T-list Items in the Student Unit Attempt Screen (ENR3000C) of the Record Enrolments Form (ENRF3000)

T-list items, when selected, display related fields for the entry of additional student enrolment information. The table below lists all possible T-list items in the Student Unit Attempt (SUA) screen and describes their purpose. Not all items are necessarily displayed on the SUA screen for a particular student. Dynamic Configuration of the Record Enrolments Form explains this feature.

Discontinue

Discontinuation is the withdrawal of a student from a Unit Attempt. This functionality is described in detail in Course and Unit Discontinuation.

Displays:

  • Discontinued Date - The date of discontinuation of the Student Unit Attempt.
  • Administrative Unit Status - A status applied to the SUA discontinuation based on the date of withdrawal from the unit.
  • Unit Title - The name of the unit.
  • Last Attended Date - The date a student last attended an activity or class for the discontinued Student Unit Attempt. This field is optional and applies to VET units only. It is only available if a Discontinued Date exists. The value must be less than or equal to the Discontinued Date, and must be greater than the commencement of the unit (i.e. greater than the Activity Start Date).
    The Last Attended Date is used in the Hours Attended calculation (see Override Hours, below) to obtain the HOURS_ATTENDED value for units reported to Skills Victoria in the NAT00120 VET Enrolment file for VET students who have a Skills Victoria funded place (see STAJ8000). If the Last Attended Date is changed or removed, the HOURS_ATTENDED value is re-derived.

Exam Location

Displays:

  • Exam Location Code field - The code and description for the location at which the exam for this SUA is to be/was conducted.

Displays:

  • Enrolled Date field - The date of enrolment in this unit. Defaults to the date the unit attempt is confirmed but can be changed.
  • No Assessment check box - When selected indicates that the student is not seeking a formal grade for the unit and is excluded from assessments processes.
  • EFTSL - Displays the derived Student Unit Attempt EFTSL. This value can be overridden with an EFTSL value that will apply to the individual Student Unit Attempt. To override the EFTSL value:
    • The Override Credit Points indicator must be selected for the unit in the Maintain Basic Unit Details form (CRSF2210).
    • The OVER-EFTSL step type must be selected for the unit steps process in the Maintain Enrolment Category Procedure Details form (ENRF0192).
    • An overrideable EFTSL is indicated by black text in the EFTSL field.
    • Upon saving the record with the overridden EFTSL the field label changes to OVERRIDE EFTSL.
    • For example, the EFTSL may be overridden at SUA level for situations where a student (most likely a research student) may be attempting only part of a unit.

    Note: For VET unit attempts, Enrolled CP is displayed in the More T-list rather than EFTSL. (Instead of being part of the for Student unit attempt record where its place is taken by Supervised Contact Hrs)

  • Unit Title field - The name of the unit. This value can be overridden with a unit title that applies to the individual Student Unit Attempt. To override a title:
    • The Override Title indicator must be selected for the unit in the Maintain Basic Unit Details form (CRSF2210).
    • The OVER-TITLE step type must be selected for the unit steps process in the Maintain Enrolment Category Procedure Details form (ENRF0192).
    • An overrideable unit title is indicated by black text in the Unit Title field.
    • Upon saving the record with the overridden title the field label changes to OVERRIDE TITLE.
    • For example, the unit title may be overridden where a student is undertaking 'study abroad'. The student is enrolled in generic units and title is overridden to match the unit studied overseas.
    • Ovrd VET in Schools check box – indicates if this unit is part of a ‘VET in Schools’ program (reported in the NAT00120 Enrolment file).
    • Activity Start –The first day of activities for this unit attempt. Displays only for VET unit attempts. Sourced according to the hierarchy below:
      • If a new date is typed directly into this T-list field then this overrides any existing date and the label changes to Override Activity Start.
        Note: If the Activity Start Date has already been reported to government then a warning will display when it is overridden.
      • If no override is entered then the latest Enrolment Activity Start date recorded for a Delivery Group (ENRF3600) for this course attempt is displayed.
      • If no delivery group date is recorded, then the value for date alias in the unit offering option (via CRSF2210) for the unit attempt is displayed.
      • If no unit offering option date is recorded, then the value for the date alias in the unit offering pattern (via CRSF2210) for the unit attempt is displayed.
      • If no unit offering pattern date is recorded, then the value for the date alias in the unit offering (via CRSF2210) for the unit attempt is displayed.
      • If no unit offering date is recorded, then the value for the date alias for the Enrolment Activity Start Date Alias in the Enrolment Calendar Configuration (ENRF01F0) is displayed.
      • If no enrolment configuration date is found, thenthe Teaching Period Start Date for the unit attempt is displayed.
    • Activity End – Last Date of Activities for this unit attempt. Displays only for VET unit attempts. Derived as for Activity Start, but using End Dates values in each step.

