Course Plan Enquiries Overview

This page provides an overview of the public-facing Course Plan Enquiries system. It is intended to assist staff in understanding how students and prospective students use the system to plan a pathway through a proposed course of study offered by an institution.

What is the Course Plan Enquiries System?

The Course Plan Enquires system enables students and prospective students to:

It is anticipated that multiple 'Timelines' (i.e. potential Schedules) may be created for a Course Plan Structure Version (CPSV) to cater for the different modes of study available for each course (for example, courses offered at different campuses, part-time and full-time courses, courses studied on-campus, etc.). A list of all confirmed Timelines created for a course (in CRSW2015) will be displayed in the Course Plan Enquiries system, when an enquirer first accesses the Schedule Units page. The enquirer must choose an appropriate Timeline from the list before they can begin creating a Schedule for their Course Plan. For more information, see Maintain Timeline Content and Scheduling Units, below.

Note: It is possible that no Timelines for a course will be available for selection if none were created for the related CPSV (for example, if teaching times for the associated course have yet to be decided on). In this case, an enquirer is able to choose units for their proposed course, but is unable to create a Schedule until a Timeline has been created for the CPSV and is available in the Course Plan Enquiries system.

 

The Course Plan 'Enquiries' Process

The Course Plan Enquiries system is accessed by students via the institution's website, such as the online Handbook.

Note: All Course Plan Enquiry pages are institution-configurable. The screen shots shown below are examples only.
Also note that the examples provided in this Help page are in credit points, however, a Course Plan may appear in hours or units depending on the institution's preferences.

 

1. Creating a Course Plan

The Course Plan Enquiries system is accessed from an institution's website from where the enquirer would select:

1. a course
2. a course version
3. a 'Course Plan Structure Version'.

The Course Plan Enquiries home page is then displayed.

Note: It is possible that a number of Course Plan Structure Versions may be displayed. To prevent confusion, the title of the Course Plan Structure Version should reflect the course version title and any other aspect that makes it unique; such as, location, mode of study, course offering pattern, etc.

To Create a Course Plan

1. From the Course Plan Enquiries home page, the enquirer clicks on the Choose Units button or the Choose Units tab.

Enquirers are able to navigate between tabs at any time after starting a Course Plan, for example, to view the Course Plan or the Schedule while choosing units.

 

2. Choosing Units

Enquirers choose the units that they wish to study for each Component of their proposed course. All Components are listed in a panel on the left-hand side of the page. When a Component is selected, a list of units available for selection for that Component is displayed.

Enquirers can view a copy of their Course Plan at any time via the Show Plan tab to see a list of all chosen and unchosen units for each component of their course. (See Viewing and Printing a Course Plan, below.)

To Choose Units

1. Select a Component from the list of Components ('Groups') displayed in the 'Select a group' panel on the left-hand-side of the page. A list of available units is then displayed for the selected Component.

To select a Component simply click on the Component title. Alternatively, you can use the Next link to navigate sequentially through each Component in the list.

A green tick (green tick) next to a Component indicates that the required number of units have been chosen for that Component.
A red cross (x) next to a Component indicates that an insufficient number of units or no units have been selected for that Component.

2. Choose the units that you wish to study by selecting the check box next to each unit, then click on the Select button.

The required number of units that must be selected for each Component is specified in the block above the list of units.

Mandatory units (such as Core units) are automatically pre-selected.

3. If you have selected the required number of units, a green tick (green tick) and the words 'Conditions Met' are displayed in the block above the list of units, and a green tick (green tick ) is displayed next to the Component.
If you have not selected the required number of units, a red cross (x) and the words 'Conditions not met' are displayed in the block above the list of units.

4. To choose units for the next Component in the list, click on the Next link located above the list of Components. Alternatively, jump to any Component in the list by clicking on the Component title.

A list of available units is then displayed for the selected Component.

Repeat the previous step (step 2, above) for each Component.

5. When you have chosen units for all Components, a message is displayed to inform you that you can create a Schedule for your units and/or review your Course Plan.

If no Timelines are available for the course (i.e. if a Timeline has not yet been created for the related CPSV by the institution), you are unable to create a Schedule. In this case, the Schedule Units and Show Schedule tabs are unavailable for selection until a Timeline has been created and is available in the Course Plans Enquiries system.

