The purpose of this function is to enable the assignment of alternative reference codes to course versions.

Explanation

Each course version in Callista is identified by its unique combination of course code and version number, however, course reference codes can also be recorded to identify a course version for other specific purposes.

This feature is particularly useful for recording codes used by other systems to identify a course version. Each reference code assigned to a course version must be assigned a reference code type (maintained in CRSF11C0). Reference code types are mapped to system reference code types, which are recognised by the system for specific functions.

The following are new Reference Code Types for a Course Reference Code:

  • QUAL
  • UOC
  • SCHL-LEAVE
  • POSTNMNL
  • INT-STDNT

To create a new Course Reference Codes:

  1. Enter Insert mode.
  2. Enter the new Course Reference Code in the Course Reference Code field of a blank record.
  3. Enter the corresponding description for the Course Reference Code in the Description field.
  4. Save.

Rules:

  • Course Reference Code MUST be unique. 
  • If the course version recognition type value is mapped to a government recognition type value of '11' and a course reference code of type 'QUAL' is inserted, the course version course type must be mapped to a govt course type that is "compatible" with the AQF level embedded in the course reference code (which may be the same as the training package qualification code.)*Refer to Australian Qualification Framework definition for more information.
  • When the Reference Code Type is 'QUAL', the reference code's embedded AQF level (4th character) must be compatible with the Course Version Course Type. Refer to the AVETMIS Standard (Qualification Category) for further details.
  • The Reference Type field can contain up to 20 characters, however, a warning message displays if the Reference Code Type is 'QUAL' and the Reference Code is greater than 10 characters.
  • AVETMISS Course Name is required as the Description for Course Reference Codes of type 'QUAL'

 

To modify a Course Reference Code:

  1. Find the record to be modified.
  2. Modify the record as required.
  3. Save.

Rules:

  • Once in use, Course Reference Code should not be modified.

 

To delete a Course Reference Code:

  1. Find the record to be deleted.
  2. Locate the cursor in the record to be deleted.
  3. Delete record.
  4. Save.

Rules:

  • A Course Reference Code can be closed preventing any further use by selecting the Closed check box.
