The purpose of this process is to manage the VET Government Submission Snapshots

The purpose of this process is to manage the VET Government Submission Snapshots. It allows an institution to define what Load Periods the System should consider when creating a Government Submission Snapshot. It also allows the institution to mark a Government Submission Snapshot as complete.

Therefore, this form is used to record:

  • Individual submission details
  • Load Calendars (standard) contributing to the load for a Government Snapshot
  • Teaching Calendars contributing to the load for a different Government Snapshot to the Load Calendar with which they are associated.

This form is accessed through the main menu.

 

The VET Government Snapshot Control block contains:

  • Submission Year
  • Submission Number
  • Enrolment Statistics Snapshot Date
  • Completion Date
  • Report Nominal Hours check box

The Government Snapshot Load Calendar block contains:

  • Load Calendar Type (LOV)
  • Description
  • Start Date
  • End Date

The Default Load Apportion block contains:

  • Teaching Calendar Type
  • Description
  • Percentage
  • Second Percentage

Rules/Notes:

Validations include:

  • The Enrolment Statistics Snapshot Date/Time cannot be a Snapshot which is marked for deletion
  • The Enrolment Statistics Snapshot Date/Time cannot be a Snapshot Date/Time that is already used by another Government Submission Snapshot in another year
  • The Enrolment Statistics Snapshot Date/Time cannot be updated if the Completion Date is set
  • The Calendar must be a LOAD Calendar
  • The Calendar must be ACTIVE
  • The Calendar must not be an Aggregate Load Calendar.

The Report Nominal Hours check box is used to report nominal/supervised hours in the NAT00120 Enrolment file.

Copying across Govt Snapshot Load Calendars from previous submissions.

If saving a new Government Snapshot Control record and no Government Snapshot Load Calendars have been entered then copy the Load Calendars used by the previous Submission for that year. The prompt is in the form of a 'Yes/No' dialog box with the message 'Copy Government Snapshot Load Calendar(s) from previous submission?' This prompt will only appear if the new Govt Snapshot Control record is not the first Submission for the year, and the previous Submission has at least one Government Snapshot Load Calendar defined.

If 'Yes' is selected, the Load Calendars used by the previous Submission will be copied across to the current Submission. Once copied, a message will be displayed 'Successful copy of Government Snapshot Load Calendar(s) from previous submission. Re-query to see submission details.'
If 'No' is selected, no additional processing will take place and the record will be saved as normal.

Rules/Notes:

Note: Time and effort can be saved by completing all Snapshot Load Details for the Submission of a particular year first. On saving Snapshot Control Details for subsequent Submissions, the System will prompt the user to automatically copy all Load Details from the first Submission. These can then be modified if necessary.

VET Government Snapshot Control block

  • Enter the Calendar Year and Submission Number for each Submission in a year.
  • The Enrolment Statistics Snapshot Date is entered by the System when a Snapshot is selected as a parameter during the Government Submission Snapshot creation process.
  • Enter the Completion Date only when the Submission is completed.

Note: When this information for the first Submission in a year is saved, the user is prompted to default the set of Load Calendars. When creating the second and subsequent Submission details, saving will prompt the user to copy all control details from the previous Submission.

Government Snapshot Load Calendar block

  • For each Government Semester, enter the Load Calendar(s) contributing load to it (standard Load Calendars).

Default Load Apportion block

This block displays, for information only, all of the Teaching Calendars that contribute load to the selected Load Calendar, along with the proportion of their load which they contribute.

Rules/Notes:

Use the AVETMISS manual for information regarding government submissions.

Entering the completion date against a submission record ends that submission.