Override CP

This T-list item will display if the corresponding unit version in the Maintain Basic Unit Details form (CRSF2210) has the Override Credit Points indicator set. Fields displayed are:

  • Override Enrolled CP - Allows entry of a value for this Student Unit Attempt which overrides the enrolled credit points value specified in CRSF2210.
  • Achievable CP - Allows entry of a value for this Student Unit Attempt which overrides the achievable credit points value specified in CRSF2210.
  • Override CP Reason - An optional field to record comments.

The Override fields must conform to conditions for minimum, maximum and/or increment values where these have been specified in CRSF2210.
For example, situations where credit points may be overridden at SUA level include those where a post-graduate student attempts an under-graduate unit and is awarded less credit points upon successful completion; where an institution establishes a generic unit for 'study abroad' and then specifies credit point value on an individual basis; or where a student is repeating a unit that can only be passed once for credit.

Override Fund

This will enable the Funding Source to be overridden at the Student Unit Attempt level.

This is relevant to existing enrolments if the offering option of the course is altered, which in turn may affect the funding sources available if different ones are defined for the new offering pattern.

Displays:

  • Override Funding Source.
  • Override Reason.
  • Override Govt Industry Code - Used to record the ANZSIC code only when the override Funding Source is mapped to a State level Funding Source with a 'State Funding Source Identifier - State Training Authority' code of LSG, PSG, SSG. (See STAF1142 and STAF1126.)
    This field is only available to unit attempts enrolled in VET sector courses.
  • Enable SPI check box
  • Specific Funding ID - Only valid with a Government Funding Source of 13.

Override Hours

If a TAFE/VET unit is identified as having an industrial experience component, the following should apply:

  • If an Override Supervised Hours value exists at the Student Unit Attempt level, then this value should be used as the contact hours returned by the process.
  • If no Override Supervised Hours value exists at the Student Unit Attempt level, then the supervised hours defined at the unit version should be used as the contact hours value to be returned.

Displays:

  • Override Supervised Hours
  • Hours Attended - Used to record hours attended when a unit is withdrawn after the SUA Activity Start Date but prior to the SUA Activity End Date. This field is only available to VET sector SUAs.
    This field is to be calculated when a VET sector SUA is discontinued with an Administrative Unit Status = DISCONTIN and the Discontinued Date is greater than SUA Activity Start Date.
    The 'Hours Attended' value for units is reported to Skills Victoria in the NAT00120 Enrolment file (see STAJ8000).

    Note:
    Hours must be entered as whole numbers. (Fractional hours, for example, 21.5, must be rounded to the nearest whole number, and exact half hours must be rounded to the nearest odd number. For example: if hours attended is 20.5, it is rounded up to 21and if hours attended is 21.5 it is rounded down to 21.
  • Override Hours Attended - Used to override the 'Hours Attended' value for units reported to Skills Victoria in the NAT00120 Enrolment file. determined. The Override Hours Attended cannot be greater than the Supervised Hours value.
  • Override Total Hours
  • Override Reason

Result

Displays for the context Unit Attempt:

  • Mark (where recorded).
  • Grade Code and Description.
  • Unit Title.

Rule Breach Dtls

The user can use the Rule Breach Details option in the T-List to view the breach details for a selected INVALID SUA.
This displays the current enrolment rule breach details for INVALID SUAs or displays a message where the SUA no longer fails any rules.

Superior Unit

Used to record a unit which is the superior of the selected unit attempt. (A unit may have more than one superior, but only the one relevant unit is recorded here). This relationship must already have been created in the Course Structure and Planning subsystem.

A student enrolled in a Superior Unit must enrol in at least one of its subordinates, however, the reverse is not mandatory. Usually, to enrol in the Superior Unit attempt the student should also be enrolled in a particular set of sub-units. Similarly, satisfactory completion of the Superior Unit may be dependent on completion of the required sub-units.

A warning is displayed when saving superior and subordinate units where the total enrolled credit points of the subordinates does not equal the enrolled credit points of the superior. (This can occur when a Superior Unit spans more than one teaching period and only those subordinate units in the first teaching period are being enrolled at the time.)

Note: Entering a superior Unit Code as the only query criteria in the Student Unit Attempt screen will display only the subordinate unit attempts associated with it.

Displays:

  • Superior Unit Code and details of the superior unit.

Relationships recorded here are represented by icons in this form. These icons are described in Features of the Record Enrolments Form.

Waive Rules

Used to record waiver of all unit rules for a SUA. Displays:

  • Waive Rules Date field - The date on which the unit rules were waived. Entering a date tells the system that it is no longer required to apply unit enrolment rules to this particular SUA. Entering a rule waiver date for a SUA with status INVALID will change the status to ENROLLED, provided other enrolment validations (such as course intermission, unit exclusion) are passed.
  • Waive Rules Person ID field - The identification number of the authorised person who set the waive rules date. Also displays the name of this person. When the waive rules date is entered, the Person ID defaults to the user. This can be overridden and a Person ID selected from the Find Person form.
