ASSF4612 - Maintain Examination Sessions

Purpose

To allow the creation of Examination Sessions within an Examination Period

This form is used to record Exam Session details against an Examination Period. Exam Sessions are used in the Timetabling process. Before Exam Sessions can be created within an Examination Period or Calendar, Date Alias instances representing each day of the Examination Period must have been created within the Exam Period in the Maintain Date Alias Instances (from Date Alias) form (CALF0511) or the Maintain Date Alias Instances (from Calendar Instances) form (CALF0512).

The Exam Calendar Instance block contains:

  • Calendar Type
  • Calendar Status
  • Start Date
  • End Date

The Exam Session block contains:

  • Date Alias
  • Description
  • Session Date
  • Start Time
  • End Time
  • Session Number
  • Comments

Perform query to retrieve required Examination Period(s).

 

Exam Session

To record new Exam Sessions:

  • Select the Date Alias Instance.
  • Record the Start Time and End Time for the Examination Session (mandatory).
  • Record the Session Number (Mandatory). This is used as a secondary identifier for an Exam Session within the Exam Timetabling Subsystem. It is recommended that session numbers be sequential. Where an Exam Session is added at a later date, the session numbers should be renumbered to maintain sequence.

Queries can be performed on existing Exam Sessions.

Rules/Notes:

Session number must be unique within the Exam Period.

Once saved, Start Time and End Time cannot be modified. However, the session can be deleted if it has not been used.

Once used in the System, an Exam Session cannot be deleted.
