Maintain Encumbrance Types form

Each progression rule established by an institution has one or multiple outcome types associated with it. This form allows the creation of these Progression Outcome Types.

An institution-defined Progression Outcome Type must be linked to a System Progression Rule Outcome Type. When an outcome recorded against a student course attempt, is approved and applied, the system-defined outcome type may trigger changes to the progression status of that student course attempt. For example, when a student has a progression outcome with the system-defined outcome type of SUSPENSION applied to the student course attempt, that student's progression status becomes SUSPENSION. The impact of each approved outcome type on a student's progression status is described fully in the table below.

A Progression Outcome Type may require linking to an encumbrance type. These encumbrances represent the penalty that is to apply to a student who fails a progression rule, with the associated outcome type.

A progression rule category, rule or rule application can have an outcome type associated by navigating to PRGF5214 from PRGF1600 (Maintain Progression Rule Category), PRGF5100 (Maintain Progression Rule) or PRGF5200 (Progression Rule Application).

Use this form to record the Progression Outcome Types to be used within the institution.

Each must be linked to a System Progression Rule Outcome Type. More than one institution-defined outcome type can be mapped to each system type.

Certain System Progression Rule Outcome Types require an associated Encumbrance Type; some cannot have an associated Encumbrance Type. The system outcome types and their allowable Encumbrance Types are detailed in the table below.

Explanation about the Progression Rule Outcome Type, can be recorded in the Comments text box.

The Encumbrance Types button can be used to navigate to ENRF6200 to create or view encumbrance types and associated encumbrance type effects.

Notes/Rules:

  • Each Progression Rule Outcome Type must be unique.
  • Once used in the system, a Progression Outcome Type cannot be deleted. It should be closed, when obsolete.
  • Only ACADEMIC Encumbrance Types can be linked to Progression Rule Outcome types.
  • A Default Restricted Enrolment Credit Points value can only be entered if the context Encumbrance Type has the default effect RSTR_GE_CP or RSTR_LE_CP.
  • A Default Restricted Attendance Type value can only be entered if the context Encumbrance Type has the default effect RSTR_AT_TY.
  • Encumbrance Type and System Progression Rule Outcome Type cannot be modified if current outcomes and/or encumbrances, linked to this Progression Rule Outcome Type, exist.

Suggested Use

Allowable Encumbrance Type/s & Effect Type/s

Progression Status (when outcome approved and applied)

EXPULSION

This would usually be used for expulsion from the institution, as represented by a course group.

An Encumbrance Type with an Encumbrance Effect Type of EXC_*, must be defined for an outcome of this type.

EXPULSION

EXCLUSION

This can be from a course group, course, unit set or unit.

An Encumbrance Type with an Encumbrance Effect Type of EXC_*, must be specified.

A status of EXCLUSION applies for encumbrances that exclude a student from a course group or course only.

SUSPENSION

This outcome is used when suspension from a course is to be the result of a progression rule failure.

An Encumbrance Type with an Encumbrance Effect Type of SUS_COURSE must be specified.

SUSPENSION

NOPENALTY

This outcome would be used when an institution requires a 'warning' with no associated penalty, for a progression rule failure.

No Encumbrance Type can be set for any outcome type mapped to this system outcome type.

Has no effect on status

PROBATION

This would be used where an outcome is to result in some type of restriction or requirement placed on the student's enrolment.

Note that in defining an outcome type with a credit point restriction, the type of restriction (greater than or less than a number of credit points) should be easily identifiable, for example through the naming of this outcome type.

An Encumbrance Type must be specified. This encumbrance must have one of these Encumbrance Effect Types
- RSTR_AT_TY (restricted attendance type)
- RSTR_GE/LE_CP (restriction on enrolment to greater than/less than or equal to given number of credit points)
- RQRD_CRS_U (required enrolment in a specified unit).

PROBATION

MANUAL

This is used where the outcome is to be applied manually.

No Encumbrance Type can be set for any outcome type mapped to this system type.
