How the Government Admissions Statistics Process Works

This Help page aims to provide an insight (only) to the logic used during admissions data extraction.

No attempt is made to re-state the data specifications provided by DIISRTE. Refer to the relevant DIISRTE manuals (bibliography) as the definitive source of this information. For a complete list of Data Elements see the DIISRTE website.

The Government Admissions Statistics Snapshot

The Government Admissions Statistics snapshot is created by running job STAJ0500. This job creates records in the following tables:

• GOVT_ADM_SNAPSHOT_APPL - contains Application related data for all applicants that match the selection criteria. The criteria is defined in STAJ0500 Help.
• GOVT_ADM_SNAPSHOT_PREF - contains Preference related data for all applicants that match the selection criteria. The criteria is defined in STAJ0500 Help.
• GOVT_ADM_SNAPSHOT_OFFER - contains Offer Details data for all applicants that match the selection criteria. The criteria is defined in STAJ0500 Help.

After running the STAJ0500 job, the Create Government Submission Files job (STAJ0510) is run to create submission files from the admissions data extracted by the STAJ0500 job. These files are required for reporting Application, Preference and Offer Details data to DIISRTE. The Copy Govt Applications and Offers Files from Secure Area job (STAJ0520) is then run to copy the extract files from a secure directory to a directory accessible to users.

The data included in the Govt. Admissions Statistics snapshot is controlled by the details specified in the Maintain Government Admissions Snapshot Control form (STAF1360), along with the parameters for the job.

The Govt. Admissions Statistics snapshot can be used for pre-submission data checking or for other institution purposes such as admissions analysis. The primary purpose of the Statistics Snapshot is however, to identify records which are to be considered for inclusion in the Government Admissions Submission files required for reporting Application, Preference and Offer Details to DIISRTE.

The Data Elements recorded in each of the Government Admissions Statistics Snapshot tables are detailed below. Against each Data Element is shown the DIISRTE element to which it relates, and its source. (For a complete list of Data Elements, see the Heims Help Internet site.) The Government Admissions Statistics Submission Files

The Government Admissions Statistics Submission job (STAJ0510) creates the following submission files from the data extracted by the Govt. Admissions Statistics snapshot job (STAJ0500):

• Application Details (AD)
• Preference Details (PD)
• Offer Details (OD)

The file name is hhhhXXyyyy.pnnnnn where:

• hhhh is the HEP (Higher Education Provider) code
• yyyy is the submission year
• p is the reporting period
• nnnnn is the submission number (with leading zeros)
• XX will be AD for the Applications file, PD for Preferences, and OD for Offers.

The Applications, Preferences and Offers Details files are populated as per the DIISRTE specifications listed in STAJ0510.
