CRSF12J0 - Maintain Govt Course Cohorts

Purpose

This form provides the ability to create Government Cohorts, which are later, used for assigning to students and also assigning to Fee Assessment Rates

This form enables Higher Education Providers to define Government Course Cohort Groups. These groups can then be assigned to students in ENRF3000 and have Fee Assessment Rates allocated within FINF2853.

Multiple Government Cohorts can be created for the same Cohort Year, however, when this is done the Course code and Version must be different.

This form is accessed via the main menu.

 

The Course Version block contains:

  • Course Code
  • Version
  • Sector
  • Course Status
  • Title
  • Default Govt Cohort Year check box

The Govt Course Cohort block contains:

  • Govt Cohort Year
  • Description
  • Start Date
  • End Date

Rules/Notes:

The Sector field is displayed if the Higher Education Provider is cross-sector.

Validations include:

  • Course Version must be ACTIVE or PLANNED
  • The Govt Cohort Year must be 0001 or between 2005 and 2099
  • The Cohort End Date is specified then it must be greater than or equal to the Cohort Start Date
  • Cannot delete a Govt Course Cohort record when a child Student Course Attempt record exists
  • Cannot delete a Govt Course Cohort record when a child Cohort Fee Assessment Rate record exists

This indicator is set in CRSF1210 and it will not be possible to set this indicator in this form, it is shown here for information only.

All fields except the End Date are Mandatory.

Start Date, End Date and Description can be altered via this form.

If the Default Govt Cohort Year check box is selected, a government cohort year value should be defaulted for an application in ADMF3240, for process types of 'COURSE' and 'SHORT-ADM'.
Furthermore, in ADMF3240 course version may have many Govt Cohort Years associated with it in CRSF12J0 and in order to determine the appropriate year to default, a match between the Govt Cohort Year and the year component of the start date for the academic year that is related to the admission calendar to which the admission application relates must exist.  If a match is found, this value should be defaulted. If a match is not found, then the field should remain null.
If there is a situation where an admission calendar is related to more than one academic calendar, then the academic calendar with the latest start date will be used.
It should also be possible to record a value in this field if a value is not defaulted and in addition, it should be possible to override a value that is defaulted. 
If the Govt Cohort Year step exists and is set to mandatory, then it will not be possible to make an offer to the student without the Govt Cohort Year value being defined.
