Discontinuation/Intermission Application Configuration  

The information in this Help page refers to the setting up Callista to control if and how Discontinuation and Intermission applications work.

Overview

  • Institutions may opt to allow students to create Discontinuation and Intermission applications online, using DISINTAPPL - the Student Connect Discontinuation/ Intermission application.
  • Similarly, staff may create, maintain or view Discontinuation/Intermission applications, using ENRW3400.

Discontinuation and Intermission Application Configuration

The following forms and pages control how Discontinuation and Intermission applications work.

1. Create Discontinuation/Intermission Application Statuses (ENRW0200)

Application statuses are created in ENRW0200 and are used to indicate the current state of a Discontinuation or Intermission application in ENRW3400.

  • Note: At least one user-defined status should map to each System Application Status.

 

2. Create Discontinuation and Intermission Assessor Outcome Statuses (ENRW0220)

Assessor Outcome statuses are created in ENRW0220 and are used to indicate whether an assessor accepts or rejects an application in ENRW3400.

  • Note: At least one user-defined status should map to each System Assessor Status.

 

3. Record Enrolment Configuration Settings (ENRW0210) for Discontinuation and Intermission applications.

Enrolment Configuration Settings (ENRW0210) control how Discontinuation and Intermission applications will work, for example, whether an application is automatically approved.

The following can be configured in ENRW0210:

  • Whether successful application details will be automatically or manually recorded in Callista's Enrolment tables for Discontinuation and/or Intermission applications, or neither.
  • Whether email* or workflow notification, or neither, will occur for Discontinuation and Intermission applications.
  • Whether Discontinuation and Intermission applications will be available via Student Connect for International students.
  • Whether Discontinuation and/or Intermission applications will be available via Student Connect for any students.
  • Whether Auto Approval will be available for Discontinuation and/or Intermission applications.
  • What Correspondence Type is used for email notifications for Discontinuation and/or Intermission applications, if email notification is selected (see * above).
  • What address emails will be sent to for Discontinuation and/or Intermission applications, if email notification is selected (see * above).

4. Record Discontinuation Reason Codes (ENRF01G0) that will be available for student applications, and allow applications to be received and approved automatically.

  • Go to ENRF01G0 and query for a Discontinuation Code to be made available for Student Connect Discontinuation applications.
  • Select the SSF Available check box if the Discontinuation Reason Code is to be available for selection in Student Discontinuation applications.
  • Select the SSF Receive Application check box if any Student Discontinuation applications that use the Discontinuation Reason Code will continue to be processed.
  • Select the Auto Approve check box if any Student Discontinuation applications that use the Discontinuation Reason Code will be automatically approved (if allowed by the system in ENRW0210 and allowed by the context course in CRSF1210).
  • Repeat the above steps for other Discontinuation Reason codes to be made available in Student Connect.

 

5. Create Service Records (in ENRF01Y0) for every question that you wish to include in online Discontinuation and Intermission applications and record (in ENRF01Y5) how you want the system to respond when a particular answer is recorded (for example, allow SSF applications or Auto Approve for an answer).

  • To create questions for Discontinuation applications, go to ENRF01Y0 and create a Service record of Service Type DISCONTINUE for every Question to be included in Discontinuation applications. The sequence in which the questions will appear is also recorded in this form.
  • Answer options for each question are also recorded in this form, along with the sequence in which they should appear.
  • For each Service record created, click on the Response Checks button to go to ENRF01Y5.
  • In this form record how the system responds for each of the answers defined in ENRF01Y0. For example:
    • Whether the application should be allowed if such a response is made.
    • Whether the automatic approval of the application should be allowed if such a response is made.
    • The message text that will be displayed if such a response is made.
    • Whether text is allowed to accompany this response (open response).
  • To create questions for Intermission applications, go to ENRF01Y0 and create a Service record of Service Type INTERMIT for every Question to be included in Intermission applications.
  • Complete as for Discontinuation applications, above.

 

6. Setting Discontinuation and Intermission for Individual Course Versions (in CRSF1210)

For Discontinuation Applications:

  • If the system is configured (in ENRW0210) to allow students to create Discontinuation applications, then this must also be set for those Course Versions in which you wish to allow this to occur.
  • Go to CRSF1210 and query for a Course Version for which you wish to allow this to occur.
  • Click on the Discontinuation tab and select the 'Discontinuation SSF Available' check box .
  • If you wish Auto Approval of Discontinuation applications in this course, then also select the 'Discontinuation Auto Approve' check box.
  • Save and repeat for other courses that will allow student Discontinuation applications.

For Intermission Applications:

  • If the system is configured (in ENRW0210) to allow students to create Intermission applications, then this must also be set for those Course Versions in which you wish to allow this to occur.
  • Go to CRSF1210 and query for a Course Version for which you wish to allow this to occur.
  • Click on the Intermission tab and select the 'Intermission Allowed' check box (if not already selected) and the 'Intermission SSF Available' check box.
  • If you wish Auto Approval of Intermission applications in this course, then also select the 'Intermission Auto Approve' check box.
  • Save and repeat for other courses that will allow student Intermission applications.
