CRSW1010 - Course Plan Structure Statuses

Overview

This page is used to create and maintain institution-defined Course Plan Structure (CPS) Statuses for Course Plan Structure Versions (CPSVs) to reflect what stage the CPSV is at.

Each CPS Status is mapped to a System CPS Status. Currently, there are three System CPS Statuses:

This page is a Reference Data page that is set up by an administrator prior to creating CPSVs. Institution-defined CPS Statuses created on this page constitute the List of Values for the Status field located on the Course Plan Structure Versions and New Course Plan Structure Version pages.

It is intended that this functionality will enable institutions to create CPS Statuses based on their own Course Plan Structure process and workflow. For example:

Navigation

Navigation from the Course Plan Structure Status page (CRSW1010) to the New Course Plan Structure Status pop-up page is shown below:

On accessing this page, a list of CPS Status records is displayed. The records in this list can be edited directly in the table. For more information, see the Working with Lists overview Help page.

To Create a New Course Plan Structure Status

1. Click on the New icon on the CRSW1010 page. The New Course Plan Structure Status pop-up page is displayed in which on which you can enter details for the new CPS Status. For field information, see Field Descriptions, below.

2. Click on the Create button to save the new CPS Status.

To Edit a Course Plan Structure Status

Records listed on the CRSW1010 page can be edited directly in the table.

1. To modify, close or remove a CPS Status, select the required CPS Status from the list of records, then click on the Edit Records icon.

For field information, see Field Descriptions, below.

2. Click on the Save icon to save your changes.

Field Descriptions

The following table describes each field on the CRSW1010 page, including applicable Table values.

An asterisk (*) indicates the field is mandatory when creating a new Course Plan Structure Status.

Note: Field labels are institution-configurable.

Field: Description:
* Course Plan Structure Status Unique institution-defined CPS Status that can be applied to a CPSV. This status must be mapped to a System CPS Status (see definition, below). Multiple institution-defined CPS Statuses can be mapped to a System CPS Status.

Once saved, the CPS Status cannot be modified. It is included in the List of Values on the Status field on the New Course Plan Structure Versions page, from where it can be selected as the status for a CPSV.

Note: CONFIRMED and UNCONFIRMED are not a statuses. The Confirmed check box is used to set a CPSV to Confirmed or Unconfirmed. See the Course Plan Structure Versions (CRSW2005) page.

COURSE_PLAN_STATUS.COURSE_PLAN_STATUS
* Description Short description of the CPS Status. Use up to 60 characters.

COURSE_PLAN _STATUS.DESCRIPTION
* System Course Plan Structure Status The System CPS Status to which the institution-defined CPS Status is mapped. There are three System CPS Statuses:
  • PLANNED - the CPSV is open but is not ready to be published on the Course Plan Enquiry system.
  • ACTIVE - the CPSV is open and is able to be published on the Course Plan Enquiry system.
  • INACTIVE - the CPSV is out-of-date and cannot be used in the Course Plan Enquiry system.
Multiple CPS Statuses can be mapped to a System CPS Status.

Each System CPS Status can have one and only one CPS Status with a checked System Default indicator.

COURSE_PLAN_ STATUS.S_COURSE_PLAN_STATUS
System Default Select this checkbox to mark an open CPS Status, that is mapped to a System CPS Status, as the System Default Status.

Only one Open CPS Status per each of the different types of System CPS Statuses (i.e. PLANNED, ACTIVE and INACTIVE) can be specified as a System Default.

When a CPSV is first created it is automatically assigned a CPS Status that is set to the System Default value PLANNED. This CPS Status can be changed manually, if required. The CPS Status is automatically updated to the CPS Status set to the System Default Status of ACTIVE when the CPSV is confirmed and/or an Approval Date is entered and all validations are met.

COURSE_PLAN_STATUS.SYSTEM_DEFAULT_IND
Closed Select this checkbox to close the CPS Status.

Closed CPS Statuses cannot be assigned to CPSVs and cannot be marked as a System Default.
