This report produces letters to notify students of a change to their Course Attempt Status

Run Details

This job is run:

  • After any Student Course Attempt Statuses have been manually updated.
  • After the Update Student Course Attempt Status process (ENRJ5100) has been run.
  • At any time deemed necessary for whatever reason.

This job is run to provide students with details of the change in their Student Course Attempt Status.

Refer to the Job Control and Scheduling Subsystem for details of scheduling and running online jobs.

Update Process

It may be run for the Student Course Attempt Statuses of INTERMIT, DISCONTIN, and LAPSED.

This process automatically creates a Correspondence Item for those notification letters produced from this report.

 

The Course Discontinuation/Intermission Report block contains:

  • Course Attempt Status

This report will run for all Discontinuation Reason Codes except those named below

  • Run the report for all students whose course was discontinued/intermitted/lapsed in the last ( ) days
  • Person ID
  • Location
  • Course Responsibile Organisation Unit

Rule/Notes:

 

Most parameters for this job are used to refine the data set produced in the report.

Select the Course Attempt Statuses.

Optionally select the Discontinuation Reason Codes that the report WILL NOT include. This provision exists to exclude students whose Discontinuation was the result of Termination (an 'involuntary' Discontinuation) from receiving the Discontinuation Letter. Termination Letters are created in the Student Termination Letter report (ENRR08L0).

Record the number of days included from the current day. For example: entering '7' includes all Student Course Attempt records Intermitted, Discontinued or Lapsed in the last week.

Optionally, create a letter for a specific Person ID. This is mostly used where a Student's Course Attempt Status was updated manually.

The Return Organisational Unit and Return Address provide information to the student on where they can seek further details.

Note: the return address MUST be valid for the Organisational Unit.

Select a Signatory.

Several sort combinations are available in the Sort By parameter.

Optionally register the letter as a Correspondence Item.

Rules/Notes:

The report is presented in portrait mode.

Each student's letter is printed on a separate page.

The student address is aligned so that it appears, when folded, in a window faced envelope.
