ADMF2M61 - Maintain Admission Period Calendars

Purpose

To allow the recording of restrictions to Course Offering Patterns within an Admission Period.

This form is used to define the Admission Category/Process Type combinations which are valid for particular Admission Periods and to restrict the Course Offering Patterns on offer within the Admission Period.

Note: Prior to using this form, Course Offering Options must have been linked to Admission Periods using CRSF1320. Linking Course Offering Options to Admission Categories describes this process.

The establishment of Admission Periods is carried out in the Calendar Subsystem and is described in Configuring Admission Calendars.

Details associated with Admission Calendars (like that recorded in this form) are not rolled over when the Calendar Rollover Process is performed. A process is executed from this form to roll this detail into new Admission Periods created by the Calendar Rollover Process. Admission Calendar Rollover describes this fully.

Rules/Notes:

When the Admission Period Rollover button is selected from the top block, the following message is displayed:

Warning: The Rollover process will roll all Admission Categories, Admission Process Types, and Course Offering Option Restrictions from the previous Admission Period. Do you wish to continue? - Yes/No buttons

A validation to the underlying function ensures the Admission Process Category is valid.

Admission Period

Perform a query in this block to locate the required Admission Period. Existing Admission Period details are displayed.

Admission Period Admission Category

The Admission Categories which are valid for the displayed Admission Period are recorded here. For example, an Admission Period related to a mid-year intake of students might not include all Admission Categories.

 

Admission Process Type

For each Admission Category within an Admission Period, the valid Admission Process Types are recorded here. On entering the block, the Admission Process Types available to the displayed Admission Category are shown. These are maintained in ADMF2M30. If it is required that a subset of Process Types should be available in that particular Admission Period, Process Types can be deleted here.

Selecting the Course Offering Patterns button invokes the Admission Period Course Offering Pattern overlay block which is described next.

Admission Period Course Offering Pattern

This overlay block, invoked by the Course Offering Patterns button, displays the course offering patterns available to the Admission Period/Category/Process Type combination and allows the effects of Course Offering Option restrictions to be viewed. Selecting the Apply Course Offering Option Restrictions check box causes only the restricted Course Offering Patterns to be displayed. Deselecting the check box redisplays all Course Offering Patterns. Selecting the Back button returns the user to the restrictions screen.

Rules/Notes:

For System Admission Process Types COURSE, NON-AWARD & TRANSFER, Course Offering Patterns can only be specified where their Course Version has no Expiry Date recorded against it.

Admission Period Course Offering Option Restriction

This block is used to record restrictions on the Course Offering Options able to be offered in a particular combination of Admission Period, Admission Category and Process Type.

If no restrictions are recorded, all Course Offering Options previously associated with the Admission Category are available. These Course Offering Options may already have been restricted by virtue of the Admission Category being restricted to certain Course Types (Course Type Restriction in ADMF2M20). Additionally, the Admission Categories in which a course can be offered may have been further restricted to a subset of those resulting from Course Type Restriction (Admission Category Restriction in CRSF1320).

If any restrictions are recorded, the Course Offering Options available to the selected combination of Admission Period, Category and Process Type are restricted to those Course Offering Options recorded here.

Selecting the Default button (when no restrictions are currently recorded) causes all 'available' Course Offerings to be defaulted into this block. Those not to be made available are then deleted.

These restrictions may be refined down to the Course Offering Pattern level by specifying a Location, Attendance Type and/or Attendance Mode.

The effects of applying restrictions can be viewed in the Admission Period Course Offering Pattern block, which was described previously.

The Include in Rollover check box, when selected, causes the restriction to be included in the Admission Period Rollover process. When a restriction is recorded, the check box is automatically selected and must be deselected if not required.

Incorrectly recorded restrictions can be amended or deleted.
