Advanced Standing

Explanation

This is the context block and displays details of the student and course version to which advanced standing unit details displayed in the block below apply. This screen is invoked via the navigation button in either the Student Advanced Standing screen or the Advanced Standing Unit Level Details screen. The information displayed here is for the same student and course version as selected in that screen. No queries can be performed in this block.

Example

A student may have more than one concurrent course attempt and may have advanced standing approved in each. The advanced standing unit details displayed in the block below are those for one of the student's course attempts (identified in the Course Version field). Selecting the Back button at the bottom of the screen navigates back to the Student Advanced Standing screen where another course attempt can be selected.

To inquire on the advanced standing details of a student other than the one initially displayed:

 

Rules:

  • A query cannot be performed in this block. It is necessary to select the Back button to return to the Student Advanced Standing screen to inquire on another course attempt or another student.

Advanced Standing Unit

Explanation

There are two types of advanced standing recorded in the system:

  • advanced standing in a specified unit, recorded using this screen and
  • advanced standing for a unit level, recorded using the Unit Level Details screen.

Advanced standing in a unit recognises that a student has undertaken prior studies or has experience which has a degree of equivalence to the unit (the unit being part of the course requirements of the current course attempt). The effect of gaining advanced standing in a unit can be:

  • credit for the unit. The student is exempted from the requirement to study the unit but is nevertheless entitled to credit for it.
  • partial credit for the unit. The student enrols in the unit and is exempted from some of the study requirements of the unit. Credit for the unit is dependent on successful completion of the remaining requirements.
  • preclusion from the unit. The student is prevented from enrolling in the unit but may enrol in alternate units. No credit is granted for the prior study/experience.

The system permits recording of each of these results. Full credit and preclusion have significant impacts within the system. These are elaborated below. Partial credit is recorded here but has no subsequent impact in the system.

The Rules sections, below, contain important information regarding transactions using this screen. The Notable Effects section, below, details the effects of the various attributes of an advanced standing unit record.

The operation of the Advanced Standing subsystem, including the recording process and use of 'granting statuses' is elaborated upon in Understanding Advanced Standing.

Example

A student applies for advanced standing in the Bachelor of Commerce. Two years earlier, the student completed units in the first year of a computing degree but then withdrew from the course. An assessment is made of the student's application for advanced standing with the following results:

  • the student is granted full credit for the unit 'MAN101 - Introduction to Computing' on the basis that the previously studied unit 'Elementary Computing' is equivalent. MAN101 is recorded on the system as advanced standing type CREDIT, percentage 100 and granting status APPROVED. The job ADVJ4411 detects when the student's course attempt is confirmed (status ENROLLED), changes the granting status to GRANTED and deletes the student unit attempt MAN101. The advanced standing unit may be included for 'completion' and 'progression' purposes.
  • the student is granted 75% partial credit for 'MAN105 - Basic Accounting' because the previously studied unit 'Accounting Principles' has almost identical course content apart from an important module. The student is exempted from most of the unit but must complete the outstanding module (the remaining 25%) to gain credit for the unit. MAN105 is recorded on the system as advanced standing type CREDIT, percentage 75 and granting status APPROVED. The job ADVJ4411 detects when the student's course attempt is confirmed (status ENROLLED) and changes the granting status to GRANTED. This has no other effect within the system.

To record unit advanced standing details for a student using the Create Advanced Standing Details form - Unit Details screen:

  • Ensure that the correct student course attempt is displayed in the top block.
  • Enter Insert mode.
  • Enter the unit code and version number for the unit in which advanced standing is being recorded, in the Unit and Version fields respectively (or select the unit version from the list of values in the Unit field) of a blank record. (The version number will default where there is only one active version of a unit.)
  • The following data is defaulted:
    • Adv Stnd Type (Advanced Standing Type) defaults to CREDIT
    • Percentage defaults to 100.00
    • Credit Pts (Credit Points) or Contact Hrs (Contact Hours) defaults to the Enrolled value for the unit version,
    • Granting Status defaults to APPROVED
    • Unit Title corresponding to the unit version
    • Approved date defaults to the current date
    • Expiry date is calculated from the current date plus the Expiry Date Increment
    • Authorised By is entered manually the first time this form is used in a session. Subsequent entries default to the last recorded authorisor
    • Basis Institution defaults to the institution defined as such in Advanced Standing Configuration
  • Amend defaulted data as required.
  • Update remaining fields as required, i.e.:
    • Crs Grouped indicator - this indicator is not used generally. Where it is used, it indicates that while the unit is owned by an organisational unit other than the one which owns the course, a decision has been made to regard the unit as satisfying part of the course's core requirements. There is no functionality within Callista which utilises this indicator.
    • Not Transferable indicator - if ticked, it prevents the unit or unit level details from being transfered during Course Transfer.
    • Last Year of Enrolment
    • Crs Type
    • Completed indicator
  • If the advanced standing type is PRECLUSION you have the option to record alternate units (units in which the student may enrol in lieu of the precluded unit) by:
    • selecting the Alternate Units tab
    • entering (or selecting from the LOV) an alternate unit version
    • selecting the optional checkbox if study of this alternate is optional. Leaving the checkbox deselected means that the student must study the alternate unit.
    • select the Back button
  • Select the Comments button and enter comments if required.
  • Save.

