Within the Assessments subsystem, there are several dates that should be specified. System flexibility allows institutions to nominate the date alias to be used in each case. The nominated aliases are recorded in this form so that they can be recognised by the System. The actual values for the date alias are recorded in the Calendar subsystem.

The first of these date aliases, the assessment item variation cutoff date alias, must have a System calendar category of TEACHING (or NULL) and should have an instance created in each teaching period. The System calendar category may also be NULL. The date alias is used to establish a cutoff date for the alteration of unit assessment items. The date acts as a warning when attempting to update a unit's assessment requirements in the Maintain Unit Assessment Items form (ASSF2310). For example, an institution may determine that the assessment requirements for units should not normally be varied after the end of the second week of standard teaching periods.

The second of these date aliases, the result block encumbrance date alias, must have a System calendar category of ASSESSMENT (or NULL) and should have an instance created in each assessment period. The date alias is used to block the display of results (student unit attempt outcomes) in Callista Connect applications when the user has an active 'result blocking' encumbrance. The System suppresses results in teaching periods associated with a specific assessment period if the person's encumbrance start date is <= the 'result block encumbrance date alias instance' in the assessment period. This functionality is invoked when the person has an active encumbrance effect type of RESULT_BLK. (NB Encumbrance effect types RVK_SERVC, SUS_SRVC and SSF-BLK prevent access to secure Callista Connect applications).

The third date alias, the exam timetable venue/seat display date alias, must have a System calendar category of EXAM to have effect and should have an instance created in exam periods. The date alias is used to prevent students from viewing their venue and seating details for examinations in the STUD-EXAM application within Callista Connect. For example: an exam timetable is released part way through a teaching period to notify students of when and where their examinations are to be held. However, at this time, seating and venue details have not been finalised. Setting the date alias suppresses the display of venue and seating details until the current date is >= the 'venue date'. The 'venue date' would be set to a date when the finalised exam timetable is to be released. This functionality does not prevent the display of venue and seating details in other examination related reports such as the Examination Timetable report (ASSR4621).

Use this form to enable the System to recognise critical assessment related institution defined date aliases, previously created in the Calendar subsystem.

Notes/Rules:

  • The selected date aliases cannot be closed.
  • The date aliases selected as the 'assessment item variation cutoff date alias' must have a system calendar category of TEACHING (or it must be NULL).
  • The date aliases selected as the 'the result block encumbrance date alias' must have a system calendar category of ASSESSMENT (or it must be NULL).
  • The date aliases selected as the 'the exam timetable venue/seat display date alias' must have a system calendar category of EXAM (or it must be NULL).
  • If an instance of the variation cutoff date alias is not created in a teaching calendar, no warnings against late unit assessment changes will be raised in the Maintain Unit Assessment Items form (ASSF2310) in that teaching period.
  • If an instance of the result block encumbrance date alias is not created in a particular assessment calendar, results will not be suppressed in Callista Connect for encumbered students in teaching periods associated with the assessment period.
  • If an instance of the exam timetable venue/seat display date alias is not created in a particular exam calendar, venue and seating details will not be suppressed in Callista Connect.
  • If an 'assessment item variation cutoff date alias' is not specified, no warnings against late unit assessment changes will be raised in the Maintain Unit Assessment Items form in any teaching period.
  • If a 'result block encumbrance date alias' is not specified, no results will be suppressed in Callista Connect applications for encumbered students, in any teaching periods.
  • If an exam timetable venue/seat display date alias' is not specified, no venue or seating details will be suppressed in Callista Connect.
