The knowledge that students have satisfied all academic requirements for their course is integral to the progression and graduation subsystem. A student cannot be allowed to receive an award unless he/she has completed all the requirements set by the academic body that oversees the course and award.

This form is used to set the Course Requirements Complete indicator. To assist in determining whether the student has completed course requirements, the Course Version completion rule can be tested using PRGF9030 - Inquire on Student Completion.

The Course Requirements Complete indicator value is used by the graduation subsystem when identifying those students who are eligible to graduate. When the job Assign Graduand Status (GRDJ3140) is run as part of graduation processing, it checks the value of the Course Requirements Complete indicator. Where a potential graduand's Student Course Attempt record has had this indicator set to Y since the previous run of the job, that graduand's status is updated to the system status of ELIGIBLE. Similarly, where an eligible graduand's Student Course Attempt record has had the indicator reset to N since the previous running of the job, that graduand's status is updated to the system status of POTENTIAL. This checking of the indicator is also carried out by the system, when the manual update of graduand status is attempted in GRDF4200.

The form is accessed from a menu or directly and opens in query mode.

Person Block:

Query in this block to retrieve the required person.

Student Course Attempt Block:

All Student Course Attempts (SCA) for the context person are displayed in this block. Those with the status of INACTIVE, then ENROLLED are listed first.

A query can be used to restrict the SCA display, for example only those with the status of INACTIVE.

The overflow area displays completion details for the currently selected SCA - date and credit point completion values.

Setting the Rqrmnts Complete indicator has the following effects:

  • where a SCA had the status of INACTIVE it is updated to COMPLETED after the indicator is set
  • where a SCA had the status of ENROLLED it retains that status after the indicator is set (until the enrolled unit attempts are completed, when the status is updated to COMPLETED).
  • Automatic entries are inserted into the following fields:
The current date in the Requirements Complete Date field. This date can be modified if required.
The Completion Source field value of MANUAL; this cannot be altered.

The Rqrmnts Complete indicator cannot be set:

  • where the SCA has the status of DISCONTINUED, INTERMIT or LAPSED. The discontinuation /intermission /lapsed date must be lifted (thus changing the status of the SCA) before the indicator can be set.
  • where the SCA has the status of UNCONFIRM.
  • where there is an academic encumbrance in force.

Notes/Rules:

  • The only field in either block that can be modified, is the Rqrmnts Complete indicator.
  • If the number of credit points achieved is less than the minimum number required to complete course requirements, a warning displays. (The number required is recorded for a course version in CRSF1210)
  • The indicator cannot be changed if the SCA status is COMPLETED and the student's graduand record has the status GRADUATED.

Unit Set Attempt:

This button opens the form ENRF3252, to allow the setting of the Completed indicator when a student has completed all requirements for the applicable unit set attempts.

Alternative Exit:

An alternative exit record may be created when a student has not completed the requirements for their current course attempt, but has completed those components of the course which qualify the student for an alternative award. For example a student may have partially completed an undergraduate degree, for which they decide to take out an alternative Diploma award, rather than finish all the course requirements and take out a degree.

To create an alternative exit, navigate to the overlay screen. Select an alternative award from the List of Values. (These alternative course awards are set up in CRSF1240 - Maintain Course Alternative Exits) The Requirements Complete indicator should be set, if the student satisfies the course requirements for this alternative award. The Completion Source Type is automatically set to MANUAL.

Course Awards:

The navigation button beside the context Student Course Attempt and Alternative Exit record, displays the Course Awards inquiry form. This lists all course awards associated with the context SCA or Alternative Exit.

  • Where the Student Course Attempt has the Rqrmnts Complete indicator set and an attempt is made to set an alternative exit as complete, a warning displays. The reverse also triggers a warning.
Academic History:

This button opens the Student Course Attempt inquiry form (INQF1200) and allows a view of the complete academic history for the context student.
