit Set exists with an open End Date.

A Subordinate Unit Set cannot be confirmed where the Parent Unit Set has not been confirmed.

Where a Parent Unit Set is ended, the Subordinate Unit Sets will also be ended.

A Unit Set cannot be deleted where it is the Parent of an existing Subordinate Unit Set.

Selection Date cannot be back dated prior to the commencement of the Course Attempt.

A student can be enrolled in a Unit Set where their Course Attempt Status is ENROLLED or INACTIVE.

A Unit Set can be added to a Student's Course Attempt where the Course Attempt Status is COMPLETED, provided the student has not yet graduated.

When deleting a unit set that is part of an admission offer, then a warning message is displayed.

If a Student Course Attempt is discontinued with a discontinuation reason code for which, in ENRF01G0 the Auto End Date Unit Sets indicator is selected, then all associated Student Unit Set Attempts will be end-dated with the date that the reason code was applied to the SCA.

If a Student Course Attempt is discontinued with a discontinuation reason code for which, in ENRF01G0 the Auto Apply Voluntary Ending indicator is selected, then all associated Student Unit Set Attempts will have their Voluntary Ending indicators set.
