ADMF0300 - Maintain Entitlement Position

Purpose

To allow the recording of Institution-defined Entitlement positions.

This form is used to relate Entitlement Statuses to the percentage of entitlement remaining for an Entitlement Type.
e.g. For FEE-HELP entitlements a status of GOOD might be appropriate if more than 50% of a student's FEE-HELP entitlement currently remains and a status of RISK might be appropriate if less than 50% remains. Two records for FEE-HELP entitlement in this form would be necessary to set up such an arrangement.

Existing Entitlement Types are SLE*, FEE-HELP, OS-HELP and Ordinary, Associate, Enabling and Indigenous Scholarships.
Note: Student Learning Entitlement (SLE) was abolished on 1 January 2012, there is no longer a limit on the amount study a Commonwealth supported student can undertake. 

The context determines how the entitlement is measured and specifies a point in time.
CURRENT - Measures the Entitlement position at the 'As At' date.

ENROLMENT - Takes into account the student's current enrolment.
COURSE - Takes into account what is required for the student to finish current courses.

CURRENT, ENROLLED and COURSE System Entitlement Check Contexts are available for SLE* entitlements but only CURRENT is available for all other Entitlement Types.

Entitlement Statuses are related to Status Outcome Types (NONE, WARNING or CRITICAL) in ADMF0390, so Status Outcome Types are determined by the Entitlement Status selected.
In the above example, if NONE is the Status Outcome Type for Entitlement Status GOOD, then no warnings will display for a student if their FEE-HELP percentage is 50% or greater. If WARNING is the Status Outcome Type for Entitlement Status RISK, then a warning will display for a student if their FEE-HELP percentage is less than 50%.

The warnings described above are included in batch and real time reports and will also appear in ADMF3240, ENRF3000 and ADMF32W0 for those applicants. The entitlement position may also be used in the configurable view to indicate entitlement position. That configurable view will appear in: ADMF3000, ENRF3000 and ADMF32W0.

The Status Outcome Text for an Entitlement position can be overridden if text more specific to the Entitlement Position record is required. This is the text to be delivered in the messages to the user.

This form may be reached directly from the Callista menu.

 

The Maintain Entitlement Position block contains:

  • Entitlement
  • System Entitlement Check Context
  • Entitlement Status (LOV)
  • Status Outcome Type
  • Lower %
  • Upper %
  • Override Outcome Text

Rules/Notes:

At least one of the Lower and Upper % values must be recorded.
If a Lower value is recorded but no Upper value then the range is taken to be between the Lower value and 100%.
If an Upper value is recorded but no Lower value then the range is taken to be between the Upper value and 0%.

Override Outcome Text is an optional field.

Lower % cannot be less than 0.
Upper % cannot be greater than 100.

Lower % must be less than Upper % value.

Ranges in different rows cannot overlap.

To create a new Entitlement Position record:

  • Go to ADMF0300.
  • Select the required Entitlement/Context combination in a new record.
  • Select an Entitlement Status with its associated Outcome Type for this record.
  • Enter Lower and/or Upper % values to define the corresponding percentage range of remaining entitlement.
  • If and Outcome Text is required, record this in the text box.
  • Save the Record.

Rules/Notes:

The Outcome Text recorded here will override the Text recorded for the System Outcome Type in ADMF0390 for this Entitlement Position.