Rules:

  • Recording an advanced standing unit sets the granting status to APPROVED
  • Advanced standing can be manually changed from APPROVED to GRANTED where the student course attempt status is INACTIVE, INTERMIT or ENROLLED.
  • The Grant Advanced Standing job (ADVJ4411), amongst other things, changes the status of advanced standing application records from APPROVED to GRANTED when the student course attempt's status is ENROLLED only.
  • Granting statuses and their use are explained in detail in Understanding Advanced Standing. See also documentation for the Grant Advanced Standing (ADVJ4411) and the Expire Advanced Standing (ADVJ4412) jobs.
  • The rules for modifying records, below, also apply to changes made to default values for a new record

To modify unit advanced standing details for a student using the Create Advanced Standing Details form - Unit Details screen:

  • Find the record to be modified.
  • Modify the record.
  • Save.

Rules:

  • Granting statuses and their use are explained in detail in Understanding Advanced Standing
  • Records, of granting status GRANTED, can only have their approval details, Crs Grouped indicator and basis details changed
  • Not Transferable indicator - if ticked, it prevents the unit or unit level details from being transfered during Course Transfer.
  • Only records with granting status of APPROVED can have their advanced standing type changed. Advanced Standing Types (CREDIT and PRECLUSION) are explained in detail in Understanding Advanced Standing - Advanced Standing Reference Data
  • Percentage can only be changed for records of advanced standing type CREDIT and granting status APPROVED. A percentage less than 100 (partial credit) results in the record having no flow-on effects in the system
  • Granting status changes are constrained as follows:
    • The default granting status applied to a new advanced standing unit detail record is APPROVED
    • The status GRANTED can only be applied to records for an ENROLLED, INTERMIT or INACTIVE student course attempt, using this form.
    • The status cannot change to GRANTED:
      • after the Census Date unless the unit is first manually discontinued through ENRF3000
      • if the unit attempt status is INVALID
      • if the unit attempt is COMPLETED and passed or INCOMPLETE
    • APPROVED records may be changed manually to GRANTED, however, a batch process automatically makes this change when the student's course attempt changes from another status to ENROLLED
    • Changing the granting status back from GRANTED to APPROVED does not restore a discontinued or deleted student unit attempt (see Notable Effects, below). A discontinued or deleted student unit attempt must be restored manually
    • The statuses REVOKED and CANCELLED are applied manually. The status EXPIRED is applied by the system if the record's expiry date is reached while the status is APPROVED (via ADVJ4412)
    • A CANCELLED record can only be changed to APPROVED
  • The dates associated with a record (Granted, Revoked, Expiry, Cancelled) are dynamically configured. Only the dates relevant to the record's granting status are displayed

To delete unit advanced standing details for a student using the Create Advanced Standing Details form - Unit Details screen:

  • Find the record to be deleted.
  • Locate the cursor in the record to be deleted.
  • Delete record.
  • Save.

Rules:

  • Only advanced standing units with a granting status APPROVED can be deleted

Changes within this form will have the following notable effects:

  • A unit advanced standing type of CREDIT with a percentage of 100 will, when the granting status is changed to GRANTED (see ADVJ4411):
    • delete the UNCONFIRMED unit from the course attempt or
    • attempt to discontinue or delete the ENROLLED unit from the course attempt subject to the following conditions:
      • the unit will be deleted if advanced standing is granted prior to the Unit Deletion Cut-off Date
      • the unit will be subject to normal discontinuation date criteria if advanced standing is granted after the Unit Deletion Cut-off Date but before the Census Date
    • attempt to delete/discontinue subordinate units where their superior is granted advanced standing
  • A unit advanced standing type of PRECLUSION:
    • prevents enrolment in the specified unit
    • attempts to delete/discontinue the ENROLLED unit as above
  • Changing the granting status back from GRANTED to APPROVED does not restore a deleted or discontinued unit attempt. This must be restored manually
  • Changing the advanced standing unit percentage from less than 100 to 100 will not cause the enrolled unit to be deleted. It must be deleted manually
