Explanation

This form is used to record and maintain the institution defined set of residency codes. These are comparable to Government Permanent Resident Codes (DEST element 390) specified in the Data Dictionary of the DEST manual, but provide for greater flexibility with the ability to subdivide government codes and to use more meaningful codes. Each institution defined residency code must be mapped to a Government Permanent Resident Code. Permanent resident codes identify whether or not a person is a permanent resident of Australia and are used for DEST reporting and validation of HECS payment options.

Example

This function could be used to create meaningful codes for permanent residency which would map to the numeric DEST codes as shown in the table below. Refer to the DEST manual for further information regarding these codes.

To create a new permanent resident code record using the Maintain Permanent Resident Codes form:

  1. Enter Insert mode.
  2. Enter the new permanent resident code in the Permanent Resident Code field of a blank record.
  3. Enter the corresponding description for the resident code in the Description field.
  4. Select the government code to which the new code maps from the list of values (or key a valid value) in the Govt Permanent Resident Code field.
  5. Enter any other information regarding this permanent resident code in the Notes field.
  6. Record an explanation for each permanent resident code. Permanent Resident explanations are used as part of the GOVT-STATS application in Callista Connect. The explanation is used as an answer to the permanent residence question in the application.
  7. Save.

 Rules/Notes:

  • Institution defined permanent residence codes MUST be unique. 

 

 

 

 

 

 

  • Explanations should be recorded in the form of an answer, for example:
    • You either have not obtained permanent residence though immigration or you were born in Australia.
  • If an explanation is not recorded, the radio button appears for selection in the GOVT-STATS application with no explanation text next to it.

To modify a permanent resident code record using the Maintain Permanent Resident Codes form:

  1. Find the record to be modified.
  2. Modify the record as required.
  3. Save.

 

To delete a permanent resident code record using the Maintain Permanent Resident Codes form:

  1. Find the record to be deleted.
  2. Locate the cursor in the record to be deleted.
  3. Delete record.
  4. Save.

Rules:

  • If a permanent resident code has been assigned to a student enrolment, it cannot be deleted. It can be closed, preventing any further use, by selecting the Closed check box.
