Purpose

This report produces letters to notify students that their Course Attempt has been Discontinued (Terminated) for non-payment of Fees

Run Details

This job is run:

  • After any Student Course Attempt Statuses have been manually Terminated.
  • At any time deemed necessary for whatever reason.

This job is run to notify students that their Enrolment has been Discontinued through the non-payment of Fees. Letters are only run for specified Discontinuation Reason Codes.

Refer to the Job Control and Scheduling Subsystem for details of scheduling and running online jobs.

Update Process

This process automatically creates a Correspondence Item for those notification letters produced.

This report will run for all Discontinuation Reason Codes nominated below

  • Run the report for all students whose course was terminated in the last ( ) days
  • Person ID
  • Location
  • Course Responsibile OU
  • Return Org Unit
  • Return Address
  • Letter Body

Rule/Notes:

 

Most parameters for this job are used to refine the data set produced in the letter.

Select Discontinuation Reason Codes for Terminated Student Course Attempts. Other Discontinuation reasons are reported in the Course Discontinuation/Intermission Letters report (ENRR08K0).

Record the number of days included from the current day. For example: entering '7' includes all Student Course Attempt records Terminated in the last week.

Optionally create a letter for a specific Person ID. This is mostly used where a Student's Course Attempt Status was updated manually.

The Return Organisational Unit and Return Address provide information to the student on where they can seek further details.

Note: the return address MUST be valid for the Organisational Unit.

There are two text fields available:

  • Letter Body
  • Signatory

Both of these are free text parameter fields that can be defined in the Maintain Job Text form (JBSF4170).

Several sort combinations are available in the Sort By parameter.

Optionally register the letter as a Correspondence Item.

Rules/Notes:

The report is presented in portrait mode.

Each student's letter is printed on a separate page.

The student address is aligned so that it appears, when folded, in a window faced envelope.
