Individual items or processes are monitored through the steps defined for their tracking type. Each institution defined tracking type is mapped to a system tracking type. Most system tracking types (UNDEFINED is the exception) have a specific purpose. For example, the system tracking type ASSIGNMENT is assigned to tracking types and hence tracking items which are used to monitor the movement of assignments.

Most system tracking types have a system defined set of tracking steps (UNDEFINED is the exception). These steps must be recorded against the institution defined tracking type with which the system tracking type is associated. Information about system steps is in the documentation for the subsystem in which they are used.

Refer to:

The Research Subsystem for the Specialist User, for thesis tracking steps and
Initiate a Tracking Item for Assignments, for assignment tracking steps.

Use this form to record and maintain institution defined tracking types.

For a new tracking type:

  • map it to a system tracking type
  • enter the target days for completion of items of this tracking type
  • indicate whether business days or calendar days are to be used in date calculations associated with this tracking type
  • indicate whether or not the tracking steps must be performed sequentially
  • enter required tracking steps, in order, and the number of days allowed for completion of each step
  • enter a default recipient where applicable

For an existing tracking type, change data as required, but in particular you can:

  • add, delete or re-order tracking type steps
  • tracking types cannot be deleted. Close them instead to prevent further use.
  • change the recipient for individual steps

Recording Tracking Types and How Tracking Items are Created provided further information.

Rules:

  • A tracking type is assigned to each tracking item. This defaults the tracking type steps to the item.
  • Modifying a tracking type will not affect existing tracking items associated with it.
