Purpose

To create and maintain institution-defined Study Reason Identifier codes.

This form is used to maintain the set of institution-defined Study Reason Identifier codes.

Each institution-defined code maps to a Government Study Reason Identifier code (set up in STAF1131) which are used for government statistics reporting; namely, HEIMS and AVETMISS.

More than one institution-defined code can map to the same Government code.

Below are possible examples of Study Reason Identifier codes. Study Reason Identifier codes are completely institution-definable.

* The value '@@' automatically maps to code '99' for HEIMS data collection requirements if recorded for a VET SCA in ENRF3000 (under the Study Reason T-List item).
Note: For AVETMISS reporting, a value of '@@' is reported as '@@'.

• Study Reason Identifier
• Description
• Govt Study Reason Identifier
• Closed check box
• Comments
• Explanation

Rules/Notes:

To create a new Study Reason Identifier code using the Maintain Study Reason Identifier form:

• Enter Insert mode.
• Enter the desired name (or code) of the Study Reason Identifier in the Study Reason Identifier field of a blank record.
• Enter a meaningful description for the Study Reason Identifier in the Description field.
• Select the appropriate Govt Study Reason Identifier from the list of values (or key a valid value).
• If applicable, enter relevant information into the Comments field.
• If applicable, enter relevant information into the Explanation field.
• Save.

Rules/Notes:

A Study Reason Identifier cannot be mapped to a CLOSED Government Study Reason Identifier.

To delete a Study Reason Identifier using the Maintain Study Reason Identifier form:

• Find the record to be deleted.
• Locate the cursor in the record to be deleted.
• Delete record.
• Save.

Rules/Notes:

A Study Reason Identifier cannot be deleted if it has been used in a student record. It can be closed preventing any further use by selecting the Closed check box.

To modify a Study Reason Identifier using the Maintain Study Reason Identifier form:

• Find the record to be modified.
• Modify the record, as required.
• Save.

Rules/Notes:

A Study Reason Identifier can be closed, preventing any further use, by selecting the Closed check box.

A Study Reason record cannot be re-opened if it is mapped to a closed Government Study Reason record.
