ADMF02A0 - Maintain Admission Application Status

Purpose

To allow the recording of institution-defined Admission Application Status codes.

Use this form to record the institution-defined codes for the status of an Admission Application. Statuses might include COMPLETED, RECEIVED, INCOMPLETE.

These codes are used to indicate the progress of an application for admission. The data maintained in this form is used within the Application block in Maintain Admission Course Application (ADMF3240).

Each code must be mapped to a System Admission Application Status.

It is recommended that the mapping of institution codes to System codes be a one-to-one relationship. It is also recommended that wherever practicable, System codes should also be used for institution-defined codes.

This form is also used to map an institution-defined Admission Application status to a Government-defined Application Status code (via the Govt Admission Application Status field). The Govt. Admission Application Status is reported as DEEWR Element 701 in the Applications Details File (see STAJ0510). If an application does not have a mapped value for Govt. Admission Application Status it will not be reported.

Rules/Notes:

The Govt Admission Application Status field is used to associate an institution-defined Admission Application status to a Government-defined Application Status code. For example:

The institution-defined Admission Application status can then be called in context of a Government Admission Application Status from the Maintain Government Admission Application Status (STAF113B) form.
(The Govt. Admission Application Status is reported as DEEWR element 701 in the Applications Details File (see STAJ0510). If an application does not have a mapped value for Govt. Admission Application Status it will not be reported.)

The Explanation field is utilised within Callista Connect Applications, namely the Online Admission applications, to describe the status.

Where more than one institution-defined status maps to a single System status, one must be defined as the System default. When the System automatically applies a particular institution-defined status to an Admission Application, the default is the one it applies.

Rules/Notes:

Once used in the System, Admission Application Status Codes should not be deleted. Select the Closed check box to prevent further use.

Once used in the System, only minor description modifications should be carried out.

There must be one institution-defined Admission Application Status with the System Default check box set, and mapped to each different System Admission Application Status.

Every different System-defined value must have at least one institution-defined value mapped to it.

A status cannot be closed if it is the default.

Validations:

  • Cannot map to a Closed Govt Admission Application Status.
