Course Offering Option

Explanation

The Course Offering Option block (context block) displays the current course offering option record (context record) from the Maintain Course Offering Options form. The displayed records in the Course Entry Point Reference Code block are the available reference codes for the context record.

Example

If course offering option A300 - Bachelor of Arts, version x, Standard Academic Year, Falls Creek Campus, Full Time, On campus is displayed in the Maintain Course Offering Options form, and the Course Entry Point Reference Codes navigation button is selected, then this form will display A300 - Bachelor of Arts, version x, Standard Academic Year, Falls Creek Campus, Full Time, On campus as the context record and any existing entry point reference codes relating to this record will be displayed.

To inquire on the available reference codes of a course offering option other than that initially displayed:

This block does not permit a query to be entered. It is necessary to:

  1. Return to the Maintain Course Offering Options form to select a different course offering option.
  2. Navigate back to the Maintain Course Offering Option form.

 

Course Entry Point Reference Code

Explanation

Each course offering option is uniquely identified by a course code, version number, calendar type, location code, attendance mode and attendance type within this System. This form is used to record and maintain the codes used by other systems or organisations to identify a course offering option. For example: VTAC.

Course entry point reference codes are defined by specifying the reference code type of the entry point reference code and a unique (for that type) Reference Code. Note that reference code types map to System Reference Code Types. Unit sets can also be attached to entry points. Applicants uploaded via the VTAC Offer Load process (ADMJ4200) have the mapped unit set as part of their admission application.

Example

An interactive voice response system (IVR) may use numeric codes to allow students to access, by phone, particular course offering options for admission/enrolment purposes. Thus the course offering option A300 - Bachelor of Arts, version x, Standard Academic Year, Falls Creek Campus, Full Time, On campus could be identified by a simple numeric code suitable for input on a telephone key pad, such as 15607. In the table, Reference Code Type PHONE maps to System Reference Code Type IVR.

To define a course entry point reference code for a particular course offering option using the Maintain Course Offering Option Reference Codes form:

  1. Enter Insert Mode.
  2. Select the appropriate reference code type from the list of values (or key a valid value) in the Reference Code Type field of a blank record.
  3. Enter the new reference code in the Reference Code field.
  4. Optionally select a unit set code.
  5. Enter a meaningful description for the new reference code in the Description field.
  6. Save.

Rules:

  • If any component of a Course Offering Option (Calendar Type, Location, Attendance Type or Mode) is closed, a Course Entry Point Reference Code cannot be recorded against it.
  • A Course Entry Point Reference Code cannot be inserted, modified or deleted against an INACTIVE course version.

To modify a course entry point reference code for a particular course offering option using the Maintain Course Offering Option Reference Codes form:

  1. Find the record to be modified.
  2. Modify the record as required.
  3. Save.

Rules:

  • It is unlikely that reference codes will be changed unless to correct a data entry error. Only reference codes which have not been used in the definition of course versions may be modified.

To remove a course entry point reference code for a particular course offering option using the Maintain Course Offering Option Reference Codes form:

  1. Ensure that the correct course offering option is displayed in the Course Offering Option block.
  2. Select the required reference code record in the Course Entry Point Reference Code block.
  3. Delete record.
  4. Save.

Rules:

  • Only reference codes which have not been used in the definition of course versions may be deleted.

Changes within this form will have the following notable effects:

  • Reference codes created in this form will inherit the functionality associated with the reference code types used to define them.