 

3. Scheduling Units

Enquirers can create a Schedule for their proposed course by placing their units into teaching/time periods. Multiple different Schedules can be created for a Course Plan.

All units that the enquirer chose on the Choose Units page are listed in a panel on the left-hand side of the page. These are unscheduled units - i.e. they have not yet been placed into time periods. When a time period is selected for a unit, the unit is automatically placed in that time period and is removed from the list of unscheduled units.

Enquirers can view a copy of their Course Schedule at any time via the Show Schedule tab; for example, to see a list of all scheduled and unscheduled units. (See Viewing and Printing a Course Schedule, below.)

To Schedule a Unit

1. A list of different 'Timelines' from which you can create a Schedule for your proposed course may be displayed when you first access the Schedule page. If this is the case, select an appropriate 'Timeline' from the list.

Each 'Timeline' provides a different layout and different teaching/time period options for each unit; for example, to cater for different Course Offering Patterns.

A Change Timeline button is displayed on the page that you can use to select a different 'Timeline'.

2. All units that have been chosen for the Course Plan are listed on the left-hand-side of the page. Select a unit from the list. All available teaching/time periods for that unit are then automatically highlighted.

Note: Mandatory units (such as Core units) cannot be moved. They were placed into a time period (i.e. one cell only) when the Timeline was created (see Maintain Timeline Content).

3. Click a preferred time period from the periods highlighted for the selected unit. The unit is automatically transferred into the selected time period and removed from the list of unscheduled units.

You can obtain more details about a scheduled unit if you hover over the unit in the grid. The following details are displayed: unit value (in credit points or hours), unit level and unit name.

4. (If required) To remove a unit from a time period in the Schedule, click on the arrow next to the unit. The unit is automatically removed from the schedule and returned to the list of unscheduled units.

 

4. Viewing and Printing a Course Plan

The Show Plan page shows a list of the Components and Units that the enquirer has chosen for their proposed course.

This page can be viewed at any time while choosing units to obtain a clearer picture of which units have been chosen and which ones have not.

Units marked with a green tick (green tick) are units that have been chosen.
Units marked with a red cross (x) are units that have not been chosen.

The total number of units required for the course is provided in at the top of the page. If the required number of units has been chosen a green tick (green tick) is displayed in the box.

To View and Print a Course Plan

To print a copy of the Course Plan, click on the Print icon located in the top right-hand corner of the page.

 

5. Viewing and Printing a Course Schedule

The Show Schedule page shows a list of the enquirer's units and the teaching periods into which they have been scheduled.

This page can also be viewed at any time while scheduling units (on the Schedule Units page) to obtain a clearer picture of which units have been scheduled and which ones have not. Unscheduled units are listed at the bottom of the page.

The total number of units required for the course is provided in at the top of the page. If the required number of units have been chosen for the course, a green tick (green tick) is displayed in the box.

To View and Print a Course Schedule

Click on the Print icon located in the top right-hand corner of the page to print a copy of the Course Schedule.

Note: Some institutions may require a student to provide the course supervisor with a copy of their Schedule for approval prior to enrolment.
Staff may choose to scan the Course Plan and attach a copy (for example, as an .xls or .pdf file) to the person's Student Course Attempt in Callista SMS at the Admissions/Pre-enrolment stage.

Term: Description:
Course Plan

A pathway through a proposed course that is made up of core and/or elective units for each component of the course.

Course

A particular pathway of study offered by an institution. A course code is allocated to a course by the institution, for example, 'M300' could be for a Bachelor of Accounting course.

Group

A course is made up of a number of components, such as core, major and/or elective components. Each component is made up of a particular number of units, hours or credit points.

Unit

A basic area of study that is worth a certain number of credit points (for HE courses) or hours (for VET/TAFE courses) completed over a teaching period for a particular course.

Credit Points

The number of credits assigned to each unit of a course (for example a first year unit at undergraduate level may be worth six credit points). A course is made up of a specific number of credit points. A student is required to pass a certain number of credit points in order to complete the course.

Hours

(Applicable to VET/TAFE institutions only) The number of hours of participation for a competency or unit of a course that a student is required to complete to pass the unit/component.

Teaching/Time Period The period of time spent in teaching and assessing a unit, lasting from the first day of instruction to the final day of assessment, such as, a semester, trimester or term.
