To allow the transfer of a nominated set of students between Course Offering Options within the same course, or between course versions

Update Process

Transfer is performed from specified Course Offering Options to another single Course Offering Option, for the group of students specified by the student selection parameters. Each Student's Course Attempt is changed to the New Offering Option and a history of the move is stored.

Can, for a group of students:

  • Change the Academic Calendar, of Student Course Attempts to another in which the course is offered
  • Change the version of the course in which the students have Course Attempts
  • Change Offering Option attributes of the Students' Course Attempts to those of another Offering

Advanced Standing

When the Course Version is changed, any existing Advanced Standing details for the student recorded against the old Course Version are created against the new course version. When completed, the Advanced Standing details recorded against the old Course Version are deleted.

Run Details

This job can be run in immediate mode or batch mode through the Job Control & Scheduling Subsystem.

The circumstances under which it is used are dependent on institution policy and procedures.

 

The Bulk Course Offering Option Transfer block contains:

Parameters Tab

  • Report Level
    Allows the person running this job to determine whether the Execution/Exception Report lists errors only, errors and warnings or errors, warnings and information. This field is mandatory.

Select either ...

  • Previous Log
    Allows the Execution/Exception Report from previous runs of this job to be reproduced. If this parameter is used, all other parameters are ignored.

Or a combination of the following Parameters ...

  • Academic Period
    Defines the specific Academic Period from which Student Course Attempts are selected for transfer. This field is mandatory.

Student Selection Parameters

  • Course Code
    Identifies the course within which students are transferring between Offering Options. This field is mandatory.
  • Version Number
    Limits the group of Student Course Attempts selected for transfer to those within a particular version of a course.
  • Location Code
    Limits the group of Student Course Attempts selected for transfer to those in Offerings at the specified location.
  • Attendance Mode
    Limits the group of Student Course Attempts selected for transfer to those in Offerings with the specified Attendance Mode.

  • Attendance Type
    Limits the group of Student Course Attempts selected for transfer to those in offerings with the specified Attendance Type.
  • Person ID Group
    Limits the group of Student Course Attempts selected for transfer to those for students whose ID number is a member of the specified Person ID Group.
  • Course Attempt Status
    Limits the group of Student Course Attempts selected for transfer to those with a status which matches one of those specified here. Up to five Course Attempt statuses can be specified. Mandatory to supply at least one.

New Course Offering Option Details

  • Calendar Type
    Defines the specific Academic Period of the Course Offering Option into which the students are transferring. It is not necessary to specify a calendar type where transfer is between Course Offering Options in the same Academic Period.
  • Version Number
    Specified only where Student Course Attempts are being transferred between different versions of a course.
  • Location Code
    A Location Code specified here becomes the Location Code of the Student Course Attempts created by this process. Leaving this parameter blank results in each new Student Course Attempt having the same Location Code as the Course Attempt it is being transferred from.
  • Attendance Mode
    An Attendance Mode specified here becomes the Attendance Mode of the Student Course Attempts created by this process. Leaving this parameter blank results in each new Student Course Attempt having the same Attendance Mode as the Course Attempt it is replacing.
  • Attendance Type
    An Attendance Type specified here becomes the Attendance Type of the Student Course Attempts created by this process. Leaving this parameter blank results in each new Student Course Attempt having the same Attendance Type as the Course Attempt it is replacing.

Rule/Notes:

System (or control) parameters control the output of the report produced by this job and are common to most reports. Refer to All About Standard Reports for more information. These parameters can be set as required each time the job is requested.

 

 

 

 

 

 

Student Selection Parameters. These parameters are used to target specific groups of students to be transferred between Course Offering Options. They can be combined as required.

 

 

 

 

 

 

 

 

 

 

 

 

 

New Course Offering Option Details. These details identify the Course Offering Option which the selected group of Student Course Attempts is to be transferred to. At least one of these parameters must have a value specified. When parameters are left blank, the System creates the new Student Course Attempts using the values from the original Course Offering Option(s) which correspond to the blank parameters.

For example, if a Student Course Attempt selected by the student selection parameters has the attribute 'Attendance Type = FT (full time)', and the Attendance Type parameter is left blank, the new Student Course Attempt will also be of Attendance Type = FT.

A valid offering of the course corresponding to the specified parameters must exist, otherwise the transfer cannot take place.

If a Govt Cohort Year exists for the ‘from’ course offering option, it will be recorded for the ‘to’ course course offering option. 
Likewise, if the Govt Cohort Year is null for the ‘from’ course offering option, then it will remain null for the ‘to’ course offering option.
However, if the Govt Cohort Year is not valid for the 'to' course offering option, it will be set to null and an error will be raised, and the person_id, course_cd and version_number details will be logged in the s_error_log  table. i.e. The Govt Cohort Year being transferred is deemed to be valid if it exists against the course version of the 'to' course. This data is established in CRSF12J0.
