The Enrolment Steps Application

The enrolment steps application (ENR-STEPS) is used to provide the user with the set steps required for them to complete self-enrolment. The steps pre-enrolled against student course attempts define the enrolment steps displayed to a user.

VET Note:

A student is able to record or update their VET Student Course Attempt Study Reason Identifier via a separate step in the Connect Self-Enrolment process.

Navigation to the Study Reason step/VET Statistics will be enabled by selecting the Study Reason step/VET Statistics link in the main self-enrolment menu (ENR-STEPS) or in the next/previous menu (ENR-NXTPRV).

This function displays the institution-defined Study Reason question text and the Explanation for each selectable Study Reason. If the student’s SCA record already contains a Study Reason Code value then the radio button adjacent to the current value is set to ‘selected’.

Setting Up the Enrolment Steps Application 

Web steps are defined for the WEB enrolment method type of an enrolment category in ENRF0192. They can be defined as a mandatory step or mandatory confirm as desired.

In ENRF0193, web elements can be mapped to steps for a process type and status. Steps with a web element mapped will display in Callista Connect, once the steps are pre-enrolled against the student course attempts. Pre-enrolment of the enrolment steps is performed as part of the Batch Pre-enrolment process (ENRJ3100). Regardless of whether or not web elements have been mapped to the steps, if the enrolment steps are not pre-enrolled into the student course attempts, a user will not see anything within the browser.

The steps for a user's student course attempt can be viewed in ENRF5F10. Minor modifications to the user's course attempt steps can be made here (for example: waiving a step for a user, adding a step or changing the step order). However, it is recommended that any changes that will affect groups of students are performed by re-running ENRJ3100.

If the Enable Attend check box is selected in SSFF1210, the SUAAO-UPD step will not be available as a Self Enrolment step, because the selection of Activities will be made via the Shopping Cart application.

The ENR-STEPS system self serve application must be defined as a self serve application in SSFF1100. The application must also be created as a web element application in the Web Administrator. When creating the web element application, it must have the same name as the self serve application created in SSFF1100.

The web element application must then be placed in a web page. A suggested method of use is to place the ENR-STEPS web element application in the same page as the ENR-SCAE application. In this method, once a user has logged in and selected the student course attempt for which they are enrolling, the steps are displayed below the course information.

Optionally, a second self serve application for ENR-STEPS can be created called ENR-NXTPREV. This self serve application is also created as a web element application in the Web Administrator. The web element template is then customised to show only the NEXT and PREVIOUS enrolment steps. By placing the web element application in each of the other self-enrolment applications, the ENR-NXTPREV web element allows user's to step through the self-enrolment process.

Validations Performed When Accessing Steps

Each time a user attempts to select the next step in the self-enrolment process, validations are performed to ensure that the user can move on. Where a step has been set as mandatory or mandatory confirm, the step must be completed and/or confirmed before the user can move to the next step. If a step has not been completed, a warning message is displayed to the user and they are returned to the current, uncompleted step.
