GRDW0400 - Org. Unit [Org. Unit Code] Graduation Statement

Overview

This page is used to create or modify an Organisational Unit Graduation 'statement' (i.e. specific text) regarding a Organisational Unit that may be included in an Australian Higher Education Graduation Statement (AHEGS).

The statement is a brief description of a specific Organisational Unit, for example, including Type (public/private), date of founding, and legislation of establishment.

A statement held at the Organisational Unit takes precedence over the institution statement located in the Awarding Institution section of the AHEGS.

This page is accessed from the Organisational Unit (ORGF0141) page in SMS Forms only - via the Graduation Statement button. It is not available from the main menu.

The relationship between this page and other 'Statement' pages is illustrated in the 'Related Pages' section of GRDW0300. The diagram also shows connecting pages from the Graduation and Correspondence subsystems that are involved in the process of creating an AHEGS.

Inclusion of the Statement in an AHEGS is managed through CORW0400 and CORW0500 via Substitution tags (see the Related Pages flow diagram below). Although this page does not allow multiple versions for different Statements (nor provide an audit trail of changes made), multiple Communication Templates (CORW0500) may be created for different versions of the Statement, if required. In addition, each individual Communication Item (CORW2000) is stored for re-printing, if required.

Note: Only the GRDW0400 page for the context Org. Unit is displayed (in which you can create new Statement text or edit the existing text). It is not possible to view a list of Graduation Statements for other Org Units from this page.

To Create a New Organisational Unit Graduation Statement

1. Perform a query in ORGF0141 in SMS Forms to retrieve the required Org. Unit then click on the Graduation Statement button. The Organisational Unit Graduation Statement page (GRDW0400) is displayed.

For field information, see Field Details, below.

2. In the Statement text area (or in the Rich Text Editor area, if CKEditor is installed), type in the new Statement text.

3. Click on the Save button to save the new Statement and close the page.

 

To Edit an Organisational Unit Graduation Statement

1. To modify an Organisational Unit Graduation Statement, go to ORGF0141 in SMS Forms and perform a query to retrieve the required Org. Unit, then click on the Graduation Statement button. The Organisational Unit Graduation Statement page (GRDW0400) is displayed.

2. In the Statement text area (or in the Rich Text Editor area, if CKEditor is installed), modify the text, as required.

3. Click on the Save button to save the updated Statement text and close the page.

Note: To delete a statement, simply delete all the text from the Statement text area and click Save.

Statement The Organisational Unit Statement text displayed in the Text area.

Text can be added or edited, as required.

Related Pages


The Related Pages diagram in GRDW0300 shows related Statement pages as well as connecting pages from the Graduation and Correspondence subsystems that are involved in the process of creating an AHEGS.

For a Statement to be included in an AHEGS, a Substitution Tag must be created (via CORW0400) to record an SQL statement that will call the Statement details when the AHEGS is produced. Statements are called in hierarchical order according to the order specified in the Substitution Tags. An SQL statement can be edited at any time to change the Statement information required in the AHEGS.
