Background

The central process in the Student Finance Subsystem is the Fee Assessment routine. It determines the Fees applicable to individual students, calculates the relevant amounts and stores this information as a debt for which the student, or his or her sponsor, is liable. However under certain circumstances, for example, possibly incomplete data, this process is unable to record an assessment for particular students. In these cases the student is not assessed for Fees until the issue is resolved.

Students Requiring Fee Assessment Report

The purpose of this report is to identify students for whom an Assessment has not yet been made. This report identifies students who have been enrolled during the nominated Fee Period but have no Fee Assessment Transactions recorded for that Fee Period. The report includes Student Course Attempt details to help identify why the student was not assessed.

It is possible for students not to be assessed due to an incorrectly set up Charge Method Apportion or Load Apportion. To enable the report to identify students affected by either of these situations, the report does not derive the relationship between Fee and Teaching Periods using the normal structures. Hence, the Fee and associated Teaching Periods are mandatory parameters for this report.

This report runs effective of the Current Date - it will only identify students who are liable for Fees at the time that the report is run. Therefore, students who were for a time Enrolled but not assessed and then changed to Intermit or Discontinued and are liable for retention may not be detected by the report. However, if this report is run on a regular basis this should not be an issue.

Tthere are certain circumstances, for example a missing Student Contribution record, where a student will be assessed for Institution level debt i.e. an Amenities Fee, but will have their Contribution/Tuition debt unable to be assessed (due to the missing Student Status). If the Reported Debt parameter is set to “Tuition/Student Contribution Amount/FEE-HELP (PELS)” students in this situation will be detected.

Run Details

The report can be run in immediate or batch mode.

Timing

This report must be run immediately after a Fee Assessment job run (either FINJ3500 or FINJ3001) in order to report reliably.

    A Fee Assessment Period must be supplied.
  • Teaching Period
    A Teaching Period must be supplied.
  • Course Code
    Select a Course Code from the List of Values supplied or select % to include all Course Codes in this report.
  • Fee Category
    Select a Fee Category from the List of Values supplied or select % to include all Fee Categories in this report.
  • Student Status
    Select a Student Status from the List of Values supplied or select % to include all Student Statuses in this report.
  • Course Attempt Status
    % = ALL
    ENROLLED
    INACTIVE
    COMPLETED
    DISCONTIN
    INTERMIT
    The report selects students who have units with status's of ENROLLED or COMPLETED. Units with a status of DISCONTIN will also be considered where the unit has incurred load.
  • Sponsor Code
    Select a Sponsor Code from the List of Values supplied or select % to include all Sponsor Codes in this report.
