Person Encumbrance

Explanation

An overview of encumbrance functionality is provided under Management of Existing Enrolments

This is a context block. It displays the student encumbrance for which encumbrance effects are displayed and maintained in the block below. This form can only be invoked from

  • The Maintain Basic Person Encumbrance Detail form (ENRF6310).
  • The Maintain Student Progression Outcome form (PRGF6610).

The record displayed here is brought forward from ENRF6310/PRGF6610. To view or maintain encumbrance effects for a different student encumbrance, return to the original form and locate the student encumbrance there before navigating back to this form.

This context block is dynamic. The display of data in certain fields is determined by the encumbrance type:

  • Where the encumbrance is an academic category encumbrance (applied as progression outcomes) Student Course Attempt (course version, course attempt status, progression status) and progression outcome details (outcome type, decision status and duration) are displayed.
  • Where the encumbrance is an administrative category encumbrance, those progression fields are inactive and only the person and encumbrance details are displayed.

 

Person Encumbrance Effect

Explanation

This block displays the encumbrance effects for the context student encumbrance in the block above. It is also used to query, add and maintain administrative effects. It is only used to view effects for academic encumbrances created through the application of progression outcomes. An encumbrance effect determines the impact of an encumbrance within the System. The system-defined encumbrance effects are documented in tables in the subsystem introduction.

When an encumbrance is added to a student, the System automatically applies the set of default effects for that encumbrance.

At the bottom of the block, an overflow area displays data relating to a specific course attempt of the student and academic encumbrances applied through Progression functionality.

This form dynamically configures to display additional navigation buttons when an effect has been associated with courses or units. These buttons can be selected to display overlay screens in which the course and unit details can be viewed.

Encumbrance effects are assigned a start date (usually the date entered on the System) and may be assigned an end date. For those effects applied as Progression outcomes, these dates can only be assigned and modified from the Progression subsystem (PRGF6610).

Example

For example, the effect IDCARD_BLK causes the System to block the issue of an ID card to the affected student.

 

To insert an encumbrance effect using the Maintain Person Encumbrance Effects form:

In insert mode

  1. Select the effect type from the list of values in the encumbrance effect type field of a blank record. Start date is defaulted as today's date.
  2. Save.

Rules:

  • Academic encumbrances cannot be inserted using this form. They can only be maintained through the Progression subsystem.
  • Only those effect types associated with the chosen encumbrance may be inserted.
  • An effect type may not be used more than once in an encumbrance.
  • To add extra data to any field is dealt with in 'to modify an encumbrance effect type'.

To modify an encumbrance effect type using the Maintain Person Encumbrance Effects form:

  1. Find the record to be modified.
  2. Modify the record as required.
  3. Save.

Rules:

  • Encumbrance effect expiry date can not be greater than the encumbrance expiry date.
  • Academic encumbrances cannot be modified using this form. They can only be maintained through the Progression subsystem.

To delete an encumbrance effect using the Maintain Person Encumbrance Effects form:

  1. Find the record to be deleted.
  2. Locate the cursor in the record to be deleted.
  3. Delete record.
  4. Save.

Rules:

  • Academic encumbrances cannot be deleted using this form. They can only be maintained through the Progression subsystem.
  • Encumbrance effects that have been applied to an encumbrance are not normally deleted. Instead the effect type is expired by entering an end date.
  • Where applicable, delete associated data in overlay screens (invoked via navigation button in this form) prior to deleting this record.
