ADMF32T0 - Maintain Electronic Confirmation of Enrolment

To record Electronic Confirmation of Enrolment (E-COE) information of an Overseas Admission Applicant.

This form is used to record and maintain Electronic Confirmation of Enrolment details for a Student Course Attempt or Admission application.

It can be accessed from:

  • The Direct Admissions Course (ADMF3240) form; only when the E-COE button is selected (refer to ADMF2M30).
  • The Record Enrolment form - Student Course Attempt screen; only when the E-COE button is selected (refer to ENRF0192).
  • The Display CoE Summary (ADMF5900) form, via the ECoE button, to manually enter an overseas applicant's eCOE number into Callista.
  • Directly from the main menu.

Rules/Notes:

This function allows for the recording of an electronic confirmation of Enrolment information.

The definitive source of E-COE data is PRISMS.

  • The job ADMJ3210 automatically loads the csv file from PRISMS into Callista. If a doubt exists as to the currency of E-COE data, then the user should get a fresh csv file from PRISMS and upload via ADMJ3210. Alternatively they may wish to query in the PRISMS csv and manually update the record in Callista.
  • E-CoE data for Admissions applicants (for example, international applicants) can also be manually entered into Callista via this form. (Also see ADMF5900).

Creation Method may be UPLOAD (i.e. via ADMJ3210) or MANUAL.

Govt E-COE status values are defined in ADMF0350.

The CRICOS Code field is optional. The CRICOS Code displayed in this field can only be changed if the Creation Method is set to MANUAL.
The CRICOS code is sourced from the E-COE and Student Data Export file extracted from PRISMS.

A warning message is displayed if the user attempts to make a change to the Start Date, End Date, Govt E-CoE Status or CRICOS code of an Enrolment Confirmation record that has a creation method of UPLOAD.
